Scheduling the marathon in YouTube Studio creates its upcoming event page; it does not play your conference recordings. To broadcast the sessions as YouTube Live, schedule the event, send the recording sequence through a software or hardware encoder using YouTube’s stream URL and key, then confirm the preview and start the stream in Live Control Room.
Before you schedule the marathon
Check channel access
YouTube’s setup guidance says the channel must be verified and have no live-streaming restrictions in the preceding 90 days. Confirm that live streaming is enabled before announcing an event. YouTube’s live-streaming setup guide explains the platform prerequisites.
Prepare the program and permissions
- Finalize the session files and their running order, including opening and closing slates, breaks, and any host segments. These are production preparations, not YouTube requirements.
- Confirm that you have permission to rebroadcast each session, speaker presentation, music track, and other embedded material. A successful technical test does not establish the rights to stream it.
- Decide whether someone will manage chat and transitions. That choice affects whether you need a low-latency experience and whether a manually operated encoder is suitable.
Create the scheduled YouTube event
- In YouTube Studio, select Create > Go Live to open Live Control Room.
- Open Manage and select Schedule stream.
- Reuse settings from a previous stream or create a new event. Review the title, description, visibility, start time, and other event details.
- Share the scheduled event URL with attendees. YouTube says an upcoming stream may appear in subscriber feeds, and viewers can choose Notify me to receive a reminder. Scheduling promotes the event; it does not load or play your local files. YouTube’s scheduled-stream instructions describe the workflow.
Choose visibility deliberately
YouTube offers public, private, and unlisted visibility. Defaults can differ for users aged 13–17 and adults, so check the event’s actual setting rather than assuming it is public. Consider who should be able to find the event and whether sharing its link is sufficient.
Keep the stream key private
YouTube describes stream keys as “like your YouTube stream’s password and address.” Enter the key only in the encoder or playback system sending the feed. If it is exposed, reset it; YouTube says only channel owners or managers can reset a stream key. YouTube’s encoder setup guide covers the key and stream URL.

Send the recorded sessions as a live feed
Software encoder workflow
- In a compatible encoder, enter YouTube’s stream URL and stream key, or select YouTube directly if the encoder provides that integration.
- Load the finalized conference sequence into the encoder or playback system. YouTube’s ordinary scheduled-event workflow expects an encoder feed: the schedule itself does not queue recordings from your computer.
- Start sending the program feed. In Live Control Room, wait for the preview to appear and verify that it shows the intended session and that audio is present.
- At the planned start, select Go live in Live Control Room. Continue monitoring the feed and stream-health messages during the marathon.
Optional hardware path: AJA HELO Plus
YouTube lists the AJA HELO Plus as an encoder and describes its optional PlayToStream functionality as a way to schedule prerecorded media to YouTube Live without a computer. It is an optional appliance route, not a YouTube requirement. Confirm the current device configuration, feature availability, file compatibility, and setup with the manufacturer or seller, then rehearse the complete workflow before relying on it. YouTube’s encoder guide names the device and describes the functionality.
Choose encoding settings and latency
Match the output to the source material and the available upload connection. YouTube recommends RTMPS where supported and lists H.264, H.265/HEVC, and AV1 for RTMP/RTMPS. Its recommendations vary by codec, resolution, and frame rate, so consult the current YouTube encoder settings and bitrate table for the exact combination you plan to use.

Rehearse and monitor the event
- Test with the same kind of motion and audio as the real sessions. Check the preview and stream-health messages before the event.
- Allow upload headroom. YouTube recommends 20% headroom and advises accounting for the primary and backup streams. That is platform guidance, not a guarantee against congestion. YouTube’s streaming tips include this recommendation.
- Set up the encoder in advance: YouTube’s tips advise doing so at least two hours before the event and starting encoders at least 15 minutes before the scheduled start.
- Where applicable, verify that local archive files are intact and growing as expected. Test failover to a backup encoder instead of assuming it will work.
- Monitor audio and video through the marathon, including session transitions. YouTube recommends testing and checking stream health; it does not specify a universal staffing level or promise uninterrupted service.
End the stream and check the archive
When the program is over, end the stream in Live Control Room and stop sending content from the encoder. YouTube says streams under 12 hours are automatically archived. After the event, confirm that the recording is available and review the session transitions. YouTube’s encoder workflow describes ending the stream and its archive guidance.

Rights, privacy, and monetization
Before broadcasting, resolve rights for the recordings, slides, performances, music, and contributions under the agreements that apply to your event and territory. YouTube’s setup documentation cannot determine whether your team has those permissions. YouTube provides rights-management and monetization controls, but eligibility depends on channel status and content; a conference organizer should not assume every channel can monetize or that the organizer owns every session.
Troubleshooting common problems
- The event page exists, but no video appears: scheduling creates the upcoming event, not a playback queue. Start the encoder or playback system, send the stream URL and key, and wait for the preview.
- The preview does not appear: check that the encoder is running, the stream URL and key are correct, and the encoder is using the intended output settings. Confirm the stream key has not been reset since it was entered.
- Viewers report buffering: check stream health and available upload capacity. YouTube warns that lower latency can increase buffering; test a less aggressive latency setting and leave the recommended upload headroom.
- The picture or sound is wrong: inspect the Live Control Room preview before going live, confirm the correct playlist item and audio source, and test the same media types during rehearsal.
- The scheduled start is missed: check whether the encoder feed is reaching Live Control Room and whether the operator has selected Go live. Starting the scheduled event does not substitute for sending the program feed.
- The stream stops unexpectedly: inspect encoder and network status, then follow the rehearsed recovery or backup-encoder procedure. YouTube advises testing backup failover; it does not promise that a stream will never be interrupted.
- The archive is unavailable: verify the stream duration and check the channel after the event. YouTube’s stated automatic archive guidance applies to streams under 12 hours.
