Write video copy for a specific audience, platform, and goal—not as a one-size-fits-all caption. Start by saying what the video is about or what viewers will get from it, add only the context they need, then give them one relevant next step. Keep that promotional text separate from the subtitles or closed captions that make the video accessible.
First, decide what “video copy” means
Video posts can involve several different kinds of text. They have different jobs, so draft each one deliberately rather than treating them as interchangeable.
- Social post caption: The text accompanying a video on a feed. It can provide context, invite a response, explain a link, or include a disclosure.
- Video title: A concise label, especially important for YouTube. It should accurately describe the content and put important words near the beginning.
- Video description: Supporting information, particularly on YouTube, where the opening lines should explain the video before viewers expand the text.
- Subtitles or closed captions: Synchronized text representing speech and, where relevant, meaningful sounds. These serve accessibility and comprehension, not promotion.
A caption may briefly describe what appears in the video, but it is not a substitute for accurate synchronized captions. Some videos may also need audio description to convey important visual information to people who cannot see it.
A practical writing sequence
- Write a one-line brief. Note the intended audience, platform, video subject, viewer benefit, and one goal. A goal might be comments, saves, link clicks, or helping viewers discover a YouTube video.
- Lead with the subject or payoff. Use plain language to say what the video covers or what useful result it offers. Keep the promise within what the video actually delivers.
- Add necessary context. Explain anything a viewer needs to understand the clip. If you include a link, say why it is useful and identify its destination clearly where the platform permits.
- Choose one next step. Match the call to action to the goal and content. Ask a specific question if you want comments; invite viewers to save a reusable checklist if the video provides one. Avoid stacking unrelated requests.
- Adapt the copy to the platform. A short feed caption, a YouTube title and description, and a professional-network post do not have the same purpose or presentation. Rework the wording for each destination instead of pasting identical text everywhere.
- Review for accuracy, accessibility, and disclosure. Check that the wording matches the video, links make sense, captions are accurate, and any required endorsement disclosure is clear.
Write a YouTube title and description that work together
Title: accurate, concise, and front-loaded
YouTube advises creators to make titles accurate and succinct, with important words near the beginning. Choose a searchable title when you want to describe the subject directly, or a curiosity-led title when that better suits the audience—but do not imply a payoff the video does not provide. Description: explain the video in the opening lines
Give each video a unique description. Put a plain-language account of what it contains near the top, since viewers initially see only part of the description. YouTube recommends using one or two main descriptive terms naturally in both title and description. Treat that as a relevance practice, not a promise of ranking or views. You can review YouTube Analytics to see how viewers found a video and which search terms brought them there. Details are in YouTube’s description guidance.
Adjust the approach for the platform and purpose
Platform examples are useful starting points, not universal formulas. Meta’s guidance recommends choosing an audience and goal before drafting and treating generated captions as drafts to refine. Its examples include different approaches for Instagram, Facebook, TikTok, Shorts, and LinkedIn; they are guidance from Meta, not independent evidence that a particular style performs better. - Short-form feed post: Get to the subject or benefit quickly, then use a direct, relevant next step.
- YouTube Shorts: A clear opening and a question can invite viewers to respond, but do not force a question onto a video that gives viewers nothing to discuss.
- LinkedIn: Explain the professional context and value plainly; avoid making the post sound more sales-heavy than the video itself.
- Paid TikTok creative: TikTok for Business describes an advertising approach built around a hook, a demonstration or validation of the product benefit, and a clear call to action. That is ad-focused advice, not proof of organic performance or a fixed formula. TikTok also advises testing creative patterns. See TikTok for Business guidance.
For government and public-service communication, NSW Government recommends a concise, accurate video title and a more detailed YouTube description with relevant terms, a summary, a call to action, and a link. Its guidance also suggests putting calls to action and context in post text when appropriate: social media copy and social media creative.
Keep accessibility text separate from promotional copy
Promotional copy tells people why to watch or what to do next. Captions and subtitles provide synchronized access to speech and relevant audio information. Review automatic captions rather than assuming they are correct: check spelling, punctuation, speaker identification, timing, and meaningful non-dialogue sounds. Caption upload and automatic-caption features vary by platform and format, so check current options for the specific post before publishing. - Use plain wording and describe links with meaningful text rather than vague labels such as “click here.”
- Use CamelCase hashtags, such as #VideoWriting, so screen readers can better identify the separate words.
- Use emoji sparingly; repeated symbols can make a post harder to follow when read aloud.
- Briefly describe important video content in the post text when it helps people understand what they are choosing to watch. The University of Michigan recommends a short video description in the social caption.
- Warn viewers in the post copy about flashing, intense motion, or loud or abrupt audio where relevant.
- Consider whether the video needs audio description as well as captions if important visual information is not conveyed in its audio.

Make endorsement disclosures visible
If a paid endorsement requires disclosure, do not assume that a note buried in the description is sufficient. The Federal Trade Commission’s endorsement-guides FAQ says, “The disclosure has the best chance of being clear and conspicuous if it’s included in the video itself.” Consider how viewers encounter the content and make the disclosure easy to notice. Instagram descriptions may be truncated after the first two or three lines, according to the FTC FAQ, so placement matters. Platform interfaces and guidance can change; check the current rules that apply to your post. Read the FTC FAQ.

Review the copy before posting
- Does the opening accurately describe the video or its benefit?
- Is the title distinct from the description, rather than a repeated line?
- Does the copy fit the audience, platform, and intended outcome?
- Is there one clear, relevant next step?
- Are descriptive terms natural rather than repeated to manipulate discovery?
- Do links explain where they lead and why a viewer might follow them?
- Have captions been checked against the audio, including names and important sounds?
- Are relevant accessibility details and any endorsement disclosure easy to find?
