How to Manage Video Editing Projects with a Team

A practical workflow for team video editing, from roles and shared media to Premiere or Resolve collaboration, proxies, review rounds, and handoffs.

Manage a team video edit by treating the project file, source media, feedback, and approval as separate parts of one workflow. Assign ownership, give every editor reliable access to the media, agree how concurrent work is divided, and make review comments specific to a version and timestamp. Collaboration features help people work together; they do not automatically provide everyone with the footage or decide whose feedback wins.

How do you collaborate on video editing with a team?

Start with a handoff map: decide who owns the project structure, media, edits, review notes, approval, and delivery. Then choose the editing and storage setup around the team’s software, scale, and media access—not the other way around.

  1. Assign roles. Name the project lead or producer, editor or editors, assistant editor or media manager if applicable, reviewers, and final approver. Specify who creates and maintains bins or folders, manages originals and proxies, consolidates feedback, and signs off.
  2. Set the project structure. Agree on folder and bin names, sequence names, file naming, version labels, and where exports go. For larger teams, divide work into clearly owned bins, sequences, or project files rather than relying on informal messages.
  3. Plan media access. Decide where camera originals, audio, graphics, music, proxies, and project files live, how collaborators receive them, and how a new workstation will relink them. Test access and relinking on each editor’s setup before deadlines begin.
  4. Choose a collaboration model. Match the application and production scale to the team’s need for a shared project, separate project files, or simultaneous work. Account for concurrency, permissions, network reliability, and where media is stored.
  5. Define review and approval. Pick a review method, name the person who reconciles conflicting notes, set deadlines, and state how approval is recorded. Track comments as accepted, deferred, or rejected against a named version.
  6. Document handoffs and closeout. At each handoff identify the authoritative project, latest approved version, media and proxy locations, linked assets or dependencies, and the next owner. Retain the approved master and project assets according to the team’s retention policy, with backups appropriate to the project’s value and storage capacity.

These are process decisions, not settings a collaboration feature can make for you. How do I share video files with remote editors?

Project collaboration and media delivery are separate requirements. Adobe states that each Team Projects collaborator needs access to the same media; sharing a project does not, by itself, move or grant access to every source file. Decide whether originals are copied to drives, kept on shared storage, or delivered through a cloud media workflow, and test file paths and relinking at each workstation before editing starts. Use a consistent inventory and folder structure for originals, audio, graphics, music, proxies, project files, exports, and approved masters. Record who owns each copy and how updates are communicated. A high-capacity external SSD or hard drive can help with local transfer, handling, or backup, but one drive alone does not create simultaneous shared access.

Use proxies when they fit the media and network

Proxies can make remote editing more practical when distributing full-resolution camera originals is burdensome. In DaVinci Resolve’s cloud project setup, Blackmagic documents options to sync no media, proxies only, or proxies together with originals. Syncing originals can consume substantial storage depending on the quantity and size of the files. How do multiple editors work on the same project?

Use a project model that makes ownership and collisions visible. The right choice depends on whether everyone uses the same editing application, how many people need to edit at once, and whether the production is better divided into parts.

How do I collect timestamped feedback on a video?

Make every review request refer to a specific version, then collect notes in one agreed channel with time or frame context. Assign one person to resolve conflicting requests, record decisions, and make approval explicit before the master export.

  • Premiere and Frame.io: Adobe describes share-for-review, timestamped comments, annotations that can be imported as timeline markers, and access to prior versions. Whichever tool you use, distinguish a requested change from an approved decision. A comment stream is not a decision owner: name who can reconcile notes and who has final approval.

How should you choose the team’s tools and storage?

Compare the workflow requirements before selecting services. Product features, account limits, compatibility, and terms can change, so verify current details for your software version and account before committing a production to them.

  • Application and project model: Does the team use Premiere, Resolve, or both? Does it need one shared project or separately owned parts?
  • Team size and concurrency: How many people edit at once, and would bin or timeline locking help prevent collisions?
  • Media access: Are originals local, on a shared network, synced, or cloud-hosted? How will remote editors relink files?
  • Proxy strategy: Who creates and shares proxies, and how will originals be restored for finishing?
  • Review and approval: Do reviewers need browser links, frame-accurate comments, version history, or formal approval?
  • Permissions and security: Who may edit, review, download, or invite others? Are client or organizational controls required?
  • Capacity and cost: What are the media volumes, storage limits, network constraints, and recurring service costs?

What commonly goes wrong, and how do you fix it?

  • A collaborator sees missing media: Project sharing has not ensured media access. Confirm that the editor received or can reach the originals or proxies, check the agreed folder locations, and relink on that workstation before editing proceeds.
  • Remote footage is too burdensome to distribute: Consider a proxy workflow and choose deliberately whether to sync no media, proxies only, or proxies plus originals. Plan the final conform to originals and account for the storage those originals require.
  • Editors overwrite or duplicate work: Clarify ownership of bins, sequences, or project files and use the application’s documented locking workflow where appropriate. Route changes through the named owner rather than relying on simultaneous uncoordinated edits.
  • Review notes conflict or cannot be acted on: Require a version reference and timestamp, ask one person to consolidate comments, and record whether each request was accepted, deferred, or rejected.
  • A handoff stalls: Identify the authoritative project and latest approved version, then provide media and proxy locations, linked assets or dependencies, and a named next owner.
  • Storage or access costs are unclear: Inventory source and proxy volumes, check the service and account limits that apply, and decide who pays for shared capacity before syncing originals or inviting reviewers.
