Scan or transfer each asset by the method that fits its format, prepare approved graphics and clips, then add them to a scene in streaming software. Legacy video needs a working playback device and a capture device compatible with its output; a scanner, camera, logo file and tape do not share one digitization workflow.
Start with an asset inventory and permissions check
Before connecting equipment, make a short inventory. Separate paper documents and photographs, existing digital files, and legacy or external video. For each item, note its intended role in the broadcast: a logo overlay, a document or product visual, a prerecorded clip, or a live video source.
Confirm that your business has permission to display the material. Check documents and images for personal, confidential or otherwise inappropriate information before putting them on screen. Also identify who approves logos, colors, product imagery and other brand treatments.
Choose a digitizing path for each source

Paper documents and photographs
A scanner is a straightforward option for flat documents and still images. A camera or phone can also capture them when a scanner is unavailable; take care with focus, glare, perspective and even lighting so small text remains readable on stream. Scanner software and driver support are provided by the scanner manufacturer. Adobe documents camera and scanner import into Photoshop and recommends TIFF as a handoff format for scans before opening them there: Adobe Photoshop: acquire images from cameras and scanners.

After capture, crop unnecessary borders, orient the image correctly and check that all details intended for viewers are legible. Keep an untouched source copy so you can revise the on-screen version without rescanning.
Already-digital files
Transfer the original files to the computer running your streaming software and keep them organized in a folder for the production. Use approved versions of logos, colors, banners, lower-thirds and product images. If a file does not appear or display as expected in the streaming software, confirm that the file is accessible to that computer and use a format the application can read.
Legacy or external video
To capture video from tape or another external source, you need both a working playback device and a capture device whose inputs match that device’s output. Compatibility depends on the specific playback equipment, connectors, capture-device model, drivers, operating system and application. A USB video capture card is one possible category of device, not a universal adapter for every tape format or connector.

Prepare reusable brand graphics and media
Prepare approved logos, banners, overlays, lower-thirds, product images and prerecorded clips before broadcast day. Keep a clean master of each asset and make a stream-ready copy sized and cropped for its intended placement. Adobe’s guidance covers preparing stream graphics and organizing brand assets: Adobe: graphics for live streaming and Adobe Creative Cloud: manage assets.
Think about how an asset will be used rather than treating every file as an overlay. A logo may remain visible as a scene image; a title can be a text source; a prerecorded segment should be added as media; a capture card appears as a video-capture source. Assemble and test the scene before going live
- Open your streaming software and create or select the scene. Add the camera, if used, along with the image, text, media-file and capture-device sources required for the segment.
- Arrange and size the sources. Position overlays so they do not cover faces, important document details or other essential content. Check the scene at the output size viewers will see.
- Check legibility and playback. Read small text from the preview, verify colors and cropping, and play each media source to confirm its content and audio behave as expected.
- Check transitions and source order. Switch between the scenes or sources you intend to use. Make sure overlays appear above the footage they are meant to label, and that no private document or desktop content is exposed inadvertently.
- Test external capture separately. Confirm the playback device is producing an image, then check that the capture source appears in the software. If it does not, troubleshoot the signal path and compatibility before changing unrelated scene settings.

Connect the encoder to YouTube
YouTube offers webcam, mobile and encoder routes. An encoder workflow is useful when production involves scene composition or external audio/video equipment. For an encoder, YouTube provides a server URL and stream key; enter them in the encoder’s streaming settings, then check the platform preview and stream status before publishing. Treat the stream key as a credential: do not show it in a scene or share it publicly. Common problems and fixes
- The scan looks soft or hard to read: recapture with better focus and lighting, avoid glare, and crop only after checking the text at the intended on-screen size.
- The scanner is not detected: check the scanner manufacturer’s software and driver guidance for your model and operating system.
- The capture card shows no picture: verify that the source player works, its output connector matches a supported capture input, and the capture device supports the operating system and software in use.
- A graphic or clip is missing in the scene: confirm the file is still accessible at its saved location and that the source points to the intended file.
- A scene looks cluttered or text is obscured: reposition or resize sources and preview every transition before broadcast.
- YouTube does not show the encoder preview: recheck the server URL and stream key in the encoder, confirm the encoder is sending a signal, and follow YouTube’s current status and setup guidance.
