Market a webinar by making one clear promise to a defined audience, giving people a friction-free way to register, promoting it through relevant channels, and helping registrants show up with useful reminders. The campaign continues after the live session: follow up with attendees and no-shows, then use the results to improve the next event.
1. Define the audience and the outcome
Before writing an invitation, finish this sentence: “This webinar is for [audience] who want to [specific result].” A concrete decision, problem, or workflow is more compelling and useful than a broad subject label. For example, explain what a game studio’s community manager will learn to do, rather than promoting a webinar simply as “community management.”
Choose a format that fits the promised outcome: a presentation, interview, panel, workshop, or demonstration. Name the format accurately; it helps people understand what they are signing up for. Zoom’s 2026 guide reports that 82% of surveyed attendees said knowing the format influences their decision to register. That is Zoom survey data, not a universal result. Zoom also reports a 14-percentage-point attendance difference between sessions labeled “fireside chat” and those labeled “webinar”; labels may correlate with event format and audience differences, so this is not evidence that renaming an event will cause more attendance. Carry the same promise through the title, description, landing page, speaker copy, social posts, and reminders. You can vary the angle for different channels, but keep the event’s facts and promised value consistent.

2. Make registration straightforward
Give people one destination where they can quickly decide whether the event is for them. Put the outcome near the top, then answer the practical questions before asking for a signup.
- Who: The intended audience and presenter or presenters.
- What: The topic, format, and a short outline of what the session covers.
- When: The date, start time, and time zone.
- Where: How the attendee will join, and when or how access details will arrive.
- Why: The useful outcome and any accurately described live features, such as Q&A.
Use one clear registration action and a short form. Ask only for details needed to deliver the event or qualify the audience; unnecessary fields add friction. After signup, show a confirmation and send an email with the event date, time zone, joining information or instructions, and an add-to-calendar action. 3. Set a promotion timeline
Work backward from the event date. A reasonable starting point is to begin promotion two or three weeks ahead, then increase activity as the session approaches. Adapt that window to your audience size, event format, partner coordination, and how much time you can devote to promotion.

Zoom reports a 13-day median promotion window for its top-attendance webinars, compared with nine days for lower-attendance webinars. This is an observational comparison from Zoom’s platform, not proof that promoting for exactly 13 days causes higher attendance. Treat it as a planning reference, not a rule. Zoom, 2026.
Do not announce once and go quiet. Schedule multiple touches, each with a useful reason to pay attention: the problem the session addresses, an agenda item, a speaker’s perspective, or a genuine opportunity to participate. Leave room for late registrations, but do not depend on a last-minute blast to fill the event.
4. Choose channels for audience and fit
Start with channels where relevant people already know you, then add ways to reach new audiences. Assess each option by audience access, relevance, cost and effort, attribution, and whether it can contribute throughout the campaign—not just on launch day.

Where possible, use separate tracked links or source fields to connect registrations—and, if your setup allows, attendance—to channels. Compare qualified registrations and attendance, not only impressions and clicks. Do not assume one channel will produce the same share of registrations for every publisher: audience composition and event context matter.
5. Turn registrations into attendance
A registration is not the same as an attendee. Send confirmation immediately, with the time zone, joining details, and a calendar action. Then use a reminder sequence that makes the event easy to remember and attend. One practical starting schedule is:

- About a week before: Re-state the outcome and preview a useful topic or agenda item.
- The day before: Make the date, time zone, and access instructions easy to find.
- About an hour before: Send a concise reminder with the join information.
- At the start: Send a short “we’re starting” message to registrants who can still join.
Adjust the cadence to the event and audience. Make each reminder useful rather than sending identical messages repeatedly. Mention a live Q&A, poll, or resource only if it is actually part of the session. 6. Follow up after the webinar
Prepare distinct follow-up for attendees and registrants who missed the live session if their needs differ. Share the replay and a concise recap, honor any access limits promised on the registration page, and offer a next step that fits the reason people attended—such as a related resource, consultation, demonstration, or follow-on event.
Review registrations, attendance, channel sources, replay use, questions, and subsequent actions. Use what you learn to adjust the audience promise, timing, channel mix, and reminders for the next session. Be careful about attribution: an outcome that happened after a webinar is not automatically an outcome caused by it.
7. Interpret webinar benchmarks carefully
There is no universal attendance, conversion, or return-on-ad-spend figure established for webinars. Results vary with the platform, audience, industry, and event type. Vendor benchmarks can suggest questions to test, but they are not a forecast for your campaign.

For example, HubSpot repeats a GoTo figure that email produced 57% of webinar website registrations. The year and population for the originating GoTo report are not established in the cited material, so do not treat that percentage as a current or generally applicable channel share. Similarly, Systeme.io summarizes attendance estimates from ON24, Livestorm, and GoTo, but those summaries do not establish a single definitive benchmark. 8. Prepare the live session to deliver the promise
Promotion earns attention; the event itself needs to fulfill the promise made on the page. Run a rehearsal to check the sequence, presenters, visuals, audience interaction, and joining process. Zoom advises: “Use a standalone microphone or good headset for the best audio quality.” Test the equipment you already have before buying anything. Zoom’s virtual-event guidance.
