What’s actually slowing this PC down?

Start by choosing and contacting the charity—not by posting a donation link. Confirm who is authorized to raise funds, how payments reach the organization, what fees or delays apply, and what you can accurately tell donors about tax deductibility. Then check the rules where you will solicit, publish clear campaign terms, and use the same explanation in your livestream and posts.
1. Choose the beneficiary and confirm its identity
Name the organization precisely and verify that you have the right organization, not one with a similar name. Decide what the fundraiser is for and whether the charity accepts support for that purpose. In the United States, the IRS Tax Exempt Organization Search is a starting point for checking whether an organization qualifies to receive tax-deductible contributions; a charity’s name or a campaign’s charitable purpose alone does not establish that status.
Before promoting the campaign, contact the organization and agree on the purpose, dates, donation route, transfer arrangements, and who will answer donor questions. Ask whether it will provide approved wording or branding, and who will confirm the amount ultimately received.
2. Get authorization and define your role
Do not imply that you are the charity, its official representative, or an authorized fundraiser unless the organization has agreed to that relationship. For U.S. fundraising events, IRS guidance says the charity should conduct the event; if someone else conducts it, the charity must clearly authorize that person to act as its agent if donors are to document gifts to a qualified charitable donee. Keep the authorization and agreed responsibilities in writing.

Settle practical questions with the charity before launch:
- Who is responsible for collecting and transferring the money?
- What campaign description and use-of-funds language has the charity approved?
- Who handles donor questions, refunds, or a failed transfer?
- How and when will the final amount be confirmed?
3. Choose a donation route by following the money
A donation button or fundraiser page does not by itself tell supporters who legally receives a payment. Depending on the arrangement, money may go first to you as organizer or to an intermediary portal, which may issue a receipt and retain a fee before forwarding funds. Read the platform’s terms and establish the actual payment flow before sharing its link.

| What to establish | What to tell supporters |
|---|---|
| Recipient and custody | Name the initial recipient and say whether the charity receives payments directly or through you or an intermediary. |
| Fees and net proceeds | Explain relevant platform or processing fees and whether the charity receives less than the gross amount donated. |
| Transfer timing and failure handling | State when funds are expected to be sent and what happens if the platform cannot deliver them to the intended organization. |
| Donor information | Check whether donor details are shared, with whom, and whether the information is public. |
| Tax documentation | Identify which entity issues any receipt and what that receipt represents; do not treat a platform listing as proof of charity vetting or endorsement. |
Use plain language on the campaign page and in your stream. For example, distinguish “donations go directly to [organization] through [named route]” from “I will collect the proceeds and donate them after the campaign.” These describe different fund flows and should not be blurred.
4. Check solicitation rules for your location
For U.S. creators, IRS guidance notes that many states require charities to register with a state agency before soliciting residents; paid solicitors and fundraising counsel may face additional requirements. The applicable rule depends on the state and the specific arrangement, including your role and compensation. Check with the relevant state regulator or qualified local counsel before soliciting, especially if your campaign reaches people in multiple states.

Outside the United States, use the charity regulator and legal guidance for the places where you and your intended donors are located. The Charity Commission’s social media guidance applies to charity trustees in England and Wales; it does not establish rules for other jurisdictions. It was updated on 21 April 2026 and advises trustees to manage social-media risks and have an appropriate policy.
5. Describe the fundraiser and tax treatment accurately
State the beneficiary, purpose, campaign dates, donation destination, and any conditions on transferring the money. Explain material fees and delays before asking people to contribute. Do not promise that a payment is tax deductible simply because you call the campaign charitable.

Under U.S. federal tax guidance, gifts to individuals are not deductible, and deductible charitable contributions generally must go to a qualified organization. If you collect payments personally and plan to donate the proceeds later, do not describe each supporter’s payment as a direct deductible gift to the charity unless there is a sound basis for that claim. Benefits such as merchandise or admission can also affect the deductible amount.
For U.S. donors, the IRS says that a contribution of $250 or more requires a contemporaneous written acknowledgment from the qualified organization for the donor’s records. Current IRS Topic 506 guidance also describes a provision beginning in tax year 2026 under which certain non-itemizers may deduct up to $1,000, or $2,000 for joint filers, for qualifying cash contributions subject to the stated conditions. Donors should check current IRS rules and their own circumstances; this is not a promise that a particular campaign gift qualifies.

6. Promote it clearly during a livestream
Put the same accurate beneficiary and payment explanation wherever you promote the campaign: the stream, campaign page, posts, and replay. If you use a donation link or QR code on screen, make sure people can also find the destination and its terms without relying on a fleeting display. Avoid language such as “every dollar goes to the charity” unless that is true after fees and through the actual payment route.
Keep sponsor endorsements separate
If you endorse a sponsor’s product or service and have a material connection—such as payment, employment, personal or family ties, or free or discounted goods—disclose that connection clearly alongside the endorsement. FTC guidance recommends that video disclosures appear in the video itself, not only in its description. For a live stream, repeat the disclosure periodically so viewers who join later can see it. A platform’s built-in disclosure feature can supplement, but should not be assumed to replace, a clear disclosure. Do not suggest that a sponsor supports the charity unless it does.
7. Run the campaign, then close the loop
Before going live
- Confirm the charity, approved purpose, authorization, and dates.
- Test the donation route and verify the recipient, fees, receipt issuer, privacy terms, transfer schedule, and failure process.
- Prepare one short, consistent explanation of where the money goes and any limits on deductibility.
- Place the campaign link and material terms where viewers can find them, and prepare any required sponsor disclosures.
After the campaign
Reconcile gross donations, fees, and transfers. Confirm when the charity receives the funds, then publish a factual closeout stating the amount raised and, where appropriate and authorized, the amount delivered. Share confirmation only in a way that protects donor information.
Or let it run in the cloud
If your fundraiser uses a prerecorded YouTube stream, StreamNeo can loop uploaded videos from the cloud: upload a recording or build a playlist, add your YouTube stream key once, and go live. It is for prerecorded video on YouTube, not a camera feed or a donation-processing service.
