Keep the second VPS as a tested standby, and replicate scripts, configuration, and media separately. YouTube playlists and scheduled live broadcasts are distinct API-managed resources, so each needs its own reconciliation logic.
What needs to stay in sync
There are three separate layers: your intended schedule, files on the VPS hosts, and the state stored by YouTube. A file sync can copy local scripts or schedule data, but it cannot change YouTube playlist entries or scheduled broadcasts by itself.
- Playlist order: YouTube represents each playlist entry as a playlist item. The YouTube Data API can list, insert, update, and delete playlist items. Items have their own identifiers and reference video resource IDs; position is part of the item data. Playlist writes require OAuth authorization. Google’s playlist implementation guide and the playlistItems.list reference describe these resources and operations.
- Live event schedule: A scheduled live event is represented by a broadcast resource and an associated stream resource. YouTube’s Live Streaming API overview covers scheduling events, associating streams, and managing their states. A playlist’s order and a broadcast’s planned time are related operationally, but they are not the same YouTube object.
- Host files: Scripts, configuration, and media assets may be copied between servers with a file synchronization tool such as rclone sync. That command synchronizes a directory tree from a source to a destination; it does not reconcile YouTube API resources.
Choose a single-writer design first
Recommended: active VPS plus standby
For two hosts, the easiest arrangement to reason about is one active controller that writes changes to YouTube and a second VPS kept ready to take over. Both hosts can have the code and current configuration, but only the designated leader should run the write-capable reconciler. This avoids ordinary operation in which two controllers race to alter the same playlist or broadcast.
Store the desired playlist order, planned broadcast times, broadcast and stream identifiers, and relevant settings in one canonical version-controlled configuration or durable database. The right storage depends on how often schedules change and how you operate deployments; the important property is that both hosts read the same intended state.

When automatic failover is necessary
If either VPS may become an active writer automatically, add a verified leader-election or locking mechanism and a way to reject stale updates. Define what happens when the former leader returns after a network partition, how the new leader obtains current YouTube state, and how operators confirm which host owns the lock. YouTube’s API documentation describes the resources and operations, not a recommended two-server failover topology; this coordination is your system’s responsibility.
Build a safe reconciliation loop
- Read the canonical desired state. Load the intended playlist order, video IDs, broadcast IDs, planned times, and stream associations from the designated source of truth. Validate required identifiers and times before making API calls.
- Read YouTube’s current state. List the playlist items and relevant broadcast/stream resources. Compare the actual state with the desired state rather than replaying a fixed sequence of writes every time the process starts.
- Calculate the smallest required change. Match playlist entries using their resource identifiers and video IDs, then determine whether an item must be inserted, updated, repositioned, or removed. Separately compare broadcast scheduling and stream associations; a playlist edit does not update a broadcast schedule.
- Apply writes only from the active controller. Playlist writes use OAuth-authorized API requests. Persist identifiers and the last successfully applied state so a restart can inspect what happened rather than assuming every earlier request failed or succeeded.
- Read back and verify. Fetch the changed resource after a write and confirm that its playlist, video, position, or other intended properties match the canonical schedule. YouTube playlist updates can overwrite mutable properties included in the request’s
part; values omitted from that update may be reset or removed. Preserve properties that must remain, and consult the playlistItems.update reference when forming update requests. - Make retries deliberate. If a request times out, first read current state before retrying. The API references document list and write operations, but your implementation must validate its own retry and duplicate-prevention behavior. Keep an operation log with the target resource, requested change, response, and verification result.
Replicate files without confusing them with YouTube state
Use file synchronization for code, configuration, or media that genuinely needs to exist on both VPS hosts. Pick and document a direction—for example, active host to standby—and decide explicitly how deletions are handled. A sync that propagates deletions can remove destination files; while learning a workflow, rclone recommends interactive mode. Review the rclone sync documentation and test against a disposable directory before pointing it at production data.

- Keep credentials and OAuth tokens protected; copying a configuration file does not automatically make authorization valid or safe on both machines.
- Do not allow a stale standby copy of the schedule to become the new canonical state on failover. Load or verify the authoritative schedule before enabling writes.
- Keep media replication separate from playlist reconciliation. A media file present on both servers does not prove that the corresponding YouTube playlist item or broadcast is correct.
Budget API quota and polling
The cited Google for Developers API references list playlistItems.list at 1 quota unit per call, and playlistItems.insert and playlistItems.update at 50 quota units each. The references do not state a publication year for these figures. Avoid unnecessary write calls by comparing state first, and check your project’s current quota and the current API references before selecting a polling interval. Test failover before relying on it
- Run the reconciler on the primary and confirm that it reads and verifies YouTube state without generating needless writes.
- Stop the primary cleanly. Confirm the standby takes ownership only after the primary is no longer writing, then run a read-and-compare cycle before permitting changes.
- Test a change to playlist order and verify the resulting playlist item positions in YouTube.
- Test a planned broadcast-time or stream-association change independently, and verify the broadcast and associated stream resources.
- Simulate a timeout after a write. Restart the controller and confirm it reads back YouTube state before deciding whether another write is needed.
- Test recovery of the former primary. Confirm it cannot resume as a writer with stale state or without reclaiming leadership.
Troubleshooting common sync failures
- The VPS files match, but the YouTube playlist does not. File synchronization only copies local files. Run the API reconciler, then read the playlist items back and compare their order and IDs.
- Both servers keep changing the playlist. More than one controller may be writing. Disable one writer and restore a single active leader; if automated failover is intended, verify the lock or election behavior and stale-writer rejection.
- An update unexpectedly clears a field. Review the update request’s
partand included properties. Preserve mutable fields that should remain, then read back the resource after writing. - Retries create inconsistent results. A timeout does not establish whether YouTube applied a write. Read the affected item or broadcast first, compare it with desired state, and retry only the remaining change.
- The sync command removes files on the standby. Check the source/destination direction and deletion behavior before running again. Test changes in a disposable directory and retain a recovery copy of important configuration or assets.
- Playlist updates run into quota limits. Reduce redundant polling and writes, and check the current project quota. The cited list, insert, and update costs are documented in the linked Google references but should be rechecked before deployment.
