Best Software for Recording PowerPoint Presentations

PowerPoint Record is the best starting point for a narrated slide deck. Use Screen Recording for a desktop demo and Zoom when the meeting itself needs to be captured.

For a narrated PowerPoint deck you want to share as a video, start with PowerPoint’s built-in Record workflow. It records narration and other presentation elements slide by slide, lets you preview and retake slides, and can export the deck as a video. Use PowerPoint’s separate Screen Recording command for a software demo or a selected area of your screen; choose Zoom when the recording needs to preserve a live meeting and its shared-screen layout.

Which software should you use?

These tools address different jobs, not a single quality ranking. If you already have PowerPoint and want a polished recording of your own deck, try its Record workflow before installing anything else.

Record a presentation in PowerPoint

PowerPoint’s presentation recording is slide-aware: you can record the full presentation or a single slide, then redo one or more slides without repeating the entire deck. It can capture voice, ink gestures, and presenter video. The recording stays associated with the relevant slides, so you can rearrange the deck without re-recording it.

  1. Check your version and devices. Open your presentation and locate the Record workflow in your installed PowerPoint version. Microsoft’s instructions cover a newer Record window, but labels, export controls, and availability can vary by release and platform. Connect and select any microphone or webcam you plan to use; external devices are optional.
  2. Make a short test recording. Record a slide and preview it before working through the whole deck. Confirm that your voice is audible and, if you are using a camera, that the video appears as intended.
  3. Record slides at a measured pace. Capture the presentation or individual slides. PowerPoint can record narration, ink gestures, and presenter video. Pause while changing slides: PowerPoint does not record audio or video during slide transitions, so narration delivered as you advance may be missed.
  4. Preview and retake where needed. Review the recording and redo individual slides with problems rather than starting over. Check that the timing and narration work together across slide changes.
  5. Export a video. In the newer Record window, use its Export screen to create a shareable video. Microsoft describes Full HD (1080p) MP4 as that workflow’s default. Slides without recorded timings display for five seconds by default in that workflow.

Microsoft says the newer Record export includes recorded timings, narration, animations, transitions, media, ink, and laser-pointer gestures. Confirm the behavior in your own PowerPoint release before relying on a particular control or default.

Export a presentation as MP4 or WMV

PowerPoint also has a video-export workflow documented separately from the newer Record window. In supported desktop versions, you can save a presentation as an MP4 or WMV and choose a resolution. Higher output quality creates a larger file, so match the setting to where the video will be watched and how you will share it.

Ultra HD 3840 × 2160 Highest listed resolution; produces a larger file than lower-quality choices.
Full HD 1920 × 1080 A common choice when you want a detailed video without selecting the largest listed resolution.
HD 1280 × 720 Smaller than Full HD at the same content and duration.
Standard 852 × 480 The smallest of the listed resolutions; fine detail will be less clear than at higher settings.

The exact options depend on PowerPoint version and platform. In the export settings, check whether to include narration and timings; use the recorded timings when your delivery depends on slide-specific pacing. Microsoft notes that some older linked media, QuickTime media in specified circumstances, macros, and OLE/ActiveX controls will not be included in the generated video. If any of those elements matter, test the export and inspect the result before distributing it.

Use Screen Recording for a demo or desktop capture

PowerPoint’s Screen Recording command is distinct from recording narration slide by slide. It captures a selected area or the whole screen, then inserts the clip into a slide. Microsoft documents audio and pointer capture as selected by default on the recording control dock. After recording, you can trim the clip in PowerPoint or save it as a separate file.

Use this workflow when the key content is an application, website, or other on-screen demonstration. For a straightforward narrated deck, Record is the more direct fit because it keeps the recording organized by slide.

When Zoom is the better choice

Choose Zoom computer recording when the presentation is happening in a meeting and the recording should show that meeting context, rather than just a prepared slide video. Zoom documents local recording of meeting audio and video on a computer. For shared presentations, documented layouts include the shared screen with an active-speaker thumbnail or without thumbnails; computer recordings also have a thumbnail-gallery layout.

Before relying on this workflow, check the current account, client, and host settings for your meeting. Those settings can affect whether local recording is available and which layout you can use.

Choose recording equipment to fit your setup

A webcam and microphone are optional; PowerPoint can use external devices of either kind. If you already have suitable built-in audio and video, make a short test before buying equipment. If you do add an external microphone or webcam, confirm its compatibility with your computer and PowerPoint version. Microsoft’s guidance supports these equipment categories but does not establish that a particular model is best.

Common recording and export problems

  • Your voice is missing or too quiet: Make a short test recording, confirm the intended microphone is connected and selected, and preview the result before recording the full presentation.
  • Narration disappears as you change slides: PowerPoint does not record audio or video during transitions. Pause the narration while advancing, then resume once the next slide is ready.
  • A slide’s timing feels wrong: Preview the recording and retake that slide. For slides without recorded timings in the newer Record export workflow, Microsoft documents a five-second display by default.
  • The exported file is unexpectedly large: Choose a lower resolution if it meets your viewing needs. Microsoft notes that higher video quality means a larger file.
  • Some content is missing from the video: Check for older linked media, QuickTime media covered by Microsoft’s stated conditions, macros, or OLE/ActiveX controls. These may not be included in the generated video.
  • You cannot find the same recording or export controls: PowerPoint’s interface and feature availability vary by release and platform. Check the instructions that apply to your installed version rather than assuming every button is available everywhere.
  • You need to show the meeting, not only the slides: Use a meeting recording workflow such as Zoom computer recording, and confirm the current host and account settings before the session.
