Call the hotel as soon as you know you’ll be late. Give the staff your reservation details and updated arrival time, and ask them to note the delay and confirm whether they will hold the room. Then check the booking’s no-show terms, contact the airline about flight assistance, and save all messages and receipts. A delayed flight does not automatically entitle you to a refund for a separate hotel booking.
What to do right now
- Contact the hotel directly. Call the number on your confirmation or the property’s official website. Provide the reservation name, confirmation number, and estimated arrival time. Ask the staff to record your late arrival and confirm whether the room will be held. If you expect to arrive after midnight, make direct contact rather than assuming the booking system will alert the property. - Read the terms for your exact reservation. Check check-in hours, after-hours instructions, cancellation deadline, payment or guarantee terms, and any no-show charge. If you booked through a platform, find its reservation support channel too. Ask whether the hotel or provider can waive a fee, shift the arrival date, or issue a credit. Get any agreement in writing; a call is faster, while an email or platform message creates a record.
- Contact the airline and save the disruption details. Ask what rebooking or care applies to your flight. Keep the original itinerary, delay or rebooking alerts, and the revised arrival estimate. Airline rules address the air journey; they do not automatically cover a separately booked hotel night at your destination.
- If the room is released or charged, request a written explanation. Ask which reservation term was applied, whether an exception or date change is possible, and for an itemized statement of any charge. If a booking platform is involved, communicate through its official reservation channel as well as calling if the situation is urgent.
- Keep a claim file. Save the confirmation and cancellation terms, flight notices, call and message timestamps, the hotel’s response, and itemized receipts for reasonable replacement expenses. The UK Civil Aviation Authority (CAA) advises passengers arranging eligible care themselves to retain itemized receipts; the airline may assess whether costs were reasonable: CAA: What are my rights when my flight is delayed?
- Check any travel insurance or card benefits you already have. Read the applicable policy or benefit terms and ask the provider whether this specific missed night and cause of delay qualify. Coverage depends on conditions such as the covered cause, purchase timing, documentation, and exclusions; it is not established by the fact of a flight delay alone. What the hotel can charge or agree to
There is no universal hotel room-hold period or no-show fee. The terms for your property, rate, and booking channel control, along with any applicable local law. A late flight is a good reason to ask for flexibility, but the official guidance here does not establish a general right to a hotel refund or fee waiver.
For example, Marriott says a guaranteed reservation is typically held until 6:00 a.m. local hotel time the day after arrival, while the no-show fee is determined by the individual hotel’s cancellation policy. That is Marriott guidance, not an industry-wide rule. Check your own confirmation and ask the property to confirm its policy in writing: Marriott late-arrival guidance.
Keep hotel remedies separate from airline rights
There are two different issues: what the hotel’s reservation terms allow, and what the airline owes for the disrupted flight. A flight refund or airline-provided care is not automatically reimbursement for a hotel booked separately at the destination. The applicable airline rules depend on route, jurisdiction, carrier, ticket structure, and the disruption.

If UK passenger-rights rules apply
Under UK261, qualifying passengers may be entitled to care during a delay, including food and drink, communication, and overnight accommodation with transport between the airport and accommodation when necessary. Thresholds depend on flight distance. If the airline does not arrange eligible care, the CAA says passengers may arrange reasonable care themselves and claim expenses with supporting receipts: CAA delayed-flight guidance. For missed connections, the CAA distinguishes flights booked together from separate self-transfer bookings. When flights are on one booking, the airline’s care and compensation assessment can extend to the itinerary’s final destination. With separately booked flights, the CAA says UK261 does not give a statutory right to care, compensation, or onward transport to the final destination when a delay causes a missed separate flight, although rights for each individual flight may still apply: CAA delayed-flight guidance. This distinction concerns flights; it does not decide whether a hotel may charge for a missed check-in.

If US rules apply
US DOT guidance explains when passengers can reject significantly changed or delayed air transportation and receive a refund, and distinguishes that from accepting and taking alternative transportation: DOT: Refunds. A refund for air transportation is not reimbursement for a separate hotel night. The DOT’s general traveler guide says airline delay amenities are not generally federally mandated in the same way as denied-boarding compensation, so ask the airline what assistance it commits to provide: DOT: A Consumer Guide to Air Travel.

What to include in a written request
Keep the message factual and specific: identify the reservation, state the flight delay and new arrival estimate, note when you contacted the property, and say what you are requesting. If charged or refused, ask the hotel or booking provider to identify the applicable term and provide an itemized account. Attach the relevant flight notice and reservation confirmation, but retain copies of all original records.
