Audit existing channels, set measurable objectives, segment audiences, and choose video only when its voice, visual demonstration, leadership presence, or on-demand access serves the message. Then pair it with accessible distribution, a way to respond, and measures that test more than views.
Start with the communication problem, not the video
Internal video is a channel within a broader, two-way communication system. It can help convey tone, show a process, make leaders more visible, or let distributed employees watch at a workable time. It does not automatically create understanding, engagement, or action. Keep written, live, and other channels available for immediate dialogue, searchable details, and employees who cannot readily watch.
Begin by asking what employees need to know, understand, feel equipped to do, or do differently. Connect that need to an organizational priority, and define what evidence would show progress. Slack’s guidance on internal communications recommends measurable objectives linked to organizational outcomes; Powtoon’s planning guidance likewise emphasizes matching communication to purpose and audience.
1. Audit current channels and communication gaps
Make an inventory before adding a new format. Include recurring messages, their owners, intended audiences, cadence, publication locations, and the measures currently used. Look for duplicated announcements, hard-to-find information, audiences that are routinely missed, and points where employees say they cannot act on what they receive.

- List the channels employees actually use, not only the channels the communications team prefers.
- Record which groups can access each channel during their normal work—for example, office staff and shift-based or frontline employees may have different device access.
- Identify where questions go, who responds, and whether employees can find the answer later.
- Note what is already measured and establish a baseline where reliable data exists.
Slack recommends identifying audiences and message priorities and choosing channels employees use. Omnia describes planning and publishing across workplace destinations. These are useful planning considerations, not evidence that any one platform suits every organization.
2. Set one objective for each communication
Write down the intended result before deciding on the format. A useful objective names the audience, the change sought, and—when possible—how it will be observed. For example, a safety demonstration might aim for a specific team to follow a revised procedure; a leadership update might aim for employees to understand what has been decided and where unresolved questions can be raised.
Keep each video focused on one main objective. If an update combines unrelated announcements, separate them or provide clear chapters and a written index. Set a baseline and a reasonable measurement period where data is available; avoid treating the number of messages published as a measure of success.
3. Segment employees by need and access
One organization can contain audiences with different information needs, work contexts, and routes to communication. Segment only where the distinction affects what someone needs or how they can receive it.

- Role and responsibility: distinguish people who need to make a decision from those who need to carry it out or understand its effect.
- Location and shift: account for time zones, shift handovers, and whether staff can watch during paid work time.
- Device and connectivity: check access to work devices, mobile viewing, bandwidth, and workplace permissions.
- Language and accessibility: consider captions, transcripts, translation, and other ways to access the message.
- Expertise: decide whether the audience needs an introductory explanation, a demonstration, or detailed reference material.
For every segment, specify what it needs to know, what action follows, and which delivery route reliably reaches it. These are dimensions to assess, not a requirement to create a separate audience category for every factor.
4. Choose video when it fits the message
Video is most useful when seeing or hearing the communicator adds value: demonstrating a task, explaining context or tone, showing leadership presence, or offering an update employees can watch asynchronously. It may be a poor fit when the message is urgent, requires an immediate exchange, consists mainly of reference details, or cannot be accessed by the intended audience.

Vimeo describes video as a way to convey context and support asynchronous viewing. Its 2026 vendor article observes that many internal videos are under five minutes and many are one or two minutes long; treat that as a vendor observation, not a universal duration rule. Let the objective and audience determine length, and make longer material navigable where the player supports it.
5. Plan each video before production
A short brief prevents production from outrunning the communication plan. Record the following before filming or editing:

- Objective and audience: what should change, and for whom?
- Core message: what is the one point viewers should retain?
- Owner and speaker: who is accountable for accuracy, and who should deliver it?
- Format and length: what form best serves the objective?
- Distribution location and publication date: where will employees find it, and when?
- Call to action: what should viewers do, by when, and where?
- Feedback route: how can viewers ask questions or raise concerns?
- Accessibility and language: what captions, transcript, translation, or alternatives are needed?
- Success measure: which reach, response, or outcome signals will be checked?
Possible formats include concise updates, leadership messages, employee stories, demonstrations, training, and recorded event highlights. Select among them according to the communication need rather than using a video format by default.
6. Distribute it where employees can find and access it
Decide the publication route before production is complete. Put the video where the intended audience already works, use a clear title and context, and make it easy to locate again. Confirm that permissions work for every intended group; an inaccessible link is a distribution failure, not an engagement problem.
- Check mobile access and bandwidth, especially for employees without a regular desk or work computer.
- Provide captions and, when detail needs to be searchable or durable, a transcript or written companion.
- State whether employees can watch during work time and how the content relates to existing procedures or policies.
- Use a consistent location or publishing workflow so staff know where to look for updates and recordings.
- Make language, privacy, and access decisions appropriate to the organization and the employees receiving the message.
Omnia describes examples of workplace delivery through web, mobile, Microsoft Teams, Viva Engage, Outlook, and digital signage. Those are examples of a vendor’s platform capabilities, not a recommendation that every organization adopt those channels.
7. Make the communication two-way
Every message that invites a response needs a visible route for one: a question channel, discussion, manager conversation, or another suitable mechanism. Explain what is already decided, what remains open to input, who will review responses, and when employees can expect a reply. Where sensitive matters are involved, provide an appropriate confidential route rather than relying only on public comments.

The UK Government Communication Service’s employee engagement guidance, published in 2021 and updated in 2023, states: “Workplace communication should never be one-way.” Its guidance emphasizes meaningful two-way communication, employee voice, and reflecting what leaders hear. Close the loop by explaining what was heard and how it affected the next communication or decision; if feedback did not change the decision, say why.

Choose measures before publication and connect them to the objective. Views and completion can indicate consumption, but they do not prove understanding or action. Interpret any metric in light of how the platform counts it and who was eligible to see the video.

Where data permits, compare results by audience and channel. Combine platform measures with employee feedback and the outcome measure; use the findings to revise future messages, distribution, or format. Slack recommends tracking whether employees see and engage with announcements while tying objectives to organizational outcomes. Neither views nor engagement alone establish that a message worked.
9. Select tools against the workflow
There is no universally best internal-video platform established by the guidance cited here. Compare tools against the way your organization communicates and the needs of its audiences.

- Can the intended employees reach it on their devices and in their work context?
- Does it support dialogue as well as playback, or will a separate feedback channel be needed?
- Can staff discover and replay content, with captions, language support, and written alternatives where required?
- Does it fit existing workplace tools and publishing workflows?
- Are its measurement options meaningful for your objectives, and can results be interpreted by audience?
- Do permissions, privacy, and access controls fit the content and organizational requirements?
- Can the team maintain the process with its available time and skills?
Check current product capabilities against these criteria before choosing a platform. The channel guidance supports evaluating reach, access, dialogue, replay, accessibility, measurement, and workflow fit; it does not establish a winning vendor.
What the available evidence can—and cannot—show
FleishmanHillard’s 2022 report says employees at companies that embrace video were twice as likely to rate their company excellent at collaboration and 75% more likely to rate it highly on employee engagement. Those are reported associations, not proof that video caused the ratings; the underlying study details are not established here. Use such findings as context, not as a forecast for what a video program will achieve in your organization.
