How to Schedule a YouTube Livestream and Add It to Google Calendar

Schedule the broadcast in YouTube Studio, use Google Calendar to coordinate with collaborators, and use YouTube playlists to organize the archive afterward.

Schedule each broadcast in YouTube Studio, then add its watch-page link to a Google Calendar event so you and your collaborators know when and where to meet. Calendar helps coordinate the event; it does not schedule or start the YouTube broadcast. YouTube playlists are for organizing videos such as livestream archives and highlight clips, not for scheduling a playlist as a live broadcast.

Schedule the livestream in YouTube Studio

  1. In YouTube Studio, open Create → Go Live → Manage. Choose the option to schedule a stream. YouTube’s labels may change; see its official encoder setup instructions for the current workflow.

  2. Choose or reuse the stream settings, enter the stream details, and set the date and start time. Save the scheduled stream. Scheduling gives you a watch-page URL to share in advance; viewers may also see an upcoming stream and choose Notify me.

  3. Choose the broadcast route that fits your setup. For the webcam route, YouTube asks you to select a webcam and microphone. For an encoder route, use the stream URL and key provided for the stream in your encoder. YouTube documents both routes; a webcam is not required for encoder streaming. Add the YouTube stream to Google Calendar

  1. Copy the scheduled stream’s watch-page URL from YouTube Studio.

  2. Create a Google Calendar event for the agreed start time. Add the watch URL to the event description or location, invite collaborators, and set a reminder that gives your team enough time to prepare.

  3. Use the event description for production notes your collaborators need, such as who is operating the broadcast and when to join. Treat the Calendar event as a coordination aid: Google Calendar’s documented conferencing controls add Google Meet or another supported conferencing option, a separate feature from YouTube scheduling. Calendar does not create the YouTube broadcast or notify the channel’s audience that the stream is starting. See Google Calendar’s video-conference instructions.

Share the stream and go live at airtime

YouTube recommends sharing the livestream link at least 48 hours before going live. Send viewers the watch-page URL; people who visit the upcoming stream can choose YouTube’s Notify me option. Adding the link to Calendar is not a substitute for sharing it with viewers. See YouTube’s livestream promotion guidance and upcoming stream notification guidance.

At the scheduled time, open the stream in YouTube Studio’s Live Control Room and start the broadcast using your selected route. For an encoder stream, start the encoder so it begins sending the stream; the Calendar event does not trigger it automatically.

Organize livestream archives into a playlist

After the broadcast, use a YouTube playlist to collect its archive and related highlight clips. This is a way to organize videos for viewers after the event, not a way to schedule a playlist to broadcast live. YouTube describes organizing livestream archives and highlight clips in its promotion guidance.

Optional: redirect viewers after a stream

YouTube Live Redirect can send viewers to a Premiere or another livestream when your stream ends. Redirecting viewers to another channel requires that channel’s permission, and the feature has eligibility requirements. It is separate from scheduling a stream or adding it to Calendar.
