YouTube’s general encoder guidance explains how to connect an encoder, but it does not prescribe one universal loop procedure. Confirm the feature in the encoder you choose, then test the full stream before relying on it unattended.
Choose how the demo will run
The core decision is whether to run the encoder yourself or use a dedicated device or cloud service. YouTube supports both software encoders running on a computer and dedicated hardware. Its guidance says expensive equipment is not required, while recommending professional-grade hardware for higher-production-value events. Whichever route you choose, verify that it can repeat the file or schedule prerecorded playback; do not assume every encoder can loop.
| Option | Prerecorded playback | What must remain available | Best fit |
|---|---|---|---|
| Computer software encoder | Depends on the encoder; confirm repeat or scheduling controls in its current documentation. | The computer, encoder, and reliable upload connection must remain running; someone should be able to monitor and recover the setup. | A team that already has an encoding workflow and wants control over overlays, audio, or other production elements. |
| AJA HELO Plus with optional PlayToStream | YouTube describes PlayToStream as scheduling prerecorded media to YouTube Live without a computer. | The device, media storage or network location, and reliable upload connection. | A physical encoder option when scheduled prerecorded playback without a computer is important. YouTube describes the HELO Plus as an H.264 encoder that can also record to SD cards, USB storage, or network locations. |
| Cloud service | Depends on the service and its current capabilities; verify repeat or scheduling support. | The service runs the playback remotely, but a stable internet connection is still needed to configure and monitor the stream. | A team that does not want a local computer to run the stream continuously. |
YouTube’s encoder guide lists Upstream as a browser-based 24/7 cloud live video streaming studio and Gyre as a cloud service for 24/7 streaming of prerecorded videos on YouTube. The guide does not establish their current plans, prices, or exact playback controls, so check those details directly before choosing either.
Prepare the demo and confirm the rights
Make a file for repeated viewing
Edit the booth footage into a self-contained video that makes sense to someone arriving at any point in the loop. Check the opening and ending for abrupt cuts, dead air, or a transition that becomes distracting on repeat. If viewers may join midstream, include enough context in the video itself to identify the product and explain what they are seeing.

Clear every element for online use
Before broadcasting, confirm that the business has the necessary rights for the footage, product images, logos, voiceover, music, and any other third-party material in the video. Rights to play a clip at an exhibition do not by themselves establish permission to livestream it or keep an online archive. YouTube’s livestream terms put responsibility for the necessary rights, including music licensing rights, on the content provider; the scope of a particular contract or license depends on its terms.
YouTube scans live streams for third-party content. A match can cause a placeholder to replace the stream and can lead to interruption or termination if the material remains. Even licensed material may interrupt a live stream if the rights owner has not allowlisted the channel through Content ID. Resolve licensing and any required allowlisting before the event rather than waiting for a warning during the broadcast.

Set up the YouTube Live stream
- Enable livestreaming for the channel. YouTube says a channel must be verified and must not have livestreaming restrictions in the prior 90 days to livestream. Confirm eligibility in the channel before planning the broadcast.
- Create or schedule the stream in YouTube Studio’s Live Control Room. Set the audience access to the intended level—public, unlisted, or private—and confirm the watch page is available to the people who need it. For an event follow-up, decide whether the stream should be publicly discoverable or shared only by link.
- Copy the stream URL and stream key from Live Control Room. YouTube’s encoder instructions use these values to connect the encoder to Live Control Room. Treat the key like a password: anyone who obtains it may be able to send a feed to the stream. Keep it out of public documents and rotate it if exposed.
- Configure the encoder’s playback behavior. Enter the YouTube stream URL and key in the encoder, select the prepared file, and enable its documented repeat, playlist, or scheduled-playback mode. Exact controls vary by product; confirm what happens at the end of the file, after a restart, and if the connection drops. Also check whether the encoder can start and stop the YouTube broadcast automatically or whether an operator must do that.
- Check the stream preview before going live. Start the encoder feed and inspect the Live Control Room preview for picture, audio, orientation, overlays, and the expected transition back to the beginning of the demo. Confirm playback from the public or unlisted watch page on a phone as well as a computer.
Check bandwidth, schedule, and monitoring
A loop is only useful while the encoder can keep sending a clean signal. YouTube recommends leaving 20% upload-bandwidth headroom. Measure the venue or production connection under realistic conditions rather than relying on a theoretical plan speed, and avoid sharing the upload capacity with heavy transfers during the broadcast.
- Prepare early: YouTube Help recommends setting up encoders at least two hours ahead and starting the encoder at least 15 minutes before the event.
- Test the whole chain: Confirm the file loops as expected, audio stays in sync, the stream preview appears, and the watch page opens for the intended audience.
- Plan for access: Test the watch page on mobile and from an account that does not own the channel. An unlisted link can be shared, but anyone with the link may view it.
- Monitor the run: Check video, audio, stream health, and the loop transition during the broadcast. For an unattended or extended run, verify the encoder’s behavior after a power interruption, network drop, or restart.
Decide in advance whether DVR, automatic start, automatic stop, scheduling, and archiving suit the viewing experience. These behaviors depend on the stream and encoder configuration; check them in Live Control Room and the encoder rather than assuming a long-running loop will behave as intended.

Troubleshooting a booth-demo livestream
- No preview appears in Live Control Room: Check that the encoder has the correct stream URL and key, that the channel is eligible to livestream, and that the encoder is actually sending. If the key may have been exposed or entered incorrectly, replace it in Live Control Room and update the encoder.
- The stream starts but the video does not repeat: The encoder may be playing a file once rather than looping it. Check its current repeat or playlist settings and test the end-of-file transition before the next broadcast.
- Playback stutters or drops: Check the available upload capacity and leave YouTube’s recommended 20% headroom. Reduce competing uploads or move to a more reliable connection, then verify stream health in Live Control Room.
- Viewers cannot open the watch page: Recheck whether the stream is public, unlisted, or private and test with an account outside the channel. Share the correct watch-page link with the intended audience.
- The stream is interrupted by a rights warning: Review the flagged material, the relevant license, and whether the rights owner has allowlisted the channel through Content ID. Do not assume that permission for exhibition playback covers livestreaming.
- The stream stops during an unattended run: Check what the encoder does after a network or power interruption and whether automatic reconnection or restart is supported. YouTube’s general encoder instructions do not define one universal recovery behavior; verify it with the selected product and test it before relying on it.
