A live-stream run of show is a timed operating plan: it tells the host and production team what happens next, when it happens, who owns it, which cue to use, and what to do if a transition fails. Build one shared document from the viewer’s experience outward, then test and rehearse it before going live.
What a live-stream run of show should do
An audience agenda lists topics and speakers. A run of show goes further: it translates the program into actions for the people operating the stream. A host should be able to see what to say; a producer should know which scene or media to cue; a moderator should know when to surface questions. The level of detail should match the production. A solo gaming stream may need only a handful of clear rows, while a multi-person event needs distinct owners and handoffs.
Plan for what viewers actually see, not just what happens on stage or in the host’s notes. Include holding content, scene changes, playback, chat or Q&A, guest transitions, sponsor reads if applicable, the closing, and the action that ends the stream.
Decide the show’s shape before filling in the schedule
Define the audience experience
Write down who the stream is for, its purpose, and what viewers can do: watch, chat, ask questions, or participate. Decide which moments must happen live, which can be playback, and whether the stream will be recorded. Confirm access needs and how the audience will receive any needed instructions.

Confirm people, facts, and constraints
Name the host, show caller or producer, chat moderator, speaker support, and technical owners. One person can fill several roles in a small production; make the responsibilities explicit either way. Gather the confirmed agenda, speaker list, access requirements, recording plan, and known venue or connection details. Mark unverified details as unknown rather than treating assumptions as tested facts.
Build the run-of-show document
- Start with the viewer’s arrival. Add a starting-soon or holding segment if the audience will enter before the program. Record what viewers see and who checks that scene and its audio.
- Lay out the program in sequence. Add the opening, main segments, demonstrations, guest or scene transitions, audience interaction, wrap-up, and end screen. Include only meaningful cues; false precision makes the document harder to use.
- Give each row an owner and an action. Replace vague notes such as “check” with a specific responsibility: who checks what, when, and what happens if it is not ready. State who can pause, skip, shorten, or choose an alternate for a critical moment.
- Add timing, cues, and audience actions. Record planned start time and estimated duration, the segment, speaker or host, owner, production cue, audience action, and relevant fallback or readiness status.
- Choose one controlling version. Identify who maintains the document and how the team will know a revision is active. When a change affects a speaker, cue, or timing, update the shared version and notify the people affected.

This is a practical structure, not a mandated template. Combine roles when one person handles several jobs; separate them when the production needs clear handoffs.

Example sequence: adapt it to your stream
The moments below illustrate a possible sequence, not required timings or a formula. Replace the labels and cues with your actual program.

Test and rehearse the actual setup
Google’s YouTube live-streaming guide recommends enabling live streaming ahead of time, scheduling a public or unlisted stream, and privately testing the full setup. Check the actual internet connection, camera framing, audio capture, and lighting; check platform access and plan how chat and comments will be moderated. Account-specific lead times can change, so verify current YouTube instructions for the account before scheduling.

- Run a private test using the device, account, connection, media, camera, and audio setup intended for the event.
- Check that the framing, audio capture, and lighting are usable in the stream output—not just on the operator’s local preview.
- Test playback and scene changes at the points they appear in the run of show.
- Have the host, producer, and moderator rehearse handoffs against the current shared document.
- Confirm the fallback for any high-impact cue and who has authority to use it.
Write contingencies for real failure modes
A fallback is useful only if it is feasible and someone owns the decision. Note what the audience will see while the team recovers, not just what the team hopes to fix.
- Speaker is late: Name who decides whether to hold, shorten, or reorder the next segment, and what the host or holding scene will do in the meantime.
- Slides or media change: Identify who supplies the replacement and who verifies it is ready before the cue.
- Audio source fails: Assign the technical owner and specify whether the host pauses, switches to an alternate source, or moves to another segment.
- Connection degrades: Identify who assesses the issue and what the audience sees while the team responds. Do not list an untested backup connection or bandwidth target as confirmed.
- Platform access changes: Name who checks access and who communicates the next action to the team.
Keep it useful during the live show
Use one current document that the whole team can find quickly. Keep rows concise enough to scan under pressure, but specific enough that a person who did not write them can act. When the schedule changes, the version owner should update the controlling document and alert the owners whose cues or responsibilities changed.
