How to Run a Timed Charity Giveaway on a Livestream

A practical guide to separating fundraising from giveaway entry, publishing rules before launch, setting a fair cutoff, handling donations transparently, and awarding the prize as promised.

Run the fundraiser and the giveaway as two connected but separate parts of the event: make the donation route transparent, and make giveaway entry free, clearly timed, and governed by rules published before entries open. In the United States, do not make a donation a condition of entry or give donors better odds in a sweepstakes-style random drawing. Check the laws that apply where you solicit and where viewers can enter; this is practical US-oriented guidance, not global legal advice.

What to decide before announcing the giveaway

First settle the event’s structure. A charity fundraiser asks viewers to give; a giveaway awards a prize under stated eligibility and selection rules. Combining them in one stream does not make their rules interchangeable. Decide the beneficiary, how money will reach it, what kind of promotion you are running, who may enter, when entries open and close, how a winner is selected, and how the prize will be claimed.

Choose the promotion format honestly

Describe the mechanics, not just the label. A random drawing is chance-based even if you call it a contest; a skill contest should say what skill is judged and how. The IRS explains that raffles and lotteries fall within gaming activities commonly regulated by state and local law. If you are considering a raffle or another chance-based format, get advice for the relevant jurisdictions before promoting it.

Confirm the charity’s role

Verify the intended beneficiary and the donation route. The IRS says that when donors are to document contributions at a fundraising event as gifts to a qualified charitable donee, the qualified charity should conduct the event or clearly authorize an outside organizer to act as its agent. Get that authorization in writing if you are running the event on the charity’s behalf; do not imply the charity has approved the fundraiser if it has not.

Check where you and entrants are

This guide focuses on US federal guidance and does not settle state, local, or non-US requirements. The IRS notes that many states require charities to register before soliciting residents and may require periodic reports; local requirements can also apply. The FTC says state rules for promotions can add disclosures, licensing, or bonding requirements. Check the rules for the organizer’s location and every jurisdiction in which you solicit or allow entries, and limit eligibility if you cannot establish that participation is permitted.

Can people enter by donating?

For a US sweepstakes-style giveaway, do not require a purchase or donation to enter, and do not give people who donate extra entries or improved odds. The FTC says purchase-required sweepstakes-type promotions are illegal in the United States. That does not resolve every possible donation-linked promotion or raffle under every state’s law; the actual mechanics and jurisdiction matter. Have a qualified adviser review a chance-based format rather than assuming that calling it a fundraiser makes it permissible.

Provide a genuine no-purchase entry route and explain it as clearly as the donation route. State who can use it, how to submit an entry, when it must arrive, and whether it follows the same eligibility and closing deadline. Keep donations voluntary and separate from entry records so a donation is not treated as an entry or an advantage.

What rules do I need before we go live?

Publish the complete official rules before accepting entries, then follow them when choosing and awarding the prize. For a YouTube contest, YouTube’s official guidance requires free entry, official rules, required legal disclosures, a privacy notice, a statement that YouTube is not a sponsor, and administration consistent with those rules. It also requires a link to YouTube’s Community Guidelines and an explanation that entries violating them may be disqualified. The contest must not misrepresent genuine platform engagement or suggest YouTube is involved or endorses it.

Include these details in the rules

  • Organizer and beneficiary: identify who runs the giveaway and which charity the fundraiser is intended to benefit. Do not present the charity as the giveaway organizer unless it is.
  • Eligibility: specify age, residence, exclusions, and any other limits, plus how eligibility will be checked. Do not accept entries from places you have not cleared.
  • Entry method: explain every valid entry route, including the no-purchase method, its deadline, and any entry limit. Do not make a donation increase odds in a US sweepstakes-style random drawing.
  • Prize: describe it accurately, including quantity and any material conditions for delivery or use. State who is responsible for providing it.
  • Entry window: give the opening and closing date, exact time, and time zone. State what happens to entries submitted at or after the deadline.
  • Selection and notification: say whether selection is random or judged, how the selection will be made, when it will happen, how the selected entrant will be contacted, and the response deadline.
  • Claim and alternate winner: explain any eligibility confirmation, delivery arrangements, and what happens if the selected entrant cannot be reached or does not claim the prize in time.
  • Privacy: explain what entrant information you collect, why you collect it, how it will be used or shared, and any choices entrants have. Collect only information needed to administer the giveaway.
  • Platform disclosures: for YouTube, include its required disclosures, Community Guidelines link, disqualification explanation, privacy notice, and statement that YouTube is not a sponsor.

