To replay a recorded trade show presentation as a scheduled YouTube Live event, schedule the event in YouTube Studio, then send the recording to it through an encoder such as OBS. YouTube schedules the event; your encoder plays the file and sends the video and audio. Rehearse the full setup, check the YouTube preview and a viewer device, and keep a local recording as backup.
Choose the right way to present the recording

For the OBS route, YouTube’s encoder instructions describe how to send a feed to a scheduled live event, and OBS Media Source can play a local video file. Prepare the presentation and confirm rights
Check the complete recording
- Play the file from beginning to end and verify the picture, audio, and intended start and end points.
- Confirm that the computer or playback device can access the file and that the presentation appears correctly in the OBS scene.
- Check that you have the rights needed to stream and archive the presentation, slides, music, and any clips or other third-party material.
YouTube makes the content provider responsible for having necessary rights for live and archived content. Material captured in a trade show hall can include music or other content that the presenter did not supply, so review the recording rather than assuming the presentation’s speaker cleared everything. Understand the Content ID risk
YouTube scans live streams for third-party content. If it detects a match, it may replace the stream with a placeholder, interrupt it, or terminate it if the identified content continues. A license by itself may not prevent a live interruption: the relevant rights owner may also need to add your channel to its Content ID allowlist. Schedule the event in YouTube Studio
- Open YouTube Studio, select Create, then Go live.
- In Live Control Room, choose the scheduling option and set the event date and time.
- Enter the title and event details, add a thumbnail, and choose visibility deliberately. Share the event link with the intended audience; upcoming streams can appear to viewers, who may opt into notifications.
- Save the event. Keep its Live Control Room available for the stream URL and stream key you will enter in the encoder.
Labels may change as YouTube updates Studio, but the essential task is to create a scheduled stream in Live Control Room and configure its event details and visibility. See Manage live stream settings and Promote your live stream.
Set up OBS to play the recorded presentation
- Create a scene. In OBS, add a scene for the presentation. Add a Media Source and select the local recording. OBS Media Source supports local video playback and includes playback controls such as looping and restarting when the source becomes active.
- Check audio and framing. Confirm the source’s audio is audible in OBS and that the video fits the canvas as intended. Watch the OBS audio meters while the file plays; do not rely on a still image or a muted preview to confirm the sound.
- Connect to YouTube. In YouTube Live Control Room, copy the stream URL and stream key into the encoder’s YouTube connection settings. Treat the stream key like a password: YouTube describes it as the credential that lets the encoder send the feed. Do not share it publicly or include it in screenshots.
- Configure the outgoing stream. Use the encoder settings supported by your setup and keep upload bandwidth sufficient for the chosen bitrate. Rehearse with the actual file, computer, network, and encoder configuration; YouTube’s guidance emphasizes testing the connection and monitoring the preview rather than assuming a successful configuration.
- Start the encoder and inspect the feed. Confirm the correct presentation appears in YouTube’s Live Control Room preview with both picture and sound before the event begins.

Rehearse, go live, and monitor the event
Rehearsal checklist
YouTube recommends setting up the encoder at least two hours ahead and starting it at least 15 minutes before the event. Use that time to confirm the complete path from file playback through OBS to the YouTube preview.
- Run the actual file and verify the intended opening frame and audio.
- Check YouTube’s preview, then watch from a separate viewer device, including a phone.
- Verify that the local recording is being created and growing.
- Confirm the event link opens for the intended audience and that visibility is correct.
- Check that available upload bandwidth is sufficient for the planned stream bitrate; account for any primary and backup streams you intend to send.
During the event, keep an eye on the Live Control Room and the encoder. Confirm that the stream remains connected and that audio and video continue normally. YouTube’s streaming tips cover testing, previewing, access checks, bandwidth, and monitoring.

End cleanly and verify the archive
When the presentation finishes, stop the stream from the encoder and end the event in Live Control Room as appropriate. Check the archive in YouTube Studio and confirm its visibility. YouTube says streams under 12 hours can be archived automatically; streams longer than 12 hours may not be captured. Keep a local recording and inspect it after the event rather than relying on the YouTube archive alone. Archive live streams
Organize and share the replay
Share the scheduled event link in advance so viewers can find it and opt into notifications. Afterward, check the archived video’s visibility and place it in a relevant playlist with any highlights. If you need a lasting public record, review the archive itself after processing and make sure its title and access settings are appropriate. YouTube’s promotion guidance

Common problems and fixes
