Decide what viewers need to understand or do, choose a format and production plan that can deliver it, select distribution channels before filming, then measure results against the goal. For a game studio, that might mean an explainer for a new feature; for a retailer, it could be a product demonstration that helps shoppers compare options.
1. Choose the business result before choosing a video
Write down one primary objective for the video or campaign. It might be to build awareness, explain a product, earn trust, support a sales decision, generate a response, or help existing customers. A video may contribute to several outcomes, but one primary goal makes it easier to choose the format and decide whether the work succeeded. HubSpot Academy’s video marketing curriculum treats defining the goal and choosing an effective video type as core strategy tasks (HubSpot Academy).
Make the objective concrete enough to guide decisions. “Promote our game” is broad; “help players understand the co-op mode so they visit the store page” gives the team a more useful direction. The objective is not a guarantee of a particular result—it is the basis for selecting the message, placement, and measurement.
2. Describe the audience and the situation
Identify who the video is for and what is happening when they encounter it. Note what they already know, the question they need answered, the obstacle or uncertainty they face, and the next action that would help them. A prospective player comparing games needs different information from a current player looking for help with an update.

Use audience evidence where you can rather than relying only on internal assumptions. Wyzowl’s 2026 strategy guide suggests examining needs, preferences, pain points, interests, motivations, and language; surveys, social polls, and focus groups are among the methods it identifies (Wyzowl’s 2026 video marketing strategy guide, last updated January 19, 2026). Existing customer questions, support requests, sales conversations, and comments can also help reveal what a video should address.
3. Match the format to the job
Choose a format because it serves the audience and objective, not because it is fashionable. The examples below are starting points, not a universal taxonomy or promises of performance.

4. Scope production around skills, time, and budget
Set ownership and approvals
Before recording, assign an owner, set a timeline and budget, and decide who reviews the script and final edit. Agree on what needs approval—such as factual claims, branding, or legal language—and who can give it. This prevents late changes from derailing a small production.
Plan the story and production needs
Write the core message and a script or outline. List the visuals needed to make the idea clear. For live action, prepare a shot list and schedule, and account for location permissions or permits where relevant. Decide whether you need editing, animation, voiceover, or specialized expertise.
Start with the equipment you have
A smartphone can be a low-cost starting point; buying a full camera setup is not a prerequisite. Treat cameras, lighting, and audio gear as optional improvements for a real production problem. For example, a lavalier microphone may be useful when a person speaks directly to camera or in an interview, but it is not required for every video. Choose in-house or outsourced work deliberately
Compare the team’s available time and skills with the video’s complexity, deadline, budget, and need for specialist work. Producing internally can make sense when the team can meet the brief with the tools and time available. Outsourcing some or all of production, editing, or voiceover can help when those requirements exceed internal capacity. The choice depends on the project; there is no universal cost threshold that determines the right answer.
5. Plan distribution before filming
Choose where the intended audience can encounter the video and what viewers should do next. Possible placements include a website, email, blog, social channel, or video-sharing platform such as YouTube or Vimeo. The right mix depends on audience habits, the video’s purpose, each channel’s format requirements, and the team’s capacity to publish and maintain the content. Wyzowl also discusses paid advertising as an option for reaching a defined audience (Wyzowl).
Plan the presentation as well as the destination: the title or accompanying copy, the page or post it appears on, and the next step for the viewer. If a video is intended to support a product decision, make the relevant product information easy to reach. If it answers a support question, place it where customers seeking that answer are likely to find it.

Use paid video campaigns only when they fit
For YouTube advertising, Google describes campaign objectives across awareness and reach, consideration and views, and action and conversions. Its Reach Planner can forecast a media plan, but forecasts do not guarantee outcomes; Google notes that actual performance may vary with factors including ad quality and implementation (Google Ads Help: About full funnel in Reach Planner, accessed October 3, 2026). Paid media is one distribution choice, not a requirement for every business video.
Keep a YouTube stream running from pre-recorded video
If your distribution plan specifically calls for an always-on YouTube stream of uploaded recordings—such as a continuous showcase of game trailers or archived sessions—one do-it-yourself option is to use a streaming computer and software such as OBS. 6. Choose measures before publishing
Decide in advance what evidence would indicate progress toward the primary objective. Views or reach can help assess awareness; watch time can show how much of a video people watch; shares can indicate that viewers are passing it along; clicks and conversions can track response. Choose measures that fit the goal instead of treating every available number as equally meaningful.
- Awareness: consider reach or views in the context of where and how the video was distributed.
- Understanding or interest: consider watch time and relevant follow-on visits.
- Response: track clicks to the intended destination and the conversions that matter to the business.
- Sharing: use shares as a distribution signal, not proof by themselves that the business objective was met.

7. Review results and improve the next video
After publishing, compare the chosen measures with the objective and the distribution plan. Look for where viewers found the video, whether they watched enough to encounter its main point, and whether they took the intended next step. Use those observations to adjust future topics, formats, calls to action, or channel choices. Treat the result as feedback for the next planning cycle, not as proof that one format will always work.
Keep the loop simple: define the goal, learn about the audience, choose a fit-for-purpose format, plan production and distribution, measure, and revise.
