How to Make a Church YouTube Sermon Stream Accessible with Audio Description

Check whether the sermon’s speech already explains its meaningful visuals. If not, add concise spoken cues live or prepare a described recording, alongside—not instead of—captions.

To make a church YouTube sermon accessible with audio description, first check whether the preacher’s words already convey the important information on screen. If they do, extra description may not be needed. If scripture slides, speaker changes, demonstrations, or other meaningful visuals add information that speech does not, describe that information briefly during the service or provide a described version for the recording. How do I make a church YouTube sermon stream accessible with audio descriptions? Start by identifying what a listener who cannot see the video would otherwise miss.

Does a sermon need audio description?

Not always. The W3C guidance on describing visual information says description is not needed when a video has no meaningful visual information beyond, for example, a person talking. A preacher who reads the displayed scripture and explains relevant visual material may already be conveying what viewers need through audio.

Review the sermon from the perspective of someone listening without seeing the screen. Add description when the image supplies meaning absent from the spoken words—for example, a slide with a key quotation, a change of speaker that is not announced, or a demonstration whose action matters to the message. W3C describes audio description as a way to provide this information to blind people and others who cannot adequately see the video.

Describe the information, not every visual detail. A concise explanation of a meaningful action or the important wording on a slide is more useful than narrating incidental camera movements or decorative elements.

How to describe slides during a live sermon

For a live service, the simplest approach is often to build descriptions into the sermon itself. W3C recommends planning description while content is being produced, rather than relying on a later fix.

  1. Review the visuals before the service. Check planned camera views, scripture graphics, slides, lower thirds, speaker changes, and demonstrations. Mark which ones communicate something the preacher will not otherwise say.
  2. Agree who will voice each cue. The pastor can describe the information naturally, or a production team member can do it at an appropriate moment. If someone else will speak, agree on a simple cueing method and confirm that their microphone is included clearly in the program mix.
  3. Say the meaningful information aloud. Read or summarize important slide text and scripture references. For example, give the verse reference and the relevant wording instead of saying only “look at the screen.” Briefly explain a visual action if it carries meaning that is not apparent from the speech.
  4. Keep the narration proportionate. Do not interrupt the sermon to describe decorative details or repeat information already spoken. The goal is to make meaningful visual content available, not to narrate everything the camera shows.
  5. Make the speaker visible when feasible. W3C notes that some viewers use mouth movements to help understand speech, so good lighting and a visible speaker can help.

If important visuals cannot be adequately described in the sermon, W3C’s live-video guidance recommends considering a concurrent text stream that can be read with a screen reader.

Captions and audio description address different needs

Captions communicate speech and meaningful non-speech audio for Deaf and hard-of-hearing viewers. Audio description communicates important visual information for blind viewers and others who cannot see the video adequately. One does not replace the other.

W3C lists live captions for video with audio at WCAG Level AA. Its guidance says live audio description is useful, but is not required by WCAG. These are accessibility guidelines, not a legal determination for a particular church; legal duties depend on jurisdiction and other circumstances.

Sending live captions to YouTube

YouTube’s Live caption requirements page describes sending embedded EIA 608/CEA 708 captions through an encoder or using supported caption software that sends a feed to YouTube. A caption feed is a separate workflow from spoken audio description. Check the current event and encoder settings before each service because platform instructions may change.

  1. Review the actual recording. Do not rely only on the service plan: camera cuts, graphics, or an unannounced speaker change may add visual information that was not apparent during preparation.
  2. Identify the information missing from the soundtrack. Note significant text, actions, or speaker changes that a listener without vision would otherwise miss.
  3. Choose a format. You can integrate the missing description into a revised narration, make a separate described version, or use a separate audio track or timed text where the player supports it. W3C also describes a descriptive transcript that includes speech, non-speech audio information, and visual description.
  4. Check YouTube Studio availability before preparing a track. YouTube’s Add audio descriptions help page documents uploading a descriptive audio track in Studio. The channel must have access to advanced features, and an original or dubbed track in the same language must already be uploaded. The audio file should be roughly the same length as the video and in a supported audio-only format. Confirm the options in your Studio account before promising this method will be available for a particular channel.
  5. Make the alternative easy to find. Publish a transcript or descriptive transcript where useful and link it clearly from the sermon page.
  6. Ask a viewer who relies on audio description to review it when possible. Do not describe a version as user-tested unless that review actually took place.