Put the rules somewhere viewers can read them before entering, and show or pin the entry instructions during the broadcast. If rules need to change, do not silently apply new terms to entries already received; pause and get appropriate advice about whether the event must be corrected or restarted.

Where does the donation money go?

Before asking for contributions, explain the whole payment path in plain language. The FTC’s online giving portal guidance, dated June 2018, stresses that donors should be able to tell who receives the payment, whether an intermediary is involved, what fees apply, when the charity receives the money, and whether donor details are shared. Make those facts visible before the donation link or payment step, not only in fine print.

Disclose these points beside the donation route

  • The charity intended to benefit and whether it has authorized your fundraiser.
  • The organization or platform that receives payment first, if it is not the charity itself.
  • Fees or percentages withheld, and the amount or share expected to reach the charity if you can state it accurately.
  • Expected transfer timing, who handles the transfer, and what happens if it is delayed or fails.
  • Whether donor information is collected or shared with the charity, platform, organizer, or another party, and what choices donors have.

Compare donation options using those same facts: recipient and intermediary, fees and net proceeds, payout timing and failure handling, donor-data practices, and the charity’s authorization and ability to account for funds. Do not describe money as already donated to the charity if it is still held by a platform or transfer is pending.

How do I make the closing time fair?

Use one visible time reference and put the exact deadline, including its time zone, in the rules. A countdown is useful only if it points to that same deadline; it does not replace the written closing time. Test the clock or countdown before the event, and avoid changing the deadline after entries open.

  1. Before entries open: publish the start and end times with the time zone and decide which clock controls. Make the rules accessible from the stream description, pinned message, or another clearly identified location.
  2. At the start: announce the beneficiary, donation path, entry methods, no-purchase route, eligibility limits, and closing time. Keep the same information visible in a pinned message or on-screen card.
  3. As the deadline approaches: announce the remaining time using the same clock and time zone. Do not extend the window for some viewers, accept late entries privately, or alter eligibility on the fly.
  4. At the deadline: stop accepting entries exactly when the published rules say to stop. Record the time and preserve the entry list or other records needed to show which entries were timely.
  5. After closing: use only the disclosed selection method, keep a record of the result, and contact the selected entrant through the stated process.

How should the winner be selected and the prize delivered?

Follow the selection method in the rules, whether it is a random drawing or a judged skill contest. Do not improvise a different method because the stream is running late or chat asks for one. Keep a record sufficient to resolve questions: the final eligible entry set, when entries closed, the selection result, and any eligibility check or contact attempt.

Contact the selected entrant as stated in the rules, verify eligibility, and arrange delivery within the stated schedule. If they do not respond or qualify, use the alternate-winner process already published; do not invent a new process after seeing who won. Report fundraising totals accurately after the event, distinguishing amounts received from platform fees and funds still awaiting transfer. Retain the rules, charity authorization, donation-flow details, selection record, and prize-fulfillment record.

What changes if the stream is on Twitch?

Twitch’s branded-content guidance distinguishes independent charity fundraising from fundraising for which a charity or corporate partner pays the streamer. Its guidance says independent charity fundraising does not require the branded-content tool, while a paid arrangement does. This is a platform disclosure point, not a general legal exemption. Check Twitch’s current policy directly before the event, especially if a charity or sponsor is compensating you.

Common problems and how to handle them

  • A viewer says donating buys an entry: stop and correct the claim wherever it appears. Restate that donations are voluntary and explain the no-purchase route; do not give donors better odds in a US sweepstakes-style drawing.
  • The donation page does not make the recipient clear: pause donation promotion until you can identify the first recipient, intermediary, fees, transfer timing, and donor-data handling in plain language.
  • The countdown and written time disagree: use the deadline and time reference stated in the published rules. If that cannot be applied consistently, pause entries and obtain advice rather than choosing a convenient clock after the fact.
  • An entry arrives just after closing: apply the published cutoff consistently and do not make a special exception for a friend, donor, moderator, or prominent viewer.
  • The selected entrant cannot be reached: follow the contact attempts and claim deadline in the rules, then use the stated alternate-winner process.
  • You discover a rule or platform requirement was omitted: pause the promotion and seek advice on a fair correction before proceeding. Do not quietly change terms once viewers have entered.
