How to Make Recorded Lessons Accessible With Captions in a 24/7 YouTube Stream

Caption each recorded lesson in YouTube Studio, then configure and test a separate live-caption source. Here’s how to check accuracy, transitions, and long-run behavior.

Caption each recorded lesson, then separately arrange for captions to reach the YouTube Live output. A caption track attached to a lesson is not, by itself, a live caption feed. Prepare and review the lesson captions in YouTube Studio, configure an appropriate live caption source, and test the handoffs between lessons before you make the stream public.

Two caption workflows serve two different purposes

YouTube captions display audio as text. For a recorded lesson, you can attach a timed caption track to that video. For a YouTube Live stream, captions must be sent to the live stream itself. The two workflows are separate: do not assume captions attached to source videos will automatically appear when those videos are played as part of a continuous live broadcast.

This distinction matters for accessibility. WCAG 2.2 Success Criterion 1.2.2 says captions are provided for prerecorded audio content in synchronized media, except when the media is a clearly labeled alternative to text. Captions should convey more than spoken words: include speaker identification and meaningful non-speech audio where needed. Captions are not simply translated subtitles; translation and accessibility captions serve different purposes. These standards do not determine which law or institutional policy applies to a particular school or course.

Prepare and caption each recorded lesson

  1. Create a timed caption track

    In YouTube Studio, open the lesson’s Subtitles area, add the language spoken, and choose one of YouTube’s documented methods: upload a caption file, enter captions manually, or submit transcript text for auto-sync. A caption file contains text and timing information; some formats can also carry positioning and style information. YouTube describes SRT and SBV as basic options. Its guidance says SRT should be plain UTF-8; confirm the accepted format in YouTube’s current caption-file instructions before preparing a batch of files.

  2. Review the captions against the lesson

    Machine-generated captions are a starting point, not a quality check. YouTube cautions that recognition can misrepresent speech because of accents, dialects, pronunciation, and background noise. Review the complete lesson for technical terms, names, equations and symbols spoken aloud, punctuation, speaker changes, and timing. Add meaningful sounds—such as an alarm or music cue—when they convey information a viewer needs.

  3. Keep the caption file with its lesson

    Store the corrected caption file alongside the lesson’s source materials. That makes it easier to fix an error, associate the track with a separately uploaded or archived video, and maintain a reliable version for later use. A caption track on a stored video still does not establish that the same captions will be sent during a live broadcast.

Choose how captions will reach the live stream

YouTube documents two live delivery approaches: captions embedded in the encoder output using EIA 608/CEA 708, or captions sent by supported software through HTTP. For its event-style workflow, YouTube describes enabling closed captions, copying a signed caption ingestion URL, and providing it to the captioner or caption software. YouTube says each stream entry point can have one caption feed and advises keeping the system clock accurate.

Automatic captions Availability and behavior depend on the YouTube workflow Review recognition quality. Live automatic captions have separate availability and persistence behavior; they are not a substitute for a verified caption plan.

The option to choose depends on whether captions must accompany a stored lesson or the live output, who supplies and reviews them, language needs, and whether synchronization survives lesson transitions and repeats. YouTube’s documented prerecorded-caption and live-ingestion workflows are distinct; its documentation does not promise that an encoder or continuous-stream service will extract a source video’s caption track and forward it as live captions. Check the exact encoder or service configuration you intend to use rather than assuming it passes captions through.

Test the complete lesson-to-lesson handoff

  1. Run a private or unlisted test

    Before publishing, test with the actual lesson files, encoder or streaming service, caption source, and YouTube stream setup. YouTube recommends testing and monitoring streams; the caption checks below are practical production checks, not a YouTube guarantee.

  2. Check what viewers can hear and read

    Open the stream in the YouTube player and confirm captions can be enabled. Compare the displayed words with the audio, check timing and speaker identification, and listen for lesson audio that has no corresponding caption when one is needed.

  3. Test transitions and repeats

    Watch captions across the end of one lesson, the start of the next, and any slate, music, silence, or gap. Confirm that the feed resumes at the right time and does not keep showing the previous lesson’s text. Test a repeat as well as the first playback; do not infer looping behavior from a single lesson.

  4. Test long-run behavior

    YouTube’s encoder guidance says streams under 12 hours are automatically archived. That statement does not establish how a 24/7 stream is archived as a whole, whether a caption feed continues indefinitely, or how caption timing behaves across stream splitting or rollover. For a nominally continuous stream, run a test beyond 12 hours and verify the behavior relevant to your setup; do not treat a short test as proof of long-run archiving or caption continuity.

Maintain captions as an operational responsibility

Keep two records: the caption file and its review status for each lesson, and the live-caption configuration used to carry captions to YouTube. For the live path, document the caption source, responsible operator, ingestion or encoder setup, and how staff will notice a failed or drifting feed. YouTube requires captions to be sent to the live stream through a supported method; assigning someone to monitor the feed is operational advice, not a platform feature guarantee.

  • Audio and text do not match: Review the source caption file first, then check whether the live caption source is using the intended text and timing.
  • Captions are missing from Live: Check that the live caption source is configured and sending to the correct stream entry point. A caption track on a recorded lesson does not prove the Live stream has a feed.
  • Captions drift or break at a transition: Check the clock, encoder or caption software configuration, and handoff timing. Repeat the test with the actual transition and loop sequence.
  • Automatic captions contain errors: Correct them through human review, paying particular attention to names, specialized vocabulary, accents, and background noise.
