Connect that provider with a WordPress mailer plugin, send from a domain you control, authenticate the domain with SPF, DKIM and DMARC, and verify delivery with a small test campaign before sending to your full list. This is more dependable than relying on the hosting account’s default PHP-mail path.
The recommended WordPress newsletter architecture
A reliable newsletter setup has four parts: WordPress generates the message, a mailer integration hands it to a remote delivery service, your domain proves that the service is authorized to send, and the provider reports delivery events such as bounces or complaints when those features are available.

In a default installation, WordPress calls wp_mail(). That function normally passes the message to PHP’s mail() function, which in turn depends on a working mail-transfer setup on the web server. WordPress’s Advanced Administration Handbook states that “WordPress has never provided either a MUA or an MTA by default.” A host may not provide that local mail environment at all, or it may impose limits and reputation problems that you cannot see from WordPress.

The practical replacement is a remote transactional provider connected by SMTP or an API. A WordPress mailer plugin can supply the connection, expose a setup wizard, standardize the From address, and provide logs for troubleshooting. The newsletter plugin itself can still manage subscribers and campaigns; the mailer handles the outgoing transport.

What to choose: plugin, provider and transport
Use a mailer plugin as the WordPress connection layer
A plugin such as WP Mail SMTP provides a guided wizard and integrations for Amazon SES, Mailgun, SendGrid, Brevo, Postmark, SMTP.com, SendLayer and SMTP2GO. The important decision is not the plugin’s name alone. Confirm that the mailer supports the provider and transport you intend to use, lets you set a global From identity, and exposes enough logging to diagnose failed sends.
For most site owners, the easiest route is a supported provider in the wizard, domain authentication, and a test message. You do not need to build a mail server or alter WordPress core. For a technical team or a larger sending operation, a provider with both API and SMTP options gives you more control over credentials, regions, quotas and application-level integration.
SMTP versus API
SMTP is the broadly compatible option: WordPress or the mailer plugin opens a TLS-protected connection to the provider’s SMTP endpoint and submits the message. API delivery sends the message over the provider’s web API using an authorization token or equivalent credentials. API integrations can expose provider-specific features and avoid some SMTP configuration, while SMTP is often simpler when a plugin already supports it.
Do not assume that an SMTP connection authenticates your domain by itself. Amazon Web Services explicitly notes that SMTP does not authenticate a sender. Domain authentication still requires the appropriate DNS records and, where applicable, a verified sending identity.

The table is a fit guide, not a ranking. Compare setup effort, API and SMTP support, domain-verification workflow, region-specific credentials, quotas, logs, bounce and complaint handling, tracking, and the volume you expect to send. A provider that is easy for a small newsletter may be less convenient when you need multiple sending regions, strict quota controls or detailed event data.
Step-by-step setup
1. Select a domain-based From address
Create an address on a domain you control, such as [email protected], and keep it consistent across the site. The From Email is the identity recipients see as the sender. Avoid switching between unrelated addresses for the same newsletter: consistency helps recipients and receiving systems recognize legitimate mail.

In the mailer plugin, enable the option that forces the From Email globally. This prevents individual plugins from silently replacing the authenticated identity with a different address. If your provider supports sending-domain checks, enter the domain during its setup so it can issue the required DNS instructions.
2. Install and open the mailer wizard
- Install a reputable WordPress mailer plugin that supports your selected provider.
- Open the plugin’s mailer or setup-wizard screen.
- Select the provider and the transport it supports for your account: SMTP, API, or both.
- Enter the provider credentials or complete its authorization flow.
- Enable the global From setting and enter the domain-based address chosen in step one.
Use the provider’s exact field names and authentication method. Do not paste an SMTP password into an API-key field, and do not reuse credentials from another region or account.
3. Complete provider-specific identity and region settings
Providers can require a verified email identity, a verified domain, or both. Amazon SES requires a verified email identity and asks you to use a region-specific SMTP endpoint with region-specific SMTP username and password. Select the same region in the provider console and the WordPress integration. SES also requires client software capable of TLS.
For API integrations, authorize the site with the provider’s current token or connection method. Record which account, region and sending domain the authorization represents; those details matter when you later investigate a quota error or a message that appears to come from the wrong identity.
4. Publish SPF, DKIM and DMARC records
Add the DNS records supplied by your provider to the sending domain. WordPress calls SPF, DKIM and DMARC “a critical step to ensure deliverability.” Each serves a different purpose:

- DKIM adds a cryptographic signature that receiving systems can verify against a public DNS key.
- DMARC tells receiving systems how to evaluate messages that do not align with your domain’s authentication and provides a policy and reporting framework.
Use the exact hostnames, record types and values supplied for your account. If you already publish an SPF record, add the provider’s authorization to that existing record rather than creating a second SPF record for the same domain. Your provider’s instructions determine the precise DNS syntax.

Authentication improves a receiving system’s ability to identify legitimate mail, but it does not guarantee inbox placement. Amazon Web Services recommends authenticating email for optimal deliverability while making clear that authentication is only one part of the receiving system’s decision.
5. Send a controlled test
- Save the mailer settings and run its test-email function.
- Send to an address you control at more than one mailbox provider if possible.
- Confirm that the visible From address is the domain-based identity you configured.
- Check whether the message arrives, whether authentication passes in the recipient’s message details, and whether the provider records a successful event.
- Send a small newsletter test before importing or mailing the complete list.
The final step is deliberately small. It separates configuration errors from list-wide delivery problems and gives you a chance to correct the From identity, DNS records, credentials or region before a full campaign.
Amazon SES: the technical-control path
Amazon SES is suited to teams that want explicit control over delivery endpoints, credentials and quotas. It supports both SMTP and API delivery, but the setup is more AWS-specific than a turnkey wizard flow.

