To create an SRT subtitle file for a pre-recorded video, transcribe the final version, divide the words into timed cues, save the plain-text file as UTF-8 with a .srt extension, then upload and preview it on the destination platform. An SRT file contains captions and timestamps, not video. One important distinction: here, “SRT” means SubRip subtitles—not Secure Reliable Transport, a separate live-video transport protocol.
What goes in an SRT file?
An SRT file is plain text arranged as a sequence of caption cues. Each cue contains a number, a start and end time, the caption text, and a blank line before the next cue. For the timestamp format in Vimeo’s specification, use hh:mm:ss,mmm: two digits each for hours, minutes, and seconds, followed by a comma and three millisecond digits.

How to make the file

Start with the final video
Write and time captions against the exact edit that will be streamed or uploaded. Any later cut, inserted segment, or changed opening can shift cue timing. Vimeo OTT specifically says subtitles must be uploaded again if the video is replaced.

Transcribe speech and relevant sounds
Preserve the spoken words accurately, including names and terminology. For captions intended to convey audio to viewers who cannot hear it, include meaningful sound cues where appropriate—for example,
[applause]or[thunder]. YouTube’s manual-caption guidance includes this kind of non-speech information. -
Divide the transcript into cues
Give each cue a sequential number, a start and end timestamp, and one or more lines of text. Break captions at natural phrases so they are readable while on screen. The cited platform guidance does not establish a universal line-length or display-duration limit; treat those choices as editorial judgment, not a platform-wide rule.

Match timestamps to the media timeline
Set each cue against the video’s actual playback timeline. Vimeo OTT instructs users to use media timecode rather than SMPTE timecode. Check timing at the beginning, middle, and end, since a file can start correctly but drift after an edit or timing error.

Save as UTF-8 plain text
Use a text editor that can save plain text, select UTF-8 encoding, and name the file with the

Validate the cue structure
Before upload, check that the first cue number is
1, cue numbers proceed sequentially, each cue has both timestamps and caption text, and each cue is separated by a blank line. Use two-digit hours, minutes, and seconds, three digits for milliseconds, and a comma before the milliseconds, as in00:00:07,751. -
Upload and preview on the destination
Choose the intended language and subtitle or caption track in the platform’s controls, upload the file, and preview it against playback. Correct spelling, punctuation, speaker names, and synchronization before relying on the track.

How to add an SRT file on YouTube or Vimeo

Will the captions appear during a pre-recorded live stream?
Not necessarily. A subtitle file attached to an uploaded or archived video is a caption asset for that video. That alone does not establish that the captions will be sent during a live encoder session or live simulcast. The available platform instructions describe video subtitle workflows and, separately, Secure Reliable Transport; they do not establish a universal method for sending an SRT caption file as live captions.
If your goal is captions in the live broadcast itself, confirm the exact platform, encoder, and event workflow support caption ingest before scheduling. Do not confuse a SubRip .srt file with an SRT stream URL, stream ID, or passphrase: Secure Reliable Transport is a different technology. YouTube Studio’s file-upload instructions concern the video’s subtitle track, not a promise that a caption file will accompany every live output.

Why are my captions out of sync or rejected?
- The cues drift after the start: Confirm the timing was made against the final media version and its playback timeline. An edit can shift later cues; re-time them against the actual video.
- Special characters look wrong: Save the plain-text file in UTF-8 and preview it in the destination player.
- The platform rejects the file: Check the
.srtextension, sequential cue numbers, timestamp punctuation and digit counts, caption text, and blank line between cues. Confirm the chosen workflow accepts SRT; Vimeo standard video recommends WebVTT even though it supports SRT. - The uploaded track does not show on the live output: Check whether you uploaded captions to the on-demand video or configured a separate live caption-ingest workflow. Uploading a subtitle file to a video does not by itself confirm live caption delivery.
- Captions vanished after replacing the video: For Vimeo OTT, upload the subtitle file again after replacing the video.
