Best Webinar Platforms for Financial Advisors: How to Choose

The right webinar platform depends on an advisor’s event format and the firm’s approved supervision and recordkeeping workflow. Compare Zoom, GoTo, and demo candidates with a compliance-first checklist.

There is no verified universal winner for financial advisors: choose a platform around the events you actually run, then verify that its recording or archiving workflow fits your firm’s approved supervision and recordkeeping process. Zoom documents an account-configured archiving path; GoTo Webinar advertises a broad set of event tools. Neither a webinar feature list nor a hosted recording, by itself, proves regulatory compliance.

Start with the event you need to run

A one-off prospect seminar, recurring client education series, and firm-wide multi-session event can have very different needs. Shortlist platforms against a real event plan rather than an attendee-cap headline: who will attend, how they will register and join, how staff will handle questions, and what needs to be retained and reviewed afterward.

  • Occasional solo-advisor seminar: Prioritize a straightforward registration and reminder flow, a manageable live Q&A process, and a tested route for event materials and communications into the firm’s approved recordkeeping process.
  • Recurring client education: Look for repeatable registration, invitations and reminders, useful engagement reporting, and a dependable post-event follow-up process. Confirm that integrations fit the firm’s approved CRM and communications tools.
  • Firm-wide or multi-session program: Evaluate how organizers manage multiple sessions, staff roles, registration, reporting, and the capture and retrieval of relevant event artifacts. Ask vendors to demonstrate the complete workflow with the firm’s compliance team involved.

Platforms to evaluate by use case

The available product documentation supports a feature-level comparison of Zoom Webinars and GoTo Webinar, not a defensible overall ranking. ON24 and Webex can be included in demo requests for larger or more complex programs, but their current plan capabilities, prices, and archive workflows are not established by the vendor documentation cited here.

GoTo’s compliance documents page makes security and control materials available, including technical and organizational security measures, subprocessor disclosures, and a 2024 UCC SOC 3 document. Those materials do not, on their own, establish a specific regulated-webinar archiving integration or prove that a firm’s retention and supervision obligations are met.

Compare the workflow, not only the feature list

For each shortlisted platform, walk through the complete attendee and staff experience using the event format you plan to run. Ask for current plan-specific answers in writing where limits or integrations could affect the decision.

  • Registration and communications: Can you collect the information you need, send confirmations and reminders, and route registrations or follow-up into approved systems?
  • Live participation: Which formats are supported for your event—polls, Q&A, breakouts, or multiple sessions—and which are included in the plan? Decide how moderators will handle questions and what should be captured.
  • Attendee access and accessibility: Test the join flow on the devices and networks your audience is likely to use. Ask about captioning, keyboard access, and other accessibility needs rather than assuming they are covered.
  • Replay and follow-up: Determine whether and how a replay is produced, who may access it, and which event materials and communications must be preserved separately from a public-facing replay.
  • Reporting and integration: Confirm what engagement and attendance information is available, how it can be exported, and whether CRM or marketing integrations are compatible with firm policy.
  • Administration and support: Ask who controls event settings, participant access, and staff roles, and what support is available during a live event.
  • Total cost: Obtain current plan and add-on pricing for your expected event volume, audience, integrations, and archive setup. No validated current vendor price or attendee-cap comparison is established here.

Make compliance capture a separate buying requirement

A normal recording should not be treated as proof that a webinar has been archived for compliance. Zoom expressly distinguishes its ordinary recording feature from Meeting Archiving. Zoom describes archiving as an account-configured feature for regulated users that can capture configured meeting or webinar artifacts even when recording is disabled; the archive path depends on a configured Marketplace app or another third-party platform. Zoom names Zoom Compliance Manager powered by ThetaLake and third-party examples Smarsh and Global Relay. Account administrators must contact Zoom Support to request enablement, and artifact scope and retention settings require configuration. See Zoom’s archiving documentation.

That is a documented technical path, not a determination that a particular firm, account configuration, or archive vendor satisfies its obligations. Before selecting any platform, ask the firm’s compliance staff to define what must be captured, reviewed, retained, and retrievable—and to approve the complete workflow.

Compliance workflow checklist

  1. Classify the communication with compliance. Identify the audience, distribution, content, and format, and ask which rules and firm procedures apply. Do not assume every webinar falls into the same communication category or requires the same approval process.
  2. List the records the firm needs. Ask whether the process must capture audio, video, captions or transcripts, chat, slides, handouts, Q&A, polls, invitations, or follow-up communications. Do not assume a video replay contains every required artifact.
  3. Confirm the full capture path. Identify which product, account setting, integration, and downstream archive capture each artifact. For Zoom, specifically confirm account enablement, configured artifact scope, and the Marketplace app or other platform used.
  4. Test retention and retrieval. Have the firm verify where records are stored, how retention is configured, who can retrieve them, and whether the content can be found and produced through the approved process.
  5. Confirm review and supervision. Establish who reviews materials and event communications, what approvals are needed under firm procedures, and how exceptions are handled.
  6. Run a rehearsal before inviting clients. Test the planned event and then verify that the expected records arrived in the approved archive and can be retrieved. A successful live event alone does not verify the archive workflow.

Apply FINRA guidance to the specific communication

FINRA’s guidance distinguishes communication categories by audience and distribution. Its filing guidance defines a retail communication as written or electronic communication distributed or made available to more than 25 retail investors within a 30-calendar-day period, and correspondence as communication to 25 or fewer in that period. Those definitions do not, by themselves, classify every webinar or settle the rules applicable to its content and format. See FINRA’s filing guidance.

FINRA Regulatory Notice 12-29 states that “scripts, slides, handouts or other written (including electronic) materials used in connection with public appearances are considered communications for purposes of FINRA Rule 2210.” The notice, dated June 14, 2012, also discusses supervision and recordkeeping; firms should check current rule text and procedures rather than treating the notice as a complete statement of present requirements. Questions to take into a vendor demo

  • Can you demonstrate registration, reminders, the live event, attendee follow-up, and reporting for our exact event format?
  • Which features, audience limits, integrations, and support options are included in the plan we would buy?
  • What event artifacts can be captured, and which require an add-on, account-level setting, or third-party archive?
  • Can our compliance team see the capture configuration, test the downstream retention and retrieval process, and confirm the right staff can access records?
  • What accessibility features are available for attendees, and how can we test them before the event?
  • What are the current total costs for our expected volume, required integrations, and archive workflow?
