Promote a webinar by defining who it is for and what attendees will gain, then coordinate a focused registration page, segmented email, social and partner outreach, timely reminders, and a deliberate follow-up. Measure registrations and live attendance separately: a large signup count is not a success if the event’s real goal is qualified leads, customer education, or live participation.
Start with the audience, the promise, and the goal
Before choosing channels or drafting an invitation, decide who should attend, what problem the session addresses, and what a participant will be able to learn or do afterward. Make the promise specific enough that the right people can recognize its relevance. A webinar for prospective customers, existing users, or a professional community may need a different message and distribution plan.
Set one primary event goal and a small set of measures before promotion begins. Depending on the purpose, these might include qualified registrations, live attendance, engagement, or a post-event action such as a demo request. Do not optimize only for raw registrations when the outcome that matters is attendance or lead quality.
Build a registration page that makes the offer clear
Use a dedicated page that gives visitors the practical information they need to decide and register:

- Date, time, and how to join.
- Speaker names and relevant credentials.
- A concrete explanation of the attendee benefit and what the session will cover.
- A short registration form requesting only information you need.
Make the page easy to use on mobile and track registration sources where possible. Be precise about the live experience: mention a Q&A, demonstration, or other live-only value only if you have planned it. Clear expectations help attract a better-fit audience and make later results easier to interpret.
When should you promote a webinar?
For B2B webinars, Livestorm recommends beginning promotion about four weeks ahead. That gives you time to establish awareness and help people put the event on their calendar, but the campaign should not peak only at launch. Livestorm’s 2026 benchmark, based on its 2025 platform data, reports that 49.6% of registrations came in the final seven days and 15.3% on event day; 16.4% registered at least three weeks in advance. These figures describe Livestorm’s users, not a universal schedule, but they support combining early notice with a sustained final-week push. A practical promotion timeline
- About four weeks out: Publish the registration page and announce the event to the most relevant customer, subscriber, and partner segments.
- During the middle period: Share useful material about the topic or speakers. Ask speakers and partners to distribute the event through channels their audiences use.
- In the final week: Send a focused reminder with a clear reason to attend, and coordinate appropriate social, newsletter, community, or partner promotion.
- On event day: Keep late registration open if the format and platform allow it, and send a concise access reminder.
Treat this as a starting sequence, not a fixed cadence. Choose the number and timing of messages in line with audience expectations and mailing preferences.

Choose channels for audience fit, not popularity alone
Email is a strong starting point when the relevant audience has opted into your list. In its 2026 Webinar Benchmark Report, Livestorm says 86.3% of teams used email for webinar promotion, compared with 43.3% using organic social and 20.4% using paid social. Those are channel-use rates, not evidence that one channel converts better. Decide where your intended attendees pay attention, then track results by source. Segment invitations so the topic reaches people likely to care, rather than sending every event to the whole database. Use a subject line that accurately signals the session and body copy that states the benefit, date, and next step. Livestorm Senior Marketing Partnerships Manager Pauline Mura describes effective email as having “a catchy subject line, and clear value proposition in the body of the email.” That is her practitioner opinion, not an independent comparative finding.
Social, speakers, partners, and communities
Give speakers and partners a simple event description and registration link they can share with their own audiences. Promote in relevant communities where event announcements are welcome, and tailor social posts to the channel and audience rather than repeating the same generic message everywhere. How do you get more people to register?
Make relevance and value easy to grasp, reduce unnecessary friction, and reach people through channels they already use. Invite a well-defined segment with a message matched to its needs; make the registration page informative and mobile-friendly; and give speakers or partners a reason to share the event that fits their audience. Source tracking can reveal which channels bring registrations, while the event goal and lead criteria help distinguish useful signups from volume alone.
Keep promotion varied: a later message can spotlight a speaker, a specific question the webinar will address, or a practical takeaway rather than simply repeating the initial announcement. HubSpot’s webinar promotion guide recommends targeting the database segment most likely to care and continuing to direct interested people to the recording after the event.
How do you increase live attendance?
Registration expresses interest; it does not guarantee attendance. Livestorm’s 2026 summary reports an average of 175 registrants and 83 live attendees per webinar, with a 51.3% show-up rate, based on its 2025 platform data. These are vendor-platform averages, not targets for every audience or event. Livestorm also reports that 54.2% of surveyed practitioners named converting registrants into live attendees as their top challenge. Make attendance easier and reinforce why the live session is worth the time. Livestorm recommends reminders the day before, one hour before, and at the start. Include the join details and a concise statement of what attendees can expect. A live Q&A or demonstration can strengthen the reason to attend when it is genuinely part of the plan; do not imply that a benefit is live-only if it is not.

Prepare follow-up messages and decide how you will handle the recording before event day. Afterward, send attendees a thank-you and relevant resources. Send registrants who missed the session an on-demand recording if available, along with a clear next step. Ask for feedback when it will inform future events.
Review the recording and event reports to understand what held attention and where participation occurred. Depending on your platform, useful signals may include registrations, attendance, viewing duration, Q&A, polls, and source performance. Zoom’s webinar guide recommends reviewing reports, sharing recordings and resources, and making recordings available on demand. Reuse clips or insights in later promotion only when you have the necessary rights and speaker permissions.

Debrief against the original goal
Compare results with the measures you chose at the start. Look at registration source, attendance, engagement, and downstream actions that fit the event’s purpose. Decide which messages and channels to keep, change, or stop based on your audience’s results—not on a single industry average. Livestorm’s reported figures come from its own 2025 platform data and 2026 survey; they may not represent other platforms, sectors, languages, or webinar formats.
