How to Record an Interview: A Step-by-Step Guide

A practical guide to recording an interview: plan the use, get consent, test your setup, capture clear audio or video, and store the file securely.

To record an interview, first explain what the recording is for and get the participant’s informed consent; then choose a quiet setting, test your device with a short recording, and monitor it while you talk. A smartphone is enough for a simple audio interview. You do not need a studio, but you do need a plan for consent, sound, and secure handling of the file.

1. Decide what the recording needs to capture

Choose between audio only, video, or a remote-call recording based on how you will use the material: for example, to review the conversation, prepare a transcript, or share an agreed excerpt. Tell the participant the purpose and intended use before seeking consent. Plan who will have access to the recording, where it will be stored, whether it will be shared, and when it will be deleted.

Recording and privacy obligations vary by jurisdiction and by context. Check applicable law, organizational or institutional rules, and participant agreements for your situation. GOV.UK’s user-research guidance requires informed consent in that setting, but it does not establish a universal rule for every interview: Taking notes and recording user research sessions.

2. Prepare questions that leave room for answers

Make a flexible outline of topics and open-ended questions rather than a rigid script. Prompts such as “What happened next?” or “Can you give me an example?” invite the participant to explain in their own words. Listen carefully, allow pauses, and use follow-ups to clarify unfamiliar terms or details.

Digital.gov recommends planned but unscripted questions in its guide to conducting interviews: How to conduct an interview. The National Park Service’s oral-history guidance likewise emphasizes respectful listening and giving the narrator room to tell the story: Interviewing.

3. Choose an appropriate place and recording setup

For an in-person audio interview

Pick a quiet, comfortable place where the participant can speak freely. Close doors or windows if outside noise is distracting, silence notifications, and turn off avoidable noise sources. Put the recording device on a stable surface within reach so you can check it without interrupting the conversation.

For video or a remote interview

Test the camera, microphone, recording controls, internet connection, and playback before the participant arrives or the call begins. Check that the participant is framed appropriately and that the lighting lets them be seen. For a job-interview video call, UK National Careers Service guidance includes checking the software and microphone, charging devices, choosing a quiet place, and positioning a computer camera at eye level; those are context-specific practical tips, not universal production standards: Video interview advice.

Choose equipment to match the job

  • Smartphone: a practical minimal option for straightforward audio capture. Test it in the room where you will interview and make sure it has enough battery and storage.
  • Digital recorder, external microphone, and headphones: useful if you want a dedicated audio setup or need to monitor sound. The American Library Association’s guide identifies these as basic components for recording an oral history: Oral History: Conducting Interviews.
  • Existing video-call setup: convenient for remote conversations, provided you test the recording function, audio, video, connection, and playback in advance.

None of these options is a requirement for every interview. Choose a device you can operate confidently and test it in the conditions you expect to use.

4. Get informed consent before you press record

Explain what will be recorded, why you are recording it, who may use or hear it, and any relevant confidentiality, sharing, retention, or withdrawal terms. Give the participant a chance to ask questions and agree before recording starts. Keep evidence of consent in a form suitable for your project, such as a signed form or an agreed recorded confirmation when appropriate.

For example, Digital.gov offers this sample wording for a specific user-research context: “With your permission, I would like to record this call. The recording will only be used to help us figure out how to improve the site, and it will not be seen by anyone except those working on this project.” Adapt wording honestly to your own purpose and arrangements; sample language is not universal legal consent language. NSW education evaluation guidance similarly advises confirming active recording consent up front and keeping the interaction on record: Evaluation.

5. Set up and test the recording

  1. Charge and check: charge or connect the device, confirm available storage, and check cables, microphone connections, and recording controls.
  2. Position the microphone: avoid covering the built-in microphone. If you are using an external microphone, the ALA guide suggests starting about one hand span—roughly 5 inches—from the speaker’s mouth, with minimal handling movement. Treat that as practical guidance for that setup, not a universal microphone specification.
  3. Make a short test: record a few seconds of ordinary speech from the position the participant will use.
  4. Play it back through headphones: listen for clear, intelligible speech, distracting background noise, distortion, or a microphone that is too quiet. Adjust the position or setting and test again if needed.
  5. Check the recording controls: confirm that the correct microphone and recording mode are selected, and that the device is actually capturing sound.

6. Start clearly and conduct the conversation

Once consent is established, begin the recording and confirm that it is running. State only the identifying details the project needs—such as the date, project name, and an appropriate participant identifier. Avoid recording unnecessary personal details, especially in sensitive research. If suitable for the project, capture the participant’s verbal consent at the start as well as preserving any other required consent record.

Keep the conversation natural. Ask one open question at a time, listen without rushing to fill pauses, and follow up when a point needs clarification or an example. Check periodically that the device is still recording and that sound remains usable, doing so unobtrusively. Digital.gov and the National Park Service both provide practical advice on interviewing and listening: Digital.gov’s interview guide and the National Park Service’s interviewing guidance.

7. Close the interview and manage the recording securely

Thank the participant and explain any agreed follow-up. Stop the recording and confirm that the file has been saved. Transfer it to the approved secure location, restrict access to people who need it, and handle the recording and consent records according to the terms you explained. Before wider use, review the material for confidential or identifying information. When your project process allows, remove copies from personal devices after confirming the secure transfer.

Common recording problems and fixes

  • The recording is silent: verify that the device is recording, the correct microphone is selected, and the microphone is not blocked. Make another test and play it back before continuing.
  • Speech is hard to understand: move the microphone closer, reduce background noise, and make another short test. Check that the participant is speaking toward the microphone.
  • There is handling or room noise: stabilize the recorder, avoid touching it during the conversation, and turn off avoidable noise sources.
  • The video or remote call is unreliable: check the connection, camera and microphone permissions, recording controls, and playback before the session. If a remote recording cannot be confirmed, agree on another appropriate way to proceed rather than assuming it captured the call.
  • The file is missing or incomplete: check the device’s saved recordings and available storage, then confirm the file has transferred successfully before deleting any original copy.
