Back up your original footage, editing projects, exports, thumbnails, captions, and business records—and periodically restore a sample file to prove the backups work.
What the 3-2-1 backup strategy means
The 3-2-1 rule is a practical way to avoid relying on a single device or location:
- Three copies: your working copy plus two backups.
- Two storage devices or media: for example, a computer and an external drive. Two folders on the same drive are not independent copies.
- One offsite copy: a copy kept separately from the location where you work, such as in a cloud backup service.
CISA and partner agencies recommend considering version control and delete protection for cloud resources in their September 2023 ransomware guide. Dropbox’s February 18, 2025 guidance also describes the 3-2-1 approach. No arrangement prevents every kind of loss, but independent copies reduce the chance that one failure, theft, mistake, or attack takes out everything.
What YouTube creators and small businesses should back up
Make an inventory before choosing storage. A finished video on YouTube is not a substitute for the source files and records you may need to edit, republish, or recover your work.

Set recovery priorities based on how quickly each item must be available. The sources cited here do not prescribe a creator-specific retention period, so choose how long to keep versions according to your projects, obligations, and storage capacity rather than treating a particular number of days or weeks as official guidance.
Build a backup routine you can verify
- Choose the essential folders. List the locations where recordings, project files, exports, publishing assets, and business records actually live. Include external drives and shared team folders where relevant.
- Make separate copies. Keep a working copy, a local backup on a different device or medium, and an offsite copy. Do not count ordinary synchronization between devices as the only backup.
- Automate regular backups. Use a schedule that fits how often your files change. Check completion alerts and investigate missed or failed runs instead of assuming the software completed them.
- Protect a copy from routine access. Keep one backup offline when practical, or use a service or configuration with recoverable version history and delete protection. A connected cloud account is not automatically immune to ransomware or mistaken deletion.
- Encrypt sensitive copies and manage access. Protect confidential material, keep access limited to people who need it, and make sure you can still retrieve the credentials or recovery keys when needed.
- Test restoration. Restore a representative file or folder to a separate location and check that it opens and contains what you expect. A successful upload or green status indicator alone does not prove recovery will work.
The Federal Trade Commission’s Cybersecurity for Small Business advises: “Make it a habit to back up important files regularly.” CISA’s September 2023 ransomware guidance likewise recommends considering version control and delete protection for cloud resources.

Is cloud sync the same as backup?
No. Sync keeps locations aligned, which is useful for working across devices, but it can also propagate an unwanted deletion or change. If a file is deleted or encrypted and the sync service mirrors that change, the synchronized copy may not provide a way back.
Use a separate backup that offers recoverable history or another form of protection from ordinary deletion. Confirm how long previous versions remain available and how to restore them; do not assume those details are the same across services or plans. Keep an offline or otherwise isolated copy where feasible.

Choose storage that matches your workflow
For an individual creator, an external drive paired with an offsite cloud backup is a straightforward starting point: the drive can make a local restore convenient, while the separate offsite copy helps if the device or work location is lost. Do not rely on a single drive as the entire plan.
A team with a larger shared library may use a NAS as pooled local storage, paired with an offsite backup. A NAS can simplify shared access, but it is still a local destination and does not replace a geographically separate copy. RAID, NAS, cloud storage, and sync each solve different problems; none alone guarantees a complete backup strategy.

Compare choices by local restore speed, geographic separation, protection against deletion or ransomware, automatic backup frequency, capacity for source footage, recovery testing, and the team’s ability to manage encryption and access. Backblaze’s NAS guidance is vendor education rather than independent comparative testing; use it as an explanation of workflows, not as a head-to-head performance finding.

Media-file backups and channel access are separate recovery problems. Backups can preserve footage and project files, but they do not restore access to a compromised or locked account. Protect the account using YouTube’s security guidance and keep recovery options current.

YouTube Help says: “For the strongest protection against threats like phishing, set up 2-Step Verification and choose a passkey as your second verification method.” A passkey and recovery options help with account security; they do not replace a backup of your original media.
Common backup failures and fixes
- The only copy is on the editing computer: add a backup on separate storage and another copy offsite.
- Sync mirrored a deletion or encrypted files: recover from a separate backup with version history or delete protection; keep an offline or isolated copy where feasible.
- A backup job stopped or skipped files: review its completion alerts, confirm the intended folders and external volumes are included, then run it again.
- A restored file will not open: test additional files and project dependencies, and verify that the backup process captures complete files rather than only references or shortcuts.
- The NAS or RAID is treated as the backup: add a separate offsite copy; pooled or redundant local storage does not protect against loss of the location or every form of deletion.
- Account access is lost: use the account’s recovery process and security options. A media backup cannot restore YouTube login access.
