A host or presenter leads; attendees watch and listen, with options such as Q&A, chat, or polls when the host enables them. It may happen live or be available later as a recording or on demand.
How does a webinar work?
The host sets up the event, decides whether people must register and what audience controls to use, then shares an invitation or registration link. At the scheduled time, attendees join from a supported desktop or mobile device using the supplied instructions. The host or panelists present through live audio, video, or shared materials; attendees participate through whichever tools the host has enabled. Afterward, the host may review event reports or share a recording, depending on the platform and setup. Cisco Webex explains the typical invitation-to-replay flow.
What attendees usually do
- Open the invitation or registration link.
- Register if the event requires it, and check for the joining instructions.
- Join at the scheduled time using a supported device and internet connection.
- Watch and listen, then use available Q&A, chat, or poll controls if you want to participate.
What presenters need
Presenters may use a camera and microphone connected to their device, especially when presenting live on video. Those are typical inputs, not universal requirements for every webinar. Attendees do not generally need dedicated presenter equipment; they can join on desktop or mobile. Zoom’s webinar explainer describes common presenter equipment and attendee access.
How is a webinar different from an online meeting?
A meeting is commonly organized as a conversation among participants. A webinar is commonly presenter-led, with audience participation managed by the host. Attendees may have more limited microphone or camera permissions than presenters or panelists, while still being able to ask questions or respond to polls. This is a useful distinction, not a hard technical boundary: platforms let hosts configure events in different ways. Webex, Zoom, and Microsoft’s Teams event guidance describe features and controls that depend on the event and platform.

Do you have to attend a webinar live?
No. Some hosts make a recording available afterward or provide on-demand access. Availability depends on the host’s choices, platform, configuration, and sometimes plan eligibility; an invitation should say whether a replay is available.
Live, recorded, and on-demand formats
- Live: The event takes place at a scheduled time, and presenters and attendees can interact through enabled tools.
- Recorded replay: The host shares a recording after the event, if the platform and event setup allow it.
- On demand: Attendees access a session later, sometimes after registering. For Zoom’s documented on-demand webinar setup, the scheduled webinar requires registration and automatic cloud recording; registration can remain open after the live event so later registrants can access the recording. Zoom says the feature requires a licensed user with the Webinars add-on. Check Zoom’s current on-demand webinar instructions for eligibility and setup.
Some services also offer a simulive format: a prerecorded session is presented while hosts or panelists remain available for live audience interaction. Zoom documents this option for Zoom Webinars; it is not a feature to assume every webinar service provides. See Zoom’s simulive comparison.

What should you check before joining or hosting?
As an attendee
- Confirm the event time and time zone in the invitation.
- Check whether registration is required and whether you have received joining instructions.
- Find out whether the session will be recorded or available later if you cannot attend live.
- Expect interaction to depend on host settings; a webinar may not let attendees turn on microphones or cameras.
As a host choosing a platform
- Check registration requirements and how attendees receive access.
- Confirm audience size limits and the roles and controls available to hosts, panelists, and attendees.
- Verify which interaction tools are available, such as moderated Q&A, chat, and polls.
- Check recording, replay, and on-demand options, including any setup requirements.
- Confirm whether relevant features depend on the plan, add-on, region, or event configuration.
These capabilities vary by provider and setup. Avoid assuming that a feature or capacity described for one product is universal across webinar platforms.
