If visitors only need to watch the recording on the booth screen, local playback may be simpler: a YouTube Live broadcast is not required just to replay a video at the booth.
Choose between booth playback and a YouTube Live replay
Use local playback when the goal is simply to show an approved video on the booth display. It avoids the encoder, streaming connection, and live-stream supervision. Retransmit through YouTube Live when you need a YouTube watch page for remote viewers, want to share a link, or have a reason to use live chat or other live-stream features.
Before choosing, consider whether visitors should pause or rewind, whether remote viewers need access, how long the booth will operate, and whether the venue’s uplink can sustain a live stream. Local playback reduces streaming dependencies; YouTube Live adds an encoder and network path, plus stream-management steps.
Prepare the replay and confirm rights
- Use a video file and playback system ready for the booth. Check that the display can play the source by the planned route and that power, sound, network access, and any required cabling are accounted for.
- Confirm permission to rebroadcast the footage and every included audio track. YouTube’s setup guidance does not establish whether a particular recording is licensed for retransmission; get clearance from the relevant rights owner before streaming it.
- Coordinate the screen and equipment plan with the venue or AV provider, then test on the actual display. Requirements differ for a smart TV, monitor, projector, or laptop-connected screen.
Set up the YouTube Live broadcast
- Create or schedule the stream. In YouTube Studio, open the Live Control Room and create a new stream or schedule one. Add a clear title and description, then select visibility: public, unlisted, or private. Unlisted can suit a link shared with an intended audience, but anyone who obtains the link may be able to view it. Check the current Live Control Room labels before the event because interfaces can change. YouTube: Create a live stream with an encoder
- Copy the stream URL and key into the encoder. YouTube Live requires an encoder feed. Enter the URL and key provided in Live Control Room in your encoder’s stream settings. Treat the key as a credential: YouTube describes it as functioning like the stream’s password and address. If it is exposed, reset it in Live Control Room and update the encoder. - Match quality to the connection. Use settings supported by both the encoder and available uplink. YouTube’s published guidance recommends H.264 at 5 Mbps for 1080p at 30 frames per second; that is a recommendation, not a guarantee that a venue connection will sustain it. YouTube also recommends testing upload bitrate and using RTMPS. Consult the current settings guidance for the exact resolution, frame rate, codec, and bitrate you plan to use, and leave uplink headroom rather than assuming the venue’s advertised speed is continuously available. - Test before opening. Send a test with motion and audio resembling the actual loop. Confirm the preview appears in Live Control Room, check image crop and audio levels at the booth display, and monitor stream health. YouTube specifically advises: “Make sure to test before you start your live stream. Tests should include audio and movement in the video similar to what you’ll be doing in the stream.” YouTube: Test your live stream
- Start the feed and go live. Start playback through the encoder, wait for the preview, and start the broadcast in Live Control Room when it is ready. During the booth’s operating hours, watch both the local source and the YouTube preview or watch page: the video may continue playing locally even if the uplink fails. - End and verify. End the broadcast in YouTube Studio and stop the encoder feed. Then check the resulting archive’s visibility and playback in Studio, and organize it as needed. YouTube says live archives are uploaded by default and can be managed there. YouTube: Manage live stream archives
Plan for stream length, DVR, and the archive
Keep archive duration below the 12-hour threshold
YouTube says streams under 12 hours can be automatically archived and warns that streams exceeding 12 hours may not be captured at all. If a booth will run longer and a complete archive matters, use planned shorter sessions that you deliberately end, and keep a local recording backup. Do not rely on a single continuous all-day or multi-day stream for a complete YouTube archive. YouTube’s Help page gives this 12-hour guidance without displaying a publication year. Decide whether viewers should seek backward
DVR lets viewers pause, rewind, and continue during a live stream. On very long streams, rewind may be limited or unavailable, and viewers cannot seek to a point before the stream began. With DVR disabled, viewers cannot seek backward during the live broadcast; they can still watch the complete recording once the archive is available. Choose the behavior that suits the booth: visitor-controlled playback or a view of the current point in the loop. YouTube: DVR on live streams
Pre-opening checklist
- The exhibitor has permission for the video and all included audio to be retransmitted.
- The visibility setting matches the intended audience, and the share link is distributed only as intended.
- The encoder has the correct stream URL and key, and the key has not been exposed.
- The actual booth network has been tested with the intended resolution and frame rate; the preview and stream health are acceptable.
- Motion, sound, levels, image crop, display playback, power, and cabling have been checked on the actual equipment.
- The operator knows how to supervise the local source and YouTube feed, end the stream, and handle a connection warning.
- If archive completeness matters, the session plan stays under YouTube’s 12-hour threshold and includes a local recording backup.
Troubleshoot common booth problems
- No preview in Live Control Room: Check that the encoder is sending to the correct YouTube stream URL and that the stream key is current. If the key was reset or exposed, replace it in the encoder settings.
- The local video plays, but the YouTube stream is unhealthy or drops: Check the booth uplink and encoder stream health, then reduce the stream settings to a quality the connection can sustain. Test again with the actual network rather than relying on a nominal venue speed.
- Viewers cannot pause or rewind: Check whether DVR is enabled. Even when enabled, seek-back can be limited on very long streams.
- The archive is incomplete or missing: A stream exceeding 12 hours may not be captured. For future sessions, plan shorter broadcasts and keep a local recording backup.
- The display is silent, cropped, or cannot open the watch page: Recheck the display’s playback route, audio output, network access, and cabling with the venue or AV provider. YouTube’s streaming setup guidance does not determine compatibility for a particular booth display.
