How to Use Webinars for Thought Leadership

A webinar builds thought leadership when it answers a real audience question with useful expertise, well-planned interaction, and relevant follow-up.

Use a webinar to show a specific audience how you think about a problem it cares about—not simply to put a presentation online. Start with a clear audience outcome, build a useful argument around it, invite participation, then follow up with the recording and relevant resources. Measure whether the session advanced its purpose, not just how many people registered.

Start with the audience and the outcome

A webinar is a format, not a strategy on its own. Before choosing a title or slides, decide who the session serves, what question it answers, and what participants should understand or be able to do afterward. Cvent recommends linking the webinar objective to measurable goals; thought leadership and brand awareness are suitable early-stage purposes, while demos and case studies may fit a middle stage and comparisons a later one. Write a one-sentence promise and use it to check the abstract, agenda, slides, and promotional copy. For example: “For studio community managers, this session explains how to turn recurring player feedback into a prioritized update plan.” Choose one primary objective and a few measures that show whether you met it.

Choose a topic that demonstrates expertise

Build the session around a consequential audience question, an emerging issue, a practical framework, original analysis, or lessons from experience. Explain the reasoning behind your recommendations and where trade-offs exist. A useful thought-leadership webinar leaves the audience with a way to think or act differently; it is not merely a string of assertions.

  • Anchor the session in a question your intended audience actually faces.
  • Share the framework or evidence behind your point of view, including relevant limits and alternatives.
  • Use examples that clarify the idea without overclaiming what one example proves.
  • Keep product promotion subordinate to the educational promise. A demo should not displace a session advertised as learning-focused.

Select a format and prepare speakers

Choose the format that best serves the subject. A presentation can make a framework easy to follow; a panel can bring credible disagreement into view; a workshop can help attendees apply a method; and a Q&A can focus on audience concerns. Invite speakers for relevant expertise, not just name recognition. Ask them to explain ideas conversationally, connect visuals to their explanations, begin promptly, and prepare for likely questions. If there are multiple speakers, appoint a moderator to manage handoffs and audience questions.

Promote around the audience’s interests

Use a registration page that clearly states who the webinar is for, the question it addresses, what attendees will take away, who is speaking, and how the session will work. Promote through channels your audience already pays attention to: segmented email, social posts and speaker amplification, your website, partners, paid promotion where suitable, or relevant communities. Cvent identifies these as possible channels; the right mix depends on the audience and event.

Cvent suggests beginning promotion three or four weeks before an event and sending reminders a few days before and on the event day. Treat that as vendor guidance, not a universal rule: adapt timing and frequency to your audience, event, and channel. Make reminders useful by restating the session’s practical value and providing access details.

Design an engaging live session

Interaction should help attendees understand or apply the central idea, not interrupt it. A diagnostic poll can surface different starting points; a reserved Q&A can address real concerns; a short application prompt can help people test a framework. Use chat or a survey when the format and audience make them useful.

Prepare a run of show and rehearse the parts most likely to fail in front of an audience. Salesforce recommends testing presenters’ audio and webcams one to two days before the event and rehearsing slides, transitions, polls, and Q&A. Salesforce’s webinar guidance

  • Check each presenter’s audio and webcam, screen sharing, and slide display.
  • Rehearse speaker handoffs, transitions, and any interactive features.
  • Agree who monitors chat and questions, and how the moderator will select and route them.
  • Make time for audience questions without letting them erase the promised core content.
  • Have a backup plan for a speaker connection or presentation failure, such as a co-host ready to continue.

Follow up according to what people did

Send attendees the recording, notes, and resources promised during the session. Send no-shows a recording and a concise recap. Tailor follow-up for people who asked questions or signaled interest, addressing the issue they raised rather than sending everyone the same generic sales message. Repurpose the strongest ideas

Reuse a complete argument or useful answer as an article, short video, email lesson, or follow-on webinar. Keep enough context in excerpts for the speaker’s point to remain accurate, and attribute quotations and data properly. Review which topics attracted the intended audience, how long people stayed, what they asked, and whether follow-up assets continued to receive attention. Use those observations to refine future topics and formats rather than assuming the largest audience necessarily signals the strongest thought leadership.

Measure the objective, not activity alone

Choose measures before the event and connect each one to its purpose. For a thought-leadership session, Cvent suggests views, audience interaction, and positive feedback. Attendance, watch time, post-event engagement, and future registrations can add context, but none alone proves that the audience found the session authoritative or useful.

  • Reach: registrations, attendees, and recording views show whether the session reached people, but not necessarily the right people.
  • Engagement: watch time, questions, poll responses, and survey responses indicate participation; interpret them alongside the session format.
  • Perceived value: feedback can reveal whether attendees found the argument useful, clear, and credible.
  • Continuing interest: relevant post-event engagement and registrations for a follow-on session can show that the topic warrants more attention.

Do not treat a sample target as an industry benchmark. Cvent’s example of 500 unique views is illustrative, not a published performance standard. Vendor guidance from Cvent, Salesforce, and Zoho offers practical planning advice, but it does not establish a neutral benchmark for webinar results or a current independent ranking of webinar platforms.

Choose a platform for the session you plan to run

Compare webinar platforms against the actual event requirements: live and on-demand delivery, suitable attendee capacity, polls, Q&A and chat, registration and reminder workflows, analytics, recording and reuse, and integrations with your marketing or sales systems.
