On YouTube, the difference is best understood by what a track communicates: subtitles usually show dialogue, often translated into another language; captions represent speech and may also describe meaningful sounds, music, laughter, and who is speaking. The terms are not used consistently everywhere, and YouTube groups the creator workflow under “Subtitles.” Choose the track your viewers need, then review its wording and timing before publishing.
Subtitles and captions: what is the difference?
In common accessibility usage, subtitles focus on spoken dialogue. They are often translated so viewers who speak another language can follow the video. Captions provide an audio equivalent: dialogue plus relevant non-speech information that helps convey what is happening.

These are useful distinctions, not universal naming rules. The W3C notes that some countries call captions subtitles. YouTube’s player uses “Subtitles/CC,” while Studio labels the creator workflow “Subtitles.” Look at the actual content of a track rather than assuming its label tells you everything.
Closed captions and open captions
Closed captions are a selectable track viewers can turn on or off. Open captions are burned into the video image and cannot be switched off. YouTube’s subtitle and caption workflow creates selectable tracks; text burned into the picture is a separate delivery choice.

Which track should you create?
Decide based on the video’s language, its sound, and the viewers you want to serve. These choices can overlap: a video can have same-language captions and separate translated subtitle tracks.
- Use same-language captions when viewers need the spoken content in text, including deaf or hard-of-hearing viewers. They can also help non-native speakers and people watching in noisy places.
- Include meaningful audio cues when a sound conveys information beyond the dialogue. For example, identify a speaker when it is not otherwise clear, or describe relevant applause, thunder, laughter, or music.
- Add translated subtitles when you want viewers who speak another language to follow the dialogue. Translation should preserve meaning rather than mechanically mirror each word.
- Choose a selectable track or burned-in text according to how viewers should control the text. A selectable YouTube track can be switched on or off; open captions are always visible as part of the picture.
YouTube says captions can serve deaf or hard-of-hearing viewers, non-native speakers, and viewers in loud environments. It also says translated metadata and subtitles can help viewers who speak other languages find and watch videos. Its Help page reports that, on average, over two-thirds of a creator’s audience watch time comes from outside their home area, but the page does not state a publication year for that figure; treat it as undated rather than a current guarantee.
How to add or edit subtitles and captions in YouTube Studio
YouTube Studio offers several ways to create a track. Exact controls may vary as YouTube updates its interface, but the documented workflow is to open the video’s subtitle settings, add a language, and select a method.

- Open the video’s subtitle settings. In YouTube Studio, open Subtitles and select the video you want to edit.
- Add the track language. Choose the language of the dialogue or translation you are adding.
- Choose how to create the track. Upload a caption file, auto-sync transcript text, type the text manually, or review automatic captions when available.
- Check words and timing. Use the editor to correct text and adjust when each caption appears and disappears.
- Save or publish the track. Confirm that the intended language and version are attached to the video.
Upload a caption file
For a straightforward upload, YouTube recommends SubRip (.srt) or SubViewer (.sbv). SRT is plain UTF-8 text; YouTube’s basic supported SRT version does not retain style markup. Caption files include text and timing, and some formats can also carry position or style information. If styling is not essential, a basic SRT or SBV file is a practical starting point.

Provide the dialogue as text and let YouTube align it with the audio. Review the resulting timing and wording against the video before publishing, especially where speakers talk quickly, overlap, or use unfamiliar names or terminology.
Type text manually
Enter captions in the editor and align each segment to the audio. Include relevant non-speech cues when they help viewers understand the program, not every incidental noise.

Review automatic captions
Automatic captions are generated with speech recognition, and quality can vary. YouTube advises creators to review and edit them: “You should always review automatic captions and edit any parts that haven’t been properly transcribed.”
How to review automatic captions accurately
Speech recognition can misrepresent words because of pronunciation, accents, dialects, background noise, or other audio conditions. Treat the automatic result as a draft, not a finished accessibility track.

- Verify numbers and negations; a small transcription error can reverse or materially change a statement.
- Check speaker changes and add identification where needed to make dialogue clear.
- Listen for meaningful sound information, including relevant music, laughter, or effects that speech recognition will not capture as ordinary dialogue.
- Review timing as well as text so captions appear with the corresponding speech and remain readable.
YouTube says captions may be delayed or unavailable because of processing, unsupported language, long video duration, poor sound, long silence at the start, overlapping speakers, or simultaneous languages. If a track is missing, waiting for processing may help; if the video has one of these audio or language issues, correct what you can and add or edit a track manually.

Accessibility standards and practical scope
W3C WCAG 2.2 Success Criterion 1.2.2 is Level A and calls for captions for prerecorded audio content in synchronized media, with an exception when the media is a clearly labeled text alternative. This is standards context, not a blanket legal conclusion about every creator, platform, or jurisdiction. Applicable obligations depend on the circumstances and location.
W3C defines captions as similar to dialogue-only subtitles, except that captions also convey equivalents for non-dialogue audio information needed to understand the program, including sound effects, music, laughter, speaker identification, and location. That framing is a useful check when deciding whether dialogue alone is enough for a particular video.
When to use a captioning or translation service
If you need professional captioning or translation, YouTube lists third-party providers, including 3Play Media, Amara, and Amberscript. YouTube says these providers are independent third parties; it does not guarantee their quality or imply a formal relationship. Compare their current language support, workflow, and terms directly before choosing a service.
