To record a virtual event on YouTube, send the event through an encoder to a scheduled or immediate YouTube live stream, check the Live Control Room preview, and keep a local recording as backup. YouTube says it can automatically archive streams under 12 hours, but streams longer than 12 hours may not be captured. For an event you cannot afford to lose, record locally as well as streaming.
Before the event: set up the YouTube stream
Enable live streaming and choose a schedule
If this is the channel’s first live stream, enable live streaming in YouTube Studio first. YouTube says activation can take up to 24 hours, so do not leave this until event day. In YouTube Studio, open the Live Control Room and create or schedule a stream. Set its title, audience, visibility, and other event details, then confirm the intended watch page and access settings. A scheduled stream gives you a watch page to share ahead of time; starting without a schedule is possible, but offers less time to check the listing and distribute its link. Prepare a local recording
Use your encoder’s local-recording option as a second copy of the event. YouTube recommends keeping a local archive backup, particularly because its automatic archive guidance does not guarantee capture of streams over 12 hours. Before the event, choose the destination drive, confirm there is enough free space for the whole recording, and verify that the local file is growing during your test and the live event. Connect the encoder to YouTube

In the Live Control Room, open the stream’s settings and copy the server URL and stream key.

In the encoder’s streaming settings, select a custom or YouTube RTMP destination as appropriate, then paste the server URL and stream key into the matching fields. Exact field names vary by encoder.

Enable local recording in the encoder and select a location with adequate free storage. If the encoder allows separate stream and recording quality settings, confirm both before rehearsal.

Start the encoder feed and wait for the event image and sound to appear in the Live Control Room preview. Do not start the public event until the preview is correct.
Treat the stream key like a password: YouTube describes it as the credential that directs the encoder feed to the stream. Do not share it in event documents, screenshots, or public chat. If it is exposed, reset it in the Live Control Room and replace it in the encoder before the event resumes. YouTube’s stream-key instructions explain the credential and reset process.

Choose stable video settings
Set resolution and bitrate for the connection and production you can sustain, rather than selecting the highest available quality by default. YouTube recommends leaving about 20% upload-bandwidth headroom above the total streaming bitrate. For example, if the encoder sends 10 Mbps in total, the upload connection should have roughly 12 Mbps available for the stream, with additional capacity preferable when other devices share the connection. This is a planning margin, not a performance guarantee.
YouTube’s current encoder recommendations include H.264 video, constant bitrate (CBR), and a two-second keyframe interval; the interval should not exceed four seconds. Match the encoder’s output to the event’s intended resolution and frame rate, and avoid changing settings mid-event unless needed to recover from instability. Consult YouTube’s encoder settings recommendations for the current details.
Rehearse, go live, and monitor the event
Run a test before event day
YouTube recommends setting up the encoder at least two hours ahead and starting it at least 15 minutes before the planned event. Rehearse with sound and movement similar to the real program: a static title slide may not expose the same audio, motion, or bandwidth problems as a presenter, gameplay, or video playback. Confirm that the watch page opens for the intended audience, check the preview, listen for clean audio, and verify the local recording file is increasing in size.

Watch for dropped frames, unexpected freezes, black video, or audio that is too quiet or distorted.

Confirm the event title, visibility, and scheduled start time before sharing the watch page.

Keep a person available to monitor the Live Control Room and encoder during the event.
Start and end the stream cleanly

Start sending the encoder feed at least 15 minutes before the announced start.

Wait for the Live Control Room preview, verify video and audio, then click Go live for the scheduled stream.

During the event, monitor the YouTube preview and the local recording. If the stream stops, check whether the encoder is still sending and whether the local file is continuing.

At the end, end the stream in YouTube, then stop the encoder as directed in YouTube’s workflow. The operational checklist advises stopping the encoder after the event has stopped on YouTube.

Find and verify the YouTube replay
After ending the broadcast, open YouTube Studio and check the Live tab for the saved recording. Review the beginning, middle, and end; confirm the audio and picture are intact and that the full event is present. Adjust the archive’s visibility or delete it through the video’s content controls if required. Do not assume the replay is ready until you have checked it.
YouTube says it can automatically archive live streams shorter than 12 hours. A stream longer than 12 hours may not be captured at all, so a local recording is essential for longer events or any broadcast where losing the replay would matter. The threshold is YouTube’s guidance, not a promise that every shorter stream will archive successfully. See YouTube’s archive guidance.
Copyright, music, and event permissions
YouTube scans live streams for third-party content. If copyrighted material remains in the stream after a warning, YouTube may interrupt or terminate it; an archived stream may also receive a Content ID claim after the event. A license to use a song or video does not necessarily prevent an automated match: YouTube says a rights owner may need to add the channel to its allowlist where licensed material is protected through Content ID. See YouTube’s live-stream copyright guidance.
Plan rights clearance for every element you broadcast, including music played before or between sessions, presentation clips, game footage where relevant, and material supplied by speakers or sponsors. YouTube’s livestream terms place responsibility on the content provider, stating: “You represent and warrant that you have all necessary rights for the exploitation of the Live Content on the Google Services throughout the world, including, without limitation, music licensing rights from artists, record labels, publishers (including public performance licenses) and any other royalty participants.” If you cannot verify permission for an item, remove or replace it before going live.
Equipment: what is optional
The basic setup is YouTube Studio and an encoder. A webcam or external microphone can help for a presenter-led event, but neither is required if the production already has suitable video and audio. More complex productions may use multiple cameras and microphones or a hardware encoder; choose equipment based on the event’s actual production needs. YouTube describes these as possible hardware setups in its encoder streaming guidance.
