How to Give a Live PowerPoint Presentation

A practical guide to setting up PowerPoint, using Presenter View, rehearsing timing, navigating slides and checking accessibility for a live talk.

To give a live PowerPoint presentation, check your slides and display setup before the audience arrives, rehearse the talk aloud, and choose a slide-control method that fits the room. Use Presenter View if you have a separate presenter screen and want private notes; use manual slide advancement unless you specifically need saved timings. For remote or hybrid talks, verify the meeting platform and accessibility features on the device and account you will use.

Prepare your slides and presentation setup

Before presenting, open the deck on the computer you will use and check that the slides, fonts, links, audio and video behave as intended. If you are presenting in person, connect the projector or external display and confirm which screen is showing the audience view. If you are presenting remotely, confirm that you can share the correct slide-show window in the meeting rather than your notes or desktop.

  • Keep a copy of the presentation somewhere you can reach if the main file or device fails.
  • Check any embedded media in the actual room or meeting setup; a clip that worked on your own computer may behave differently on another display or connection.
  • Have a fallback ready: the deck open in editing view or a PDF copy you can share if Presenter View or screen sharing misbehaves.

Start the slide show and choose who sees what

In PowerPoint, start the slide show from the beginning when opening the talk, or from the current slide if you are resuming at a particular point. Microsoft’s presenting guidance covers starting and navigating a slide show; exact controls can vary by platform and version.

Use Presenter View with a second display

Presenter View can show you the current slide, next slide, speaker notes and timing on your presenter display while the audience sees only the slide show. Select or verify the intended monitor before you begin. If PowerPoint puts the audience view on the wrong screen, use the display-selection controls in Presenter View or switch to a simpler single-screen setup before speaking. Do not assume the arrangement is correct until you have checked the audience-facing display.

Present from one screen

If you have only one screen, or cannot confirm that the second display is configured correctly, prioritize showing the audience the slides. Keep notes in a separate printed or accessible format, or use a single-screen presentation mode that does not expose private notes. Practice switching between the deck and any notes or meeting controls so that private material is not accidentally shown.

Rehearse the talk and set slide timing

Rehearse aloud with the complete deck, including transitions, video and pauses for questions. PowerPoint’s Rehearse Timings feature records per-slide and total presentation timing. Use the timing information to identify slides that need more explanation or trimming.

  1. Open the presentation and start the Rehearse Timings feature from PowerPoint’s Slide Show tools. The exact ribbon labels may differ by platform or version.
  2. Deliver the talk as you intend to present it, advancing slides when you would during the actual session.
  3. Review the recorded timings and adjust the deck or spoken material where the pace is unrealistic.
  4. If you do not want the show to advance automatically, open Set Up Slide Show and choose manual advancement instead of using saved timings.

Control slides deliberately during the talk

Know how to advance, go back and end the slide show on the device you will actually use. Test those controls before the audience joins, especially if you are presenting through a meeting app or using an external display. A wireless presentation remote is an optional convenience, not a requirement; check that it works with your device and has reliable range in the room.

  • Keep a keyboard or other reliable control method within reach in case a remote fails.
  • When moving backward or jumping to a slide, pause briefly to reorient the audience.
  • At the end, exit the slide show and return to the meeting or discussion without leaving speaker notes or unrelated desktop content visible on the audience display.

Make the presentation accessible

PowerPoint documents live automatic captions or subtitles and screen-reader support for presenting. Availability and behavior can vary with platform, version, language and account setup, so check the feature on the system you will use. Automatic captions can make a talk easier to follow, but should not be treated as guaranteed-perfect transcription.

  • Check the spoken-language and caption settings before the session, and test captions with the actual microphone and room conditions.
  • When possible, provide an accessible copy of the slides or another way for attendees to follow along independently.
  • Explain important visual information aloud rather than relying on the audience to infer it from a chart or image alone.

For remote or hybrid talks, verify the current workflow

Microsoft’s support guidance says Present Live in PowerPoint for the web is deprecated and directs remote presenters toward PowerPoint Live in Teams. That does not mean every presenter or attendee automatically has access to the same workflow: confirm that your organization, account and meeting setup support the feature before telling participants how to join or interact. If the required feature is unavailable, share the slide show through the meeting platform’s normal screen-sharing controls.

Troubleshoot common presentation problems

Problem Likely cause What to do
The audience sees notes or the desktop instead of slides The wrong display or window is being shared. Stop sharing, select the audience slide-show display or window, and verify the view before continuing.
Presenter View appears on the audience screen PowerPoint has assigned the displays differently from what you expected. Use the monitor-selection controls to correct the arrangement, or switch to a single-screen setup and keep notes private elsewhere.
Slides advance too quickly or at the wrong time Saved rehearsal timings are being used when manual control was intended. Set the show to advance manually in Set Up Slide Show, then rehearse the transition points again.
A wireless remote does not advance slides The remote may not be connected, compatible or within range. Check its connection and test it with the presentation device; use the keyboard as a fallback.
Captions are missing or inaccurate The feature may not be available in that version or language, or the microphone/audio conditions may be poor. Check feature and language availability, test the microphone, and offer slides or another way to follow along.
A promised remote audience workflow is unavailable Access or interface availability differs by organization, account or platform. Verify access in advance and use the meeting platform’s standard screen-sharing workflow if needed.