SES requirements
- A verified email identity or verified sending domain.
- The SES SMTP endpoint for the selected AWS region when using SMTP.
- A region-specific SMTP username and password.
- A WordPress integration or client that supports TLS.
- Sufficient sending quota for the newsletter volume.
Choose the region before creating or copying credentials. A credential generated for one region is not a universal credential for every SES endpoint. If your expected quantity exceeds the account’s current allowance, request an increase before scheduling a large campaign.
SES authentication and identity
SES provides the delivery connection, not automatic permission to impersonate any From address. Verify the identity you intend to use, publish the provider’s SPF and DKIM instructions, and align the visible From address with that authenticated domain. If you use a custom MAIL FROM domain, configure it according to SES’s instructions and make sure its DNS records are present.
When troubleshooting SES, check the selected region, SMTP credentials, TLS support, identity verification status and quota independently. A failure in any one of those areas can look like a generic WordPress email error.

Mailgun: an API or SMTP alternative
Mailgun documents two WordPress connection methods: API and SMTP. Choose the one your mailer plugin supports most cleanly and that matches your team’s credential-management practices. Its documentation also covers outgoing-email tracking, which can help you investigate whether a message was accepted, rejected or otherwise produced an event in the provider’s system.
The same domain rules still apply. Use a controlled From address, complete the provider’s domain verification, publish SPF, DKIM and DMARC, and test before sending to the full list. API availability does not remove the need for domain authentication.

Start with authentication, not a plugin swap
Verify SPF, DKIM and DMARC for the domain that appears in the From address. A mailer plugin can route the message correctly, but it cannot create DNS authorization on your behalf. Authentication gives receiving systems evidence that the provider is allowed to send for your domain; it cannot promise a particular folder or inbox placement.
Keep the sender identity stable
Force one domain-based From address globally and avoid having the newsletter plugin, contact form and WordPress core each choose a different identity. A stable identity makes it easier to recognize legitimate messages and simplifies provider-side authentication.
Use provider evidence before changing configuration
Check the provider’s logs, bounce and complaint information, and tracking where available. A message that never appears in provider logs points to a WordPress, plugin or connection problem. A logged rejection points to credentials, identity, quota or provider policy. A logged acceptance followed by spam placement means the transport worked, but the receiving system made a filtering decision; authentication alone does not override that decision.

Send a controlled test, inspect the result, and then send a small campaign before using the full list. This staged approach limits the impact of a wrong From address, missing DNS record or quota limit.

Troubleshooting by symptom
The test email does not send
- Confirm that the selected mailer matches the credential type. SMTP credentials belong in SMTP fields; an API token belongs in the API authorization flow.
- For SES, verify the region, endpoint, SMTP username, SMTP password and TLS-capable client requirement.
- Check that the provider identity is verified and that the domain in the From address matches the configured identity.
- Review the WordPress mailer log and the provider’s event log for a specific rejection rather than retrying blindly.
The message sends from the wrong address
- Enable the mailer plugin’s global From setting.
- Check the newsletter plugin’s own sender fields for an override.
- Use the same domain-based address in the provider identity and the WordPress From Email field.
The provider reports a quota or rate error
- Compare the campaign’s expected quantity with the account’s current sending allowance.
- For SES, request a higher quota if the planned quantity requires it.
- Confirm that you are viewing the quota for the same region used by the WordPress integration.
Authentication is missing or failing
- Check that SPF, DKIM and DMARC records were added to the domain that appears in the From address.
- Use the exact DNS values supplied by the provider and avoid publishing duplicate SPF records.
- Recheck the provider’s domain-verification screen and correct any record that it still marks as incomplete.
Mail is accepted but reaches spam
Do not assume that changing SMTP plugins will solve this. First confirm that authentication passes and that the From identity is consistent. Then use provider event data and controlled recipient tests to distinguish a transport problem from a receiving-system filtering decision. The available evidence supports authentication as essential, not as a guarantee of inbox placement.
Operational checklist before a full newsletter send
- A remote transactional provider is connected through SMTP or API.
- The WordPress mailer has a global, domain-based From address.
- The provider identity or sending domain is verified.
- SPF, DKIM and DMARC are published for that sending domain.
- Credentials and, where applicable, the provider region are correct.
- TLS is supported when the chosen SMTP service requires it.
- The account quota covers the planned quantity.
- A test message has been checked in recipient mailboxes and in provider logs.
- A small test campaign has succeeded before the full list is used.
Which setup fits your situation?
Small or nontechnical newsletter
Choose a provider supported by the mailer plugin’s wizard. Follow its guided authorization, verify a domain-based From address, publish the three authentication records, and use the plugin’s test function. This minimizes custom configuration while retaining a proper remote delivery path.
Technical team or higher-volume operation
Choose a provider with the API or SMTP controls your team can operate reliably. Amazon SES offers both transports and explicit region, identity, credential and quota controls, but it demands more AWS-specific work. Plan identity verification and quota requirements before the first large campaign.
Need both integration flexibility and event visibility
Compare providers that document both API and SMTP connections and expose logs or tracking. Mailgun’s WordPress documentation covers both connection methods and outgoing-email tracking. Evaluate the same authentication, quota and From-address requirements regardless of which transport you select.
Final recommendation
The best outgoing setup is not WordPress PHP mail by itself. Connect WordPress to a reputable transactional provider through a supported SMTP or API integration, force a consistent From address on your own domain, authenticate that domain with SPF, DKIM and DMARC, and validate the path with a test and a small campaign. Select the provider by setup effort, transport, identity workflow, regional credentials, quotas and diagnostic data—not by the plugin label alone.
