For an internal, one-to-many company event, Microsoft Teams Town Hall is the closest fit. Choose Zoom when a meeting or webinar must also reach a supported public platform or custom destination. For a public broadcast, YouTube offers webcam and encoder workflows; Vimeo is an encoder-based option for hosted live events. These are conditional recommendations based on vendor documentation, not a hands-on ranking.

No single option is best for every event. Decide first whether the audience is internal, invited, or public; whether attendees need to speak or submit questions; and whether your team needs a simple camera feed or a produced broadcast.
What matters when choosing town hall software?
Audience access and participation
For an internal event, verify how employees and invited guests authenticate and whether the event link is accessible to them. If the goal is a presentation with moderated questions rather than an open conversation, Teams Town Hall’s documented one-to-many format may suit the event: attendee cameras and microphones are off, but Q&A is available. If attendees must speak freely, assess a meeting or webinar format instead.
Destination and production workflow
A native event experience, a social platform broadcast, and a custom streaming destination are not interchangeable. Zoom documents streams to supported public platforms and custom destinations. YouTube supports streaming by webcam or encoder; Google describes encoders as suitable for overlays and external production hardware, including conference setups. Vimeo’s live-event documentation requires a supported encoder. Check that the destination and production workflow match your event before building the show around them.

Recording, reporting, and accessibility
Decide before the event whether you need a recording, on-demand publication, attendance reporting, or translated captions. Microsoft lists recordings, attendee reports, and live translated captions among Teams Town Hall features; language choices differ depending on Teams Premium status. Google recommends archiving a YouTube stream and publishing it for on-demand viewing. Confirm who can access recordings and reports, and how long they remain available, in your organization’s configuration.
Platform details and important limits
Microsoft Teams Town Hall
Microsoft describes Town Hall as a one-to-many event experience. Presenters can be shown in a spotlight layout with up to seven video feeds at once, and the feature set includes Q&A, recordings, attendee reports, and translated captions. Availability and capacity depend on configuration and licensing. Microsoft’s transition guidance says events for 20,000–100,000 attendees require capacity packs and contacting Teams Events Services at least two weeks in advance; verify current applicability with Microsoft before planning an event at that scale. Microsoft’s stated retirement date for the Teams live events experience was June 30, 2026. As of October 3, 2026, treat live events as a legacy option rather than the default for new planning; consult Microsoft’s transition guidance for the current path.
Zoom livestreaming
Zoom’s custom-site livestreaming requires an eligible account and host license, an administrator-enabled setting, and the Zoom desktop app at or above its stated global minimum version. Zoom notes that HD video is needed for higher quality, and requirements differ between meetings and webinars. Its event-streaming overview, published June 26, 2026, lists YouTube Live, Facebook Live, LinkedIn Live, and custom RTMP destinations. It says custom RTMP may require a specific plan tier and describes one destination at a time for the configuration on that page. YouTube Live
YouTube documents mobile, webcam, encoder, and console streaming methods. For webcam streaming, its guidance specifies a computer with a webcam. An encoder is the more flexible choice when the show needs overlays or external production hardware. YouTube’s live-streaming guide explains the available methods; Google’s Live Streaming Guide recommends a private rehearsal of the full setup.
Vimeo live events
Vimeo’s live-event FAQ lists a Vimeo membership, reliable internet, a camera, and a supported encoder as requirements. Available transcoding options depend on plan and source settings. Plan and rehearse the town hall
Before the event
- Confirm access: make sure organizers, presenters, and intended viewers can open the event link and use the chosen service.
- Check permissions and capacity: confirm the current plan, attendee limit, host permissions, enabled destinations, and any required administrator settings. For Zoom, verify the host license, admin enablement, and desktop-app requirements.
- Choose the interaction model: decide whether attendees should speak, submit questions through Q&A, or primarily watch. Assign a moderator to review questions and monitor chat or comments where those features are in use.
- Rehearse privately: test network connectivity, camera framing, audio capture, lighting, slides, and any encoder or destination. Google recommends testing the full setup as a private YouTube stream before the event.
- Check the after-event workflow: confirm how the recording will be saved, who may publish or view it, and whether attendance reporting is needed.
- Coordinate with IT: for an encoder workflow, check compatibility and network requirements, including any ports or corporate network restrictions. Vimeo advises checking encoder and network requirements for its live events.
Optional equipment
Start with the camera and microphone your team already has. YouTube supports webcam streaming from a computer, so a USB webcam is optional rather than a baseline requirement. If audio capture is inadequate, consider an external microphone; Google’s rehearsal guidance specifically calls for checking audio quality. An encoder or capture device is relevant for a more controlled production, not necessary for every town hall. The cited vendor guidance does not establish that any particular model is required.
