For a saved recording, upload the audio to a transcription service such as Microsoft Word Transcribe or use a transcription API. For speech happening now, use live dictation or a streaming-transcription service instead. In either case, check the service’s language and file limits, generate the text, then review it against the audio before relying on it.
Choose the right transcription workflow
The first question is whether you already have an audio file. A recording of a game session, interview, meeting, or lecture can go through a file-transcription workflow. If you want words typed while you speak, use live dictation; if an app needs to transcribe an incoming audio stream, use a streaming API. These paths have different setup requirements and supported formats.
- Existing recording: Upload a supported file to a transcription feature or submit it to a batch API.
- Live dictation: Speak into a microphone while a document or app converts the speech to text.
- Live media stream: Send audio to a provider’s streaming transcription interface, following its requirements for language, codec, and sample rate.
Transcribe an existing recording without code in Word
Microsoft Word’s Transcribe feature accepts audio uploads and provides transcript sections separated by speaker. The resulting sections can be played back by timestamp, edited, and inserted into the document. Availability and monthly limits depend on the Microsoft 365 account, license, platform, and tenant; check current eligibility in your account before relying on the feature.
- Sign in to a supported Microsoft 365 account and open a document in Word.
- Go to Home > Dictate > Transcribe to open the Transcribe pane.
- Select Upload audio and choose a supported WAV, MP4, M4A, or MP3 file.
- Wait for Word to process the recording. Review the speaker-separated sections and use timestamped playback to check uncertain passages.
- Edit the text, then insert the full transcript or selected sections into the document.
Microsoft says Word recordings are stored in the Transcribed Files folder in OneDrive. Check your organization’s policies and Microsoft’s current documentation before uploading sensitive recordings. See Microsoft’s Transcribe support page for account and feature details.

Use an API for file transcription
OpenAI file transcription
For an application or repeatable workflow, OpenAI’s transcription API accepts audio files at its transcription endpoint. Its current guide lists MP3, MP4, MPEG, MPGA, M4A, WAV, and WebM, with a 25 MB upload limit. The guide recommends gpt-transcribe for recorded speech in its original language. Choose a response format and model that fit the task; the guide points to specialized models when you need speaker labels, word timestamps, subtitle formats, or English translation.
Where supported, provide language information and useful context such as domain terms or expected names. Such hints can affect the output, so verify them rather than assuming they guarantee a correction. For recordings that exceed the file limit, consult the current API guidance for an appropriate approach instead of assuming a larger upload will work. Amazon Transcribe batch jobs
Amazon Transcribe separates batch jobs for files stored in Amazon S3 from transcription of live media streams. Its documented batch formats include AMR, FLAC, M4A, MP3, MP4, Ogg, WebM, and WAV. AWS recommends FLAC or WAV with PCM 16-bit encoding for batch audio. Its output can include word-level timestamps and confidence information. Follow the AWS setup for the particular job and region rather than treating batch and streaming formats as interchangeable. Transcribe speech while it is happening
Dictate into Google Docs
Google Docs voice typing is a microphone-based live-dictation feature, not a documented way to upload a finished recording. Open a document in a supported browser, choose Tools > Voice typing, select the correct microphone when prompted, and speak. Google notes that the browser controls the speech-to-text service and determines how speech is processed before sending text to Docs or Slides. Transcribe an application or media stream
Use a provider’s streaming interface when audio is arriving continuously rather than as a completed file. Confirm that the exact language, codec, sample rate, and required features are supported in that streaming path. AWS documents streaming and batch as distinct workflows, with requirements that can differ; its service overview is a starting point for choosing the right one.
Prepare the audio and review the transcript
Before transcription
- For direct recording, select the microphone you actually intend to use; Microsoft warns that an unsuitable microphone can lead to disappointing results.
- Reduce background noise and room reverberation where practical. AWS describes high-quality audio with low noise and reverberation as ideal.
- Check the service’s accepted formats and size limits before converting or uploading. A format supported by one provider is not automatically supported by another.
- For AWS batch transcription, use FLAC or WAV with PCM 16-bit encoding when feasible. Do not convert a file blindly if it will not improve the source audio or meet a service requirement.
- Supply the expected language and relevant names or technical vocabulary only where the selected service supports such hints.
During review
Automatic speech recognition can omit or substitute words, insert text that was not spoken, or attribute speech to the wrong speaker. Play the recording while following the transcript, and check names, numbers, dates, technical terms, speaker labels, and any passage that will be quoted or used to make a decision. Word supports timestamped playback and editing; AWS recommends evaluating the service on your own audio. Treat confidence information as a review aid, not proof that a passage is correct. Do not use unchecked output as the sole basis for a consequential decision.

Choose a service by fit, not a universal accuracy claim
No single accuracy figure establishes how well every service will handle every recording, language, accent, room, or set of speakers. Compare the workflow and test a representative sample of your own audio, especially if errors would matter.

Limits and coverage are service-specific and can change. For example, Microsoft’s support page lists different monthly upload allowances by license, while AWS’s AI Service Card, current as of May 26, 2026, describes support for over 100 languages and locales and cautions that feature support and accuracy vary by language. AWS says accuracy is highest for English, particularly US English, and recommends testing intended languages on customer content. Neither a language count nor a vendor statement guarantees a result for a particular recording.

Privacy and storage need a provider-specific check
Do not assume that all transcription services store or process audio in the same way. Word says uploaded recordings are stored in OneDrive’s Transcribed Files folder. Google says the browser controls voice-typing speech processing. AWS documents temporary content storage to improve analysis models and allows transcript bucket choices. Review the current provider terms, storage controls, and applicable workplace or consent requirements before uploading private conversations, game chat, customer calls, or other sensitive audio.

Whisper’s original announcement is not a current accuracy guarantee
OpenAI’s September 21, 2022 announcement said Whisper was trained on 680,000 hours of multilingual and multitask supervised web-collected data. It also reported 50% fewer errors than models it evaluated across diverse datasets, while noting that Whisper did not outperform models specialized for the LibriSpeech benchmark. Those are dated claims about the model and evaluation context in that announcement, not a present-day guarantee or a universal comparison of transcription services.
