A full schedule is not proof of profit. The cause could be pricing, the kinds of jobs you accept, costs, demand, or how work is managed—and the answer depends on your own records and local market.
Find out what each job really earns
Review several recently completed orders. For each one, compare the amount collected with the materials, your time, and its contribution to recurring business costs. The goal is to know whether a job pays for your labour, helps cover overhead, and leaves room for planned profit.

Record every hour the order uses
Machine time is only part of the work. Track measuring, preparation, sourcing, fittings, construction, finishing, client messages, administration, and rework. If you omit those hours, an apparently profitable quote may be paying far less per hour than you expect.
Include materials and overhead
Count fabric, notions, and other job-specific consumables. Separately list recurring expenses such as workspace, tools, insurance, phone, internet, and marketing, then choose a consistent, reasonable way to allocate a share to paid work. There is no single allocation formula established for every dressmaking business; use your own costs and records. New Zealand’s Business.govt.nz guidance says a price needs to be profitable or at least break even, and Queensland’s guidance includes costs, labour, and profit in pricing decisions (Business.govt.nz; Business Queensland).

Set a sustainable price floor
Use your cost and time audit to work out the minimum a job must earn to pay for the maker’s labour and its share of business costs. Then account for any applicable taxes and the time you cannot sell directly to clients. A sole operator should not assume every calendar hour is billable: quoting, bookkeeping, marketing, leave, and gaps between orders all reduce available paid hours.
Choose a pricing method that fits the job

These approaches can be combined. Business.gov.au advises: “Use your competitor’s prices as a guide, but don’t copy them exactly.” Compare like with like: scope, fitting burden, complexity, turnaround, quality, specialization, and service. Business.govt.nz puts the trade-off plainly: “Too high and you can scare clients away. Too low and you could be losing money on every job.” Both are general pricing guidance, not dressmaker-specific rates (business.gov.au; Business.govt.nz).
Stop unpaid work from slipping into the order
Before accepting an order, make the scope and expectations clear. Specify the garment or alteration, what is included, price, timing, fitting expectations, and when payments are due. If a customer requests work beyond the agreed scope, discuss the added time and cost before doing it.

Keep a written order and payment record
Dressmaking Academy recommends using a signed order form for each order and keeping a payment log. A simple sewing order book can help capture client details, agreed work, price, dates, and payments; the important part is maintaining a consistent record you can refer to when quoting future jobs.
The same guide recommends deposits and discusses non-refundable terms, but those are its business suggestions, not universal rules. Check the law where you operate before using a non-refundable deposit clause or setting payment terms. Do not assume a fitting or change is chargeable—or free—without agreeing the scope with the client first (Dressmaking Academy).

If customers will not accept a price that covers your costs and labour, matching a cheaper competitor does not solve the underlying problem. Consider whether you can simplify the service, define a tighter scope, specialize in work that uses your strengths, or focus on customers who value fit, quality, speed, or complex work. Compare the time, materials, fitting demands, rework risk, and demand for different kinds of orders. The available guidance supports customer and competitor research, but does not establish local dressmaking rates or identify the most profitable service for your area.

Review prices as costs and conditions change
Check your figures when expenses, demand, or the way you work changes. Australian Government guidance recommends reviewing prices at least annually or when costs or conditions change; Business Queensland also recommends scheduled reviews and responding to changes. Use your order records to update time estimates and cost allocations rather than relying on old quotes (business.gov.au; Business Queensland).
A practical review checklist
- Have materials, overhead, and every work hour been counted?
- Does the price pay for labour and contribute to overhead and planned profit?
- Are you comparing the same scope and quality when checking competitors?
- Are fittings, revisions, timing, and payment expectations agreed before work begins?
- Do recent records show that your estimates match the time and costs orders actually require?
If you need help setting up cost estimates or reviewing the business figures, Australian Government guidance suggests speaking with a small-business accountant or adviser. For an individual dressmaker, no general source can establish the right rate or diagnose low earnings without the business’s own costs, time records, and local customer information.
