Host an effective educational webinar by designing backward from a clear learning outcome, building in a few purposeful ways for learners to participate, and planning accessibility and facilitation before the session begins. A webinar is not simply a lecture moved online: its activities, materials, pacing, and support should all help participants achieve the outcome.
Start with what learners should be able to do
Write down one or more measurable outcomes before you choose slides or activities. Specify what participants should know, explain, decide, or demonstrate by the end. Then map the session so each presentation segment and activity contributes to those outcomes. The University of South Carolina Center for Teaching Excellence recommends measurable outcomes and a course map that aligns learning activities with them; lecturer Lauren Flannery likewise distinguishes a strategically designed learning session from one focused mainly on platform navigation or general assignment questions. Turn the outcome into a session plan
- State the intended learning. Use an observable verb such as identify, compare, apply, or interpret. Avoid a vague goal such as “understand the topic” unless you specify how learners will show that understanding.
- Choose evidence of learning. Decide what participant response, discussion, worked example, or short assessment would indicate progress toward the outcome.
- Plan the sequence. Introduce the purpose, present only the content needed, provide opportunities to apply or discuss it, and leave time to check learning and address questions.
- Remove material that does not serve the goal. If a detail or activity does not advance the outcome, move it to optional follow-up materials or leave it out.
For a session about evaluating game narratives, for example, an outcome might ask learners to compare how two design choices shape a player’s interpretation. A short comparison prompt or case discussion would make more sense than a long platform tour.
Build interaction around application
Do not rely on a long uninterrupted presentation to hold attention. Choose a small number of activities that help learners apply, question, or view the material from different perspectives. Flannery recommends targeted interaction and practical application; the University of South Carolina lists options including polls, breakout prompts, collaborative notes, discussions, case studies, group projects, peer feedback, and low-stakes check-ins. Choose activities for a reason
- Check a starting point: Use a brief poll or low-stakes question to surface prior knowledge or misconceptions.
- Apply an idea: Give learners a case, example, or practical problem and ask them to use a concept from the session.
- Compare interpretations: Ask participants to examine a prompt from different viewpoints, then discuss what informed their conclusions.
- Make thinking visible: Use collaborative notes, a short written response, or peer feedback to give participants more than one way to contribute.
Before each activity, tell participants what to do, where to respond, how long they have, and how the response connects to the learning goal. Plan an alternative participation route where feasible, such as letting people respond in chat instead of speaking aloud. Avoid adding interaction merely to make the session feel busy.
Set expectations and facilitate the live session
At the start, explain the session’s purpose, its format, how questions will be handled, and what participants should do during activities. Define unfamiliar terminology and agree on norms for respect, confidentiality, listening, and turn-taking. Flannery emphasizes psychological safety, keeping to time, checking in with participants, and signposting support where appropriate. THE Campus

During the webinar
- Give concise instructions before opening a poll, discussion, or breakout activity.
- Check that learners are ready to move on; use a brief response or question when the material calls for it.
- Keep an eye on pacing and leave time for questions rather than allowing early sections to consume the whole session.
- Use practical examples and, when suitable, guest speakers to connect ideas to real situations.
- Give advance notice when material may be difficult or triggering, acknowledge challenging content, and point participants toward relevant support where appropriate.

Plan accessibility before you publish the invitation
Accessibility applies to the meeting platform, the content, the interactions, and the schedule—not just whether a participant can open the meeting link. W3C’s event guidance advises organizers to consider captions or interpreters when needed, brief speakers on accessibility, coordinate materials with participants and support staff in advance, maintain a reliable internet connection, and plan around breaks and access needs. Check the platform and participation routes
- Choose a remote meeting platform with accessible participant workflows and offer multiple ways to connect where possible.
- Check how participants can access captions and, when needed, sign-language interpretation or spoken-language translation. These are different services: captions provide text for speech and important non-speech audio; sign-language interpreting is not the same as spoken-language translation.
- Tell participants in advance how to request access support and how to join or take part if they cannot use a particular interaction method.
- Confirm that your internet connection and any planned media or activities are reliable enough for the session.
Make materials and activities accessible
W3C recommends accessible presentations, teaching materials, exercises, assessments, and interactions. Describe meaningful visual information—including text shown on screen—aloud or in an equivalent format. Consider whether participants need captions, sign language, large print, or another accessible version of materials. Its accessibility curriculum also identifies auditory, cognitive and learning, physical, speech, and visual access needs as areas to consider, and encourages involving people with disabilities in learning and review where possible. Make the schedule workable
Share the schedule and materials early enough for participants and support staff to prepare. Build in breaks when appropriate, and avoid assuming everyone can participate by speaking, viewing small on-screen text, or responding quickly. Explain why access features are being used so participants know how they support learning.

No specific webinar platform is endorsed by the guidance cited here. Compare options against your session design and your institution’s requirements rather than choosing by feature count alone. W3C calls for an accessible remote meeting platform and multiple connection options; the other criteria below follow from the interaction and access requirements of an educational session. - Identify one or two specific changes, such as clarifying an activity prompt, adjusting pacing, or providing a more accessible resource.
