Best Screen Recording Software for Webinars: Choose by What You Need to Capture

The right webinar recorder depends on whether you need the event replay, configurable desktop capture, or separate participant tracks for editing.

The best screen recording software for a webinar depends on what the finished recording must contain. Start with your webinar platform’s native recorder when you need the shared presentation and event context; use OBS Studio for configurable desktop, camera, and audio capture; choose local multi-track recording when separate participant files will make editing easier. Zoom and Riverside offer different recording workflows, but neither is a universal fit.

Choose a recorder by the output you need

Before choosing, list the elements the edit actually needs: screen share, presenter camera, participant video, desktop audio, microphone, chat, poll results, or captions. Then check whether the tool produces a composed replay, separate files, or both. A recording with clean participant tracks may be less useful if the screen share is missing from those tracks.

Zoom: use the native recorder for a Zoom-hosted event

For teams already hosting in Zoom, check its native recording options first. Zoom’s cloud recording settings can produce combined or separate speaker, gallery, screen, and participant-audio files; optional outputs can include chat and captions. What is available depends on account and recording settings. See Zoom’s recording documentation and confirm the settings in your own account before the event.

Computer recording

Zoom says computer recording is available to free and paid subscribers using supported desktop clients. It is not supported on iOS, iPad, or Android. An administrator may control whether users can record, so check both user-level settings and organizational policy rather than discovering a restriction after the webinar starts.

Cloud recording and output choices

Cloud recording is the more flexible route when you need Zoom to create separate speaker, gallery, screen, or participant-audio files, or want selected chat and caption outputs. Review the recording settings for the account and the specific meeting or webinar. Do a short test and inspect the resulting files: the chosen layout and enabled outputs determine what is available to edit later.

Zoom Recording Studio: useful for supported events, not a general webinar switch

Zoom Recording Studio is aimed at post-production workflows that benefit from local participant recordings. It has specific licensing and event constraints: Zoom documents Webinars Plus and Events licensing, cloud recording, supported desktop clients, adequate storage, and participant local storage as requirements. The support page says webinar event types are unsupported and describes single-session constraints. Check Zoom’s current Recording Studio requirements against the exact event type and account before relying on it.

What the local files include—and omit

Zoom says local participant files can be up to 1080p at 60 frames per second and include participant video and audio. Screen shares are captured in the cloud recording only, not in local files. If the edit needs both clean participant footage and the presentation, plan to use the cloud screen-share recording alongside the local participant files.

Plan for storage and upload

Zoom’s support page estimates approximately 2–3 GB per hour at 1080p60 for Recording Studio storage planning; it is an estimate, not a guaranteed file size. Check local free space and cloud storage before the session. Zoom also notes that local uploads can fail if a client quits or loses its network connection, so keep the client open and connected until uploads finish.

OBS Studio: flexible desktop capture you configure yourself

OBS Studio is a standalone desktop option when you want direct control over the sources in a recording: a display or window, webcam, desktop audio, and microphone. It can capture the webinar as it appears on the computer, but it does not by itself generate platform-native artifacts such as separate webinar chat, poll results, or captions. Use the OBS quick-start guide to set up sources and audio devices, then make a test recording before the real event.

Set up and verify a test

  1. Add the picture sources. In OBS, add a display or window capture for the webinar, and add a video capture device if you want your camera in the recording. Confirm the correct window or display is visible in the preview.
  2. Check audio sources. Select the intended microphone and confirm microphone and desktop audio are moving in the audio meters. Listen to a short test recording; moving meters alone do not prove the right device or mix was captured.
  3. Record and review. Make a few minutes of test footage, then play the file back. Check picture framing, screen legibility, microphone level, desktop audio, and whether the recording saved where expected.
  4. Keep the recording machine ready. Unlike a cloud recording service, OBS depends on the computer running the capture and saving the file locally. Check available disk space and avoid closing OBS or shutting down the machine during the session.

OBS’s quick-start guidance recommends a short test before recording for real. This is especially valuable for webinars: a wrong audio device or cropped presentation can undermine the replay even if the recording itself completes.

Riverside: consider it when separate participant tracks matter

Riverside advertises local, separate participant tracks, up to 4K video, and uncompressed audio for business recording. Those are vendor-stated capabilities, not a comparative quality test; confirm current plan fit and track-download rules on Riverside’s pricing page before committing. A local-track workflow is worth considering when editors need to adjust each participant independently rather than work only with a composed recording.

At the time reflected by the cited business and pricing pages, Riverside’s business page showed Free, Pro ($24/month), Live ($34/month), Webinar ($79/month), and Business (custom). Its pricing page listed separate-track download allowances of 15 hours on Pro, 20 on Grow, and 25 on Webinar, while recording itself was described as unlimited. The tier names differ between those pages, and pricing, billing periods, limits, and geographic availability can change; verify the exact current plan and allowance directly before purchase.

Prepare the recording before the webinar

  • Confirm event compatibility. Check the exact event type and licensing. This is essential for Zoom Recording Studio because Zoom documents webinar event types as unsupported.
  • Enable recording and verify permissions. Check account and user settings, and ask an administrator whether recording is restricted.
  • Decide where the screen share must appear. For Recording Studio, the screen share is in the cloud file, not the local participant files.
  • Check space and connectivity. Allow for local disk use, cloud storage quotas, and time for local recordings to upload. Keep supported clients open and the network stable through upload completion.
  • Test the actual setup. Verify the selected microphone and desktop audio, then review a short recording rather than relying only on meters or a preview.
  • Plan participant communication. Decide who starts and monitors recording, and how participants will be informed. Applicable legal requirements vary by jurisdiction; check the rules relevant to your event rather than assuming one universal standard.

Common recording problems and fixes

Recording controls are missing or disabled Recording is not enabled for the account or user, or an administrator restricts it. Check the account and user recording settings and ask the administrator to confirm the policy before the event.

OBS file has no usable microphone or desktop audio The wrong device was selected, a source was not captured, or levels were not checked. Verify the intended sources in OBS’s audio meters, make a short recording, and listen to the saved file before going live.
Recording stops because the computer runs out of space Local disk capacity was not checked against recording duration and settings. Check free space before the session and use the relevant platform’s storage guidance; Zoom’s Recording Studio estimate is approximately 2–3 GB per hour at 1080p60.

Which option should you choose?

  • Choose the webinar platform’s native recording when event context and a shareable replay matter most.
  • Choose OBS when you want configurable desktop capture and can take responsibility for the computer, sources, and local file.
  • Choose local multi-track capture when separate participant files are central to the edit, after confirming that the event type, plan, storage, and upload workflow support it.

StreamYard’s vendor-authored comparison frames related priorities as fast setup, clear presenter-led screen recordings, easy replay sharing and reuse, and reliability for guests who are not technical; that is vendor framing, not survey evidence. A 2026 Digital Samba comparison recommends Zoom for scale on an existing stack, Riverside for studio-grade recording, Demio for on-demand webinars, EverWebinar for evergreen automation, and Webex for enterprise events. Those are that publisher’s judgments, not independent benchmarks; investigate additional platforms only when those particular functions fit your event.
