Start with one real task learners need help completing, then make a focused demonstration they can find and use at that moment. Plan clear narration, captions, a transcript, and accessible playback before recording—not as afterthoughts. There is no evidence-based runtime that fits every just-in-time training video; the right scope is the learner’s next useful action.
What makes a video just-in-time training?
A just-in-time video answers a specific question or shows a procedure when someone needs that help at work. Its success is not defined by a universal duration or a production style: the important editorial choice is to connect the clip to a concrete learner need and make the next action clear.
For example, the University of South Carolina’s Digital Accessibility Microlearning Series offers practical sessions on discrete topics such as captioning and transcription. The university describes its webinars as 30 minutes long, but that is an example format, not evidence that 30 minutes—or any other length—is ideal for a video. How do I create just-in-time video training?
1. Choose a real point-of-need task
Identify a recurring question, decision, or procedure that arises while people are working. Write down what a viewer should be able to do after watching. If the outcome cannot be stated as an action, narrow the topic before scripting.

2. Limit the clip to the next action
Arrange the explanation around the task and its steps. For software, show the relevant screen state and the action to take. For a physical procedure, frame the important movement so viewers can see it. Leave out background that does not help someone complete the task. This is practical production advice, not a formula proven superior in comparative testing.
3. Plan narration and visuals together
Prepare narration that is clear to hear and understandable without relying on visual information alone. Describe important on-screen details in speech; if a visual detail is essential and cannot be adequately conveyed in the main narration, consider audio description or a separately described version. Use readable, high-contrast text, avoid jargon, unexplained acronyms, idioms, and flashing content, and keep important on-screen text out of the lower third where captions may appear. 4. Record and edit for comprehension
Use a quiet recording environment and make sure speech is distinct from background noise. Keep demonstrations legible, and speak at a pace that gives viewers time to follow both the action and its captions. Section508.gov says speech above 180 words per minute may be too fast for caption readability; treat this as an attributed production guideline, not a universal ideal speaking rate. Review the clip at the size and in the context in which learners will actually view it.
5. Create captions, then check them
For prerecorded media with audio, captions are synchronized text for dialogue and important sounds. Automatic captions can provide a first draft, but they are not finished accessibility work. Review synchronization, names, spelling, punctuation, grammar, meaningful non-speech audio, and line breaks. Section508.gov recommends no more than two caption lines at once and no more than 45 characters per line, with fewer preferred. 6. Provide a transcript and visual equivalent
Place a transcript where learners can find it beside the video. Include spoken content, on-screen text, and key visual information that narration does not already explain. A transcript gives people an alternative to watching and can make content easier to scan or search. Digital.gov recommends linked transcripts and describing information conveyed visually; consult its accessibility guidance for content designers.
7. Publish accessibly and check the task
Use a player that supports captions and keyboard operation, and make its controls usable without a mouse. Federal Section 508 guidance addresses playback controls for captions and audio description; the UK Home Office manual advises against autoplay and calls for accessible player operation. Once published, test the clip and transcript where learners will encounter them: confirm that people can locate the resource, understand the demonstration, operate the player, and carry out the intended task. Guidance differs by jurisdiction and organization, so check the requirements that apply to your audience and workplace.

How do I make a short training video accessible?
Accessibility affects decisions from scripting through publication. The U.S. General Services Administration’s Section508.gov states: “The best way to make content accessible is to plan for it from the beginning.” Use that principle as a production check, not a final-stage audit.
- Audio: Make speech clear and separate from background noise; explain relevant visual information in narration.
- Visuals: Keep text readable and high-contrast, avoid flashing content, and do not place essential text where captions may obscure it.
- Captions: Synchronize them with speech and important sounds, and manually check automatically generated captions.
- Transcript: Link it close to the video and include important visual details and on-screen text.
- Player: Check keyboard access and caption and audio-description controls; avoid autoplay.
Captions, subtitles, transcripts, and audio description serve different purposes. Captions represent dialogue and relevant sounds in synchronized text; subtitles typically represent spoken words, often as a translation. A transcript is a text alternative to the media, while audio description conveys visual information through audio. How do I choose a platform for training videos?
