It is more detailed than the audience-facing agenda. Build it as a shared table, review it with the people who will use it, then rehearse the plan with the actual presenters and assets.
What a webinar run of show should do
Vimeo’s webinar production guide describes a run of show as a schedule, typically formatted as a spreadsheet, for planning and executing an event. The important distinction is its purpose: an agenda tells attendees what is planned; a run of show tells the host, moderator, presenters, and production crew what happens, when it happens, who is responsible, and what action or cue comes next.
It is a coordination aid, not a guarantee that a live event will stay on schedule. Make it detailed enough for the team to act without turning every row into a full script.
Choose a format the team can use
A spreadsheet is a common choice, but no particular vendor or format is required. Use a shared document or event-production tool if it makes the plan easier for the people executing the webinar to review and revise. Whichever format you choose, keep labels consistent and make the latest version easy to identify.

- Ease of revision: Can owners update timing or assets without creating conflicting copies?
- Visibility: Can each presenter and crew member find the details relevant to their role?
- Cue detail: Does the format make handoffs and production actions clear at a glance?
- Workflow fit: Can the team use it during planning, rehearsal, and the live event?
Build the run of show step by step
- Start with the announced agenda and audience experience. Decide what attendees should encounter from room opening through the close. Add pre-show or post-show activity only when it matters to the audience or crew.
- Give each meaningful segment or operational change its own row. Use short, consistent labels. A typical sequence might include opening the room, welcome and expectations, speaker introduction, presentation or demonstration, Q&A or another interaction, and the close. Adapt it to the format; there is no universal agenda or duration.
- Set planned starts and durations. Work out start and end times, and allow small buffers around major handoffs and audience-dependent segments. Do not assume an interactive segment will finish at an exact moment.
- Name the owner and active speaker. Assign each task rather than leaving it implicit. For a handoff, show who introduces the next person, who takes over, and who is responsible for the production action.
- Write the cue and the action it triggers. Specify what signals a transition and what the team does: for example, bring up the next speaker, mute or unmute a microphone, advance a slide, or launch a video.
- List assets, checks, and a few likely fallbacks. Record the slides, video, equipment, or interaction channel each segment needs, who prepares it, and how the team will handle a likely delay or technical problem. Keep fallback choices practical rather than trying to script every possibility.
- Review it with the people doing the work. Ask hosts, speakers, moderators, and production staff what information they need. Revise the columns or wording where needed, standardize the final copy, and distribute it to the team.
- Rehearse with the real cues and assets. Walk the production crew through the transitions and technical actions first. Once the timing and flow fit the allotted event, rehearse with all participants and update the document to reflect what the walkthrough reveals.
Adaptable webinar run-of-show template
The following is a starting structure, not a universal schedule. Replace local times, owners, assets, interaction choices, and fallbacks with details confirmed for your event. “Set locally” means the team must choose the duration and time; it is not a recommended length.

Add rows for additional speakers, breaks, demonstrations, or operational moments when the team needs a distinct cue or owner for them. The sample sequence and its fallback notes are illustrative; confirm each with the people responsible before distributing the final plan.

Check the plan before show time
- Every row has a clear owner and, where relevant, an active speaker.
- Start times and durations make sense together, with breathing room around transitions and audience participation.
- Each handoff says who cues it and who takes over.
- Production actions identify the required microphone, camera, slide, video, or interaction channel.
- Someone is responsible for preparing and checking each required asset or piece of equipment.
- Likely delays or connection problems have a small number of agreed responses.
- The final document has been reviewed by the people who will use it and rehearsed with the actual cues and assets.
For speaker coordination, IFLA’s institutional checklist also recommends agreeing on speaker and moderator roles and giving speakers guidance on content, available time, connection type, and software. Its checklist is older, so treat it as general coordination advice rather than current instructions for any specific webinar platform.
