Send your guest a clear schedule and join link, then test their camera, microphone, connection, and surroundings before the broadcast. A laptop’s built-in equipment is often enough if it works well in rehearsal; the host should handle the stream destination, show flow, and chat plan.
What to send your guest before the stream
Give the guest one concise set of instructions they can refer to on the day. Include:
- The date, start time, and time zone.
- The expected duration and a short explanation of what will happen.
- The guest join link and the platform’s device or browser guidance.
- A contact method to use if they cannot join.
- Whether they should prepare slides or share their screen, and whether they should close demanding apps before joining.
- When to arrive for a camera and microphone check, plus a simple fallback: try the same link again or switch to audio if video fails.

Help the guest get clear audio and video
Audio: test the device they will actually use
Ask the guest to wear headphones or earbuds and speak at a normal volume while you listen. This reduces the chance of echo and helps expose problems such as low volume, clipping, room echo, fan noise, or the wrong microphone being selected. Built-in audio is fine if it sounds clear in the test. If it does not, try a headset or move an external microphone closer to the guest before buying new equipment. A microphone nearer the mouth can pick up less background noise; Zoom’s May 2020 guide discusses a dedicated microphone or good headset as possible audio improvements, not requirements. Video: face the light and keep the frame simple
Place the camera near eye level and put a light source in front of the guest, ideally near the camera. Avoid a bright window or lamp behind them, which can leave their face dark. Connection: check the guest’s real setup
Have the guest test from the same device and location they plan to use. A strong connection matters; wired Ethernet is worth trying when available. Riverside recommends download speed faster than 10 Mbps and upload faster than 5 Mbps for a smooth live conversation with other Riverside participants. That is Riverside’s service-specific recommendation, not a universal minimum for every streaming platform. Riverside connection check
Rehearse the show, not just the guest’s camera
Run a private or unlisted test
Before showtime, test the whole broadcast path privately or with a test recording where possible. Check the internet connection, camera framing, audio capture, and lighting. Google recommends a private or unlisted stream test for those checks. Google/YouTube Live Streaming Guide

Confirm host-only production tasks
Verify the correct destination, guest access, scenes, and any screen-sharing or slide plan. In StreamYard, guests cannot start or stop the broadcast or control layouts and graphics, so the host should retain those responsibilities. StreamYard guest instructions

For Riverside, send the guest checklist in advance, make a live-stream test recording, prepare scenes before going live, and check destination status on the day. Riverside notes that video may take around 30 seconds to appear on destination sites; its destination card indicates when the connection is ready, so allow for that delay before treating the opening seconds as a failure. Agree on chat and handoffs
Decide in advance who will monitor chat. Google recommends having moderators available or turning chat off when resources are limited. Day-of checklist
- Guest has the correct link, start time, time zone, and a way to contact the host.
- Guest has granted camera and microphone access and selected the intended devices.
- Headphones are on; the guest has spoken at normal volume while the host listens for echo, clipping, low level, or noise.
- Camera is near eye level, face is lit from the front, and background is not distracting.
- Guest has tested the planned internet connection; use Ethernet if practical and available.
- Host has checked destination, scenes, guest access, and any screen-share material.
- Chat coverage and the guest’s question handoff are clear.
Troubleshooting before you go live
