“Waiting for encoder” usually means YouTube has not received a usable video and audio feed for the broadcast. Creating or scheduling the event makes a place for the stream; an encoder—such as the church’s streaming software or hardware—still has to start sending the feed. Check that sender first, then verify its input, output destination, network connection, and YouTube’s received preview.
What “waiting for encoder” means
YouTube’s live workflow has two separate parts: the broadcast event and the incoming encoder feed. The event can be prepared or scheduled while no video is being sent. A title, thumbnail, scheduled start time, or open livestream settings page does not itself create a signal. The encoder must be configured with the stream information and started before YouTube can show its incoming preview. See YouTube’s encoder workflow.
The wording can also appear as a device-specific status. For example, the Cobalt 9992-ENC manual defines “Waiting for Encoder” as the encoder not attempting to connect to the RTMP server. That is the manual’s definition for that product, not a universal explanation of every YouTube message or encoder interface. Check the status details for the software or hardware your church uses.
Troubleshoot in this order
Work from the sender outward. This helps distinguish a stopped encoder or missing source from a connection or configuration problem.

- Start the encoder output. In the church’s streaming software or hardware, confirm that streaming or encoding has actually begun. Preparing the YouTube event is not the same as starting the sender. YouTube’s encoder instructions include starting the stream from the encoder.
- Confirm that the encoder has a valid source. Check the camera, capture card, video mixer, or media source. Look at the encoder’s local preview and status: does it show the expected picture and audio? A stopped encoder or absent or invalid input can leave an encoder without a feed to send. The Cobalt 9992-ENC manual describes those causes for its own hardware.
- Check that output is enabled and aimed at the intended stream. Confirm that the encoder is set to send, and that it uses the correct YouTube destination and stream information for this broadcast. A configured event alone does not ensure the sender is connected to it. YouTube explains how to configure the encoder in its live-streaming workflow.
- Determine whether the encoder is stopped or running but disconnected. If it says it is running but cannot connect, inspect the destination parameters and the network path, including whether the server name resolves. The Cobalt manual distinguishes its “Not Connected” state—encoder running but unable to connect—from its waiting state. Those labels are specific to that product; use the equivalent status or error details in your church’s encoder.
- Check YouTube’s incoming preview and stream health. Once the encoder is sending, look for the received video and audio in YouTube. If the feed arrives but YouTube flags it, compare the encoder’s format and bitrate with YouTube’s current encoder settings guidance. Recommendations can change, so consult the current page rather than relying on remembered values.
- Change the stream key or hardware only after those checks. An incorrect destination or stream key is possible, but the waiting status alone does not prove that the key is wrong. First establish that the sender is running, has valid input, and is attempting to send to the intended destination. A new encoder is not the first fix for a stopped sender, missing source, or configuration issue.
What to conclude from the status—and what not to
- The event page existing does not show that an encoder is running or that YouTube is receiving video and audio.
- A “waiting” label by itself does not identify the cause. The encoder may be stopped, lack a valid input, have output disabled, or be using a destination or network path that prevents connection.
- Manufacturer status definitions are product-specific. The Cobalt 9992-ENC manual’s explanation is useful for that encoder family, but it should not be applied automatically to YouTube’s interface or another manufacturer’s device.
- If the sender is running but disconnected, investigate connection and destination details; if it is not generating output, start the encoder and check its input first.
