Manage video-editing media by giving files and project items a predictable structure, keeping source files in stable locations, relinking missing media carefully, and choosing deliberately which originals or proxies to collect for transfer or archive. The exact controls differ across Premiere Pro, DaVinci Resolve, and Final Cut Pro, but the same principle applies: know where each asset lives and verify the project still points to the right files.
1. Build a structure that makes sense as the edit grows
Start with a small set of clear groups, then add detail only when the project needs it. A practical structure might include sources, audio, stills, selects, sequences or timelines, and project versions. Use labels that collaborators can understand without explanation.
In Premiere Pro, bins can contain source files, sequences, and nested bins, so you can organize both footage and the edit itself. Adobe also notes that bins can hold main or backup sequences. - Group by purpose or asset type before creating many narrow categories.
- Use consistent names for versions and selects so people can distinguish working material from approved material.
- Keep project items, such as sequences, organized alongside the media they relate to when that helps collaborators navigate the edit.
2. Import and review media deliberately
DaVinci Resolve’s Media page is designed for importing and organizing footage, syncing it, and adding metadata. It can browse connected drives and preview footage before adding it to the Media Pool; it also supports viewing or editing metadata, syncing separately recorded audio and video, extracting audio, and cloning or backing up camera media. These are available workflow capabilities, not steps every project must use.

For camera-based work, consider backing up camera media during ingest when your workflow supports it. Review clips and metadata before committing to an organization scheme; early labeling is easier than sorting an entire project after the edit is underway. Interface details can vary by application version, so consult the relevant product documentation for your installed version.
3. Keep source file locations stable
A video-editing project generally refers to media at file paths rather than containing every source file inside the project. In Premiere, moving, renaming, or deleting imported files outside the application can cause clips to appear offline. Avoid changing source locations after import unless you have a plan to relink them.
If the project must move between computers or drives, decide on a consistent folder and destination before transferring files. Keep the project and its media organized in a way that makes the expected paths clear to anyone opening it.

4. Relink missing media without guessing
When Premiere reports offline clips, use its Link Media or Locate workflow to point the project to the correct file. Adobe’s relinking dialog can use file properties to match media and can automatically relink clips, but a filename match alone is not enough to prove that the file is the correct source. Adobe documents the workflow in Relink offline clips in Premiere.

- Locate a known correct source file, using the previous path and relevant matching properties to guide the search.
- Review the proposed match before confirming. Check the clip itself in the timeline or viewer to ensure it is the intended take and not a similarly named file.
- After relinking, inspect other affected clips and verify that the project plays correctly.
Relinking to a different file replaces the offline source throughout the project, so verify identity before accepting a match. If the project has several versions of a clip, compare the actual content and properties rather than relying only on names.
5. Keep proxies and full-resolution originals distinct
Proxies make it possible to edit with lower-resolution or otherwise lighter media while preserving a relationship to the source footage. Treat proxies and originals as different roles, and keep their locations and relationships understandable.

Adobe’s documented Premiere proxy reconnection workflow applies to specified video-only, audio/video, and offline proxy clips. Before high-quality finishing tasks such as color correction, complex effects or compositing, or audio mixing, Adobe recommends reconnecting the full-resolution media. See Adobe’s instructions for reconnecting full-resolution media to proxies. Do not assume that these exact eligibility rules or controls apply to other editors.
6. Consolidate media for transfer or archive
Before handing off or archiving a project, decide what media the destination needs: originals, optimized media, proxies, or a deliberate subset. Final Cut Pro can consolidate selected libraries, events, projects, or clips to a chosen library storage location, and its consolidation dialog lets you choose original, optimized, or proxy media. If optimized or proxy media is selected but is not available, Final Cut Pro can offer to generate it. Apple’s guide to Final Cut Pro libraries also describes consolidation as a way to collect media for housekeeping or archiving. When consolidating into a managed library, Final Cut Pro copies the media into the library and leaves the original undisturbed. Verify the consolidated copy and any other library dependencies before deleting originals; consolidation should not be treated as proof that every item needed for a handoff or restore has been included. 7. Choose storage around the project, not a generic speed claim
A connected external drive can be useful for active project storage or moving media between locations, and Resolve’s documented workflow includes browsing connected drives and cloning camera media. Final Cut Pro also lets you choose a storage location for consolidated media. But there is no single capacity or sustained-performance figure that fits every edit: storage needs depend on the footage formats, project size, number of streams, editing setup, and backup requirements. Keep a separate verified backup for important source media and project files rather than relying on one working copy.
8. Troubleshoot common media problems
Clips show as offline after a drive or folder change
The editor may still be looking at the old path. Restore the original location if practical, or use the application’s relink workflow and verify each match. In Premiere, external moves, renames, or deletions can make imported files offline.
A relinked clip is the wrong take
Several files may share similar names. Stop and locate the known correct file, then compare its content and relevant properties before confirming; an incorrect relink can replace the source throughout the project.

The project opens, but the finishing media is not full resolution
If the edit uses proxies, check that the correct full-resolution media is connected before color correction, complex effects or compositing, or audio mixing in Premiere, following Adobe’s documented proxy reconnection workflow.
A transfer or archive is missing media
Recheck which media types were selected for consolidation and whether the destination contains the intended library or collected files. In Final Cut Pro, the consolidation choices distinguish original, optimized, and proxy media; verify the copy and required dependencies before removing the source.
