There is no universal winner: choose based first on the editor you use, then on whether you need simple bins or metadata search, media copying or cloning, client feedback, and local, external, shared or cloud storage. Features and plan limits can vary by edition or service plan.
How do I organize video footage?
1. Set up folders and names before importing
Choose a predictable folder structure and naming convention before a project grows. Use consistent dates, clip numbers and version names; keep sequence versions aligned with export versions. Store project assets in clearly named folders rather than letting files accumulate in a downloads folder or across unrelated locations.
2. Decide whether to copy, link or proxy footage
Ingest and proxies address different needs. Copy or ingest footage when you want project-local media, such as when working from temporary camera-card contents; Premiere documents copy verification. Use proxies when lighter editing copies could make demanding footage more responsive, while preserving links to the originals for final output. Proxies are not a substitute for keeping the source media.

3. Build bins around retrieval tasks
Start with a small set of bins such as footage, audio, stills and graphics, selects, sequences, and exports. Add labels or metadata—such as date, scene, camera, subject or location—only when those details will help you find clips later. Premiere bins and Resolve Media Pool bins group material within a project; Resolve Smart Bins can organize clips automatically using metadata criteria.
4. Search before making more folders
Use Premiere’s search and metadata filters or Resolve’s metadata views and Smart Bins to locate clips already in a project. For media on storage drives that has not been imported, Premiere’s Media Browser can search by name. Consistent filenames and useful metadata make these features more effective than adding layers of folders without a retrieval purpose.

5. Separate editing, review and handoff
When a Premiere project needs to move to another location or collaborator, Project Manager can collect used footage and copy it alongside the project. For timestamped comments and approvals, use a review tool such as Frame.io or Replay. Confirm collaborators can access the underlying media: a review link does not by itself create a complete source-media archive.
6. Plan storage and backup together
Adobe recommends fast SSD or NVMe storage for media and cache and describes separate drives for system, cache and media as a best practice. A fast external SSD can help when internal capacity is limited; match its capacity and interface to the workload and computer. Keep a separate second copy or backup process: a fast working drive is not, on its own, a backup plan.

How should I organize clips in Premiere Pro?
Use bins for the project’s logical groups, then use searchable names and metadata to retrieve individual clips. Keep the physical storage plan separate from the bin structure: a well-organized Project panel does not guarantee that media is collected, portable or backed up.
- Create a small set of bins for footage, audio, stills or graphics, selects, sequences and exports.
- Apply a consistent naming convention and add metadata only when it will answer a real search question.
- Use ingest when footage needs to be copied into a project workflow; consider proxies when playback responsiveness is the issue.
- Use search and metadata filters for imported clips, and Media Browser search when locating footage on storage drives.
- Use Project Manager’s collection capability when you need a Premiere handoff containing used footage alongside the project.
How do I find old footage quickly?
Search the project before manually opening folders. Searchable names and metadata help Premiere locate assets; Resolve’s metadata and Smart Bins provide another way to filter clips by criteria. For footage that has not been imported into Premiere, use the Media Browser to search storage drives by name. If searches repeatedly fail, improve the naming and metadata on new imports and record useful details such as date, scene, camera, subject or location.

When should you add a review tool?
Choose a review service when collaborators need to comment on specific frames or approve edits—not simply because a project contains many files. Adobe describes Frame.io as supporting media management, sharing and collaboration in Adobe workflows. Dropbox Replay provides browser-based markup and frame-by-frame feedback, with documented integrations across several editing and audio applications. Verify the current plan and integration details for your team; neither review workflow should be assumed to replace an organized, backed-up source-media library.
