For readable subtitles, start with a clear sans-serif font, strong contrast, short cues, and a position that avoids important parts of the picture. Then check the exported video on the screen and platform where people will watch it: caption styling does not look the same in every player or file format. If viewers need access to speech and meaningful sounds—not just translated dialogue—make captions rather than dialogue-only subtitles.
First, decide whether you need subtitles or captions
The terms vary by region and platform, but the distinction matters when planning what text to show. Subtitles often present dialogue, including dialogue translated into another language. Captions include speech and relevant non-speech audio information needed to understand the video, such as a meaningful sound cue. Captions can be closed, so viewers can turn them on or off, or open, meaning they are always visible as part of the image.
For a gameplay video, for example, dialogue-only subtitles may be enough for a translated conversation. Captions should also identify meaningful sounds when they help viewers follow the action. Identify a speaker in text when it is not clear who is talking. Do not rely on color alone to distinguish speakers or sounds.
Choose a readable style before adding decoration
Font and size
Use a legible sans-serif face and test it at the size it will appear on the smallest screen you expect viewers to use. Section508.gov gives 18-point white text on a translucent black background as an example default, not a universal pixel-size prescription or a requirement for every platform. Adapt the size to the video frame and delivery player, then inspect it on a phone-sized display as well as a larger screen.

Text and background contrast
Keep the text distinct from changing video backgrounds. A stable background treatment—such as a translucent dark box or outline—can help the words remain readable across bright, dark, and busy scenes. Check more than one representative frame; a treatment that works over a dark menu may disappear over a bright outdoor scene.
WCAG 2.2 sets a contrast ratio of at least 4.5:1 for normal text and 3:1 for large text under its applicable text-contrast criterion, with exceptions described in the criterion. These are standard thresholds, not proof that a particular subtitle design conforms in every context. Judge the actual text against the background behind it, including any background treatment.

Color and speaker cues
Use a consistent text and background treatment rather than changing colors as the only way to signal who is speaking or what sound occurred. When identification is needed, use a speaker name, initials, or another clear textual label. This keeps the information available to viewers who cannot distinguish the colors.
Keep each cue easy to read
Section508.gov recommends no more than two lines and no more than 45 characters per line, with fewer characters ideal. Treat these as practical guidelines rather than absolute limits for every language, screen, or platform. Break a long sentence at a natural phrase boundary instead of packing several lines into one block.

- Leave each cue on screen long enough to read.
- Avoid distracting scrolling or flashing effects.
- For captions, include relevant non-speech sounds and speaker identification when needed to understand the scene.
Place subtitles without covering useful video information
Lower-center is a common starting position, but it is not a rule. Move text when it would cover a face, sign, label, game HUD element, objective marker, or other information viewers need. WCAG 2.2 says captions should not obscure or obstruct relevant information in the video.
For open subtitles that are burned into the image, inspect the whole frame and check how the video looks in likely mobile crops. For closed captions, first confirm that the destination player supports the position and styling you want; viewers may also have their own display preferences.

Style the caption file—and verify what the player preserves
Some subtitle and closed-caption formats can carry positioning or style information, while support depends on the format and playback software. YouTube’s documentation, for example, describes format-dependent styling and positioning; its WebVTT support includes positioning but has limited styling, listing bold, italic, and underline. Do not assume settings in an editor will carry through unchanged to every upload or player.
W3C WAI cautions that “Support in browsers and other media players is inconsistent and sometimes unreliable.” Many web videos use a player’s default presentation, and some players let viewers adjust text size, color, style, or position. Keep burned-in design choices distinct from closed-caption styling, which may be controlled by the player or viewer.

- Choose the delivery method. Decide whether the text will be open subtitles in the video image or a separate closed-caption/subtitle file.
- Check the destination’s current format guidance. Confirm which formats and styling or positioning options the platform supports before relying on editor-specific settings.
- Export and upload a representative sample. Include scenes with different backgrounds and any on-screen text or interface elements near the usual caption area.
- Preview on the actual destination platform. Check a phone-sized view and a larger screen where possible. Confirm that text, timing, position, and speaker or sound cues remain legible and useful.
A practical styling checklist
- Use a legible sans-serif face and a size that remains readable on a small screen.
- Keep contrast strong and consistent across bright, dark, and busy footage.
- Aim for two lines or fewer and, where practical, 45 characters or fewer per line.
- Synchronize cues, allow time to read, and avoid distracting effects.
- Move text if it hides meaningful video information.
- Use words—not color alone—to identify speakers or important sounds.
- Preview the exported result in the destination player because format and styling support vary.
