The safest setup is not one universal privacy switch. Keep confidential Trello boards private, make wiki access group-based and intentionally limited, and run Discord with narrowly scoped roles, channel permissions, controlled invites, and a documented moderation process. Treat every change from private to shared, public, anonymous, or externally invited as a publishing decision.
This guide explains the visibility levels, permission layers, setup steps, and ongoing checks for Trello, Confluence, Notion, and Discord so a team can collaborate without exposing work to the wrong people.

Start with least privilege and an explicit publishing decision
Least privilege means each person, integration, and guest receives only the access needed for a defined task, for only as long as it is needed. It is more reliable than assuming a workspace is private because the product name or URL is familiar.

- Confidential: personnel matters, customer data, unreleased products, security details, credentials, legal work, and incident records. Keep these in private boards, restricted spaces or pages, and private channels.
- Internal: routine team plans, approved procedures, and discussion that every member of a defined organization may need. Use workspace, teamspace, or role-based access only when broad discovery is acceptable.
- External collaboration: material shared with a named client, contractor, or partner. Prefer a guest or named invite over a public link, and set an expiry or review date.
- Published: documentation deliberately intended for anyone on the internet. Use public or anonymous modes only after an owner has approved the exact content and understood indexing and copying risks.
Separate four decisions
- Discovery: who can see that a board, space, page, server, or channel exists?
- Read access: who can open and view the content?
- Change access: who can edit, comment, upload, delete, invite, or change settings?
- Administration: who can alter permissions, export data, install integrations, or remove other users?
A person who needs to read a plan does not automatically need to edit it. A moderator who can remove messages does not necessarily need server-wide administration. Keep these decisions separate in your permission design.

Trello: choose the narrowest board visibility that works
Trello has four relevant board-visibility levels. They control who can discover and open a board; membership and commenting controls then determine what people can do inside it.
| Visibility | Who can see the board | Editing and joining behavior | Best use |
|---|---|---|---|
| Private | Board members only; in paid Workspaces, Workspace admins can also see the board. | Only members can work on it. Do not treat a Workspace admin as outside the trust boundary. | Confidential projects, HR work, security incidents, and unreleased plans. |
| Workspace-visible | Workspace members can discover and view the board. | Workspace members are editable and may be able to join by default; administrators can prevent self-join and editing. | Work that every member should find and contribute to. |
| Organization-visible | Managed users and Enterprise Workspace members under an Enterprise organization. | Enterprise administrators can enforce organization-wide visibility and related restrictions. | Large managed organizations that need a controlled common view. |
| Public | Anyone with the link can view it. | Only board members can edit. Depending on settings, visitors may be allowed to vote or comment. | Intentional publishing, public roadmaps, or community input; never a shortcut for internal sharing. |
Trello states that users have full control over data visibility and that defaults favor privacy. That principle still requires an owner to review every board: a board can be private while a member, attachment, export, or linked service creates a separate exposure.
Recommended Trello baseline
- Set new confidential boards to Private.
- Use Workspace-visible only when every Workspace member should be able to discover and edit the board. If discovery is useful but editing is not, configure administrators to prevent member editing and self-join where the plan supports it.
- Use Organization-visible only in an Enterprise environment with managed users and a clear organization-wide policy.
- Use Public as an intentional publishing mode. Remove secrets, personal information, private comments, and internal attachments before switching visibility.
- Review who can comment, who can add or remove members, who can change settings, and whether voting is appropriate.
Understand Trello member types
A normal board member can edit or add to the board. An observer is a read-only member available on Premium Workspaces. A guest is a board member who is not a Workspace member. A board administrator can do anything on the board, so keep that role limited to accountable owners.
Guests are useful for a named client or contractor, but they should not become a substitute for a public board. Confirm that each guest is on the intended boards only, and remove access when the engagement ends. Observers are safer for review than editable members, but they can still see everything exposed on that board.

Enterprise controls for Trello administrators
Enterprise administrators can enforce Workspace visibility, restrict allowed member email domains, restrict board creation, restrict invitations, and restrict attachment sources across Workspaces. Use these controls to prevent an individual board owner from bypassing organization policy. Document which controls are mandatory and which remain team-level choices.
Step-by-step Trello review
- Open the board and inspect its Visibility setting. Record the business owner and the intended audience before changing it.
- Open the board’s members list. Remove former staff, duplicate accounts, and guests whose work is complete. Confirm that every remaining person has a current business reason to access the board.
- Review member roles. Keep board administrators to the smallest practical number; use observers for read-only review where available.
- Check commenting, voting, and invitation settings separately from visibility. A private board can still permit unwanted edits or comments if those controls are broad.
- Audit cards and attachments for credentials, personal data, and links to systems with weaker access controls. Move secrets to an approved secrets manager rather than storing them in card descriptions or comments.
- If the board is Workspace-visible, verify whether members can self-join or edit. Disable those behaviors when the board is intended for limited contributors.
- If the board is public, perform a publication review, test the public link in a signed-out browser, and obtain an owner’s approval before announcing it.
Team wikis: control the site, space or teamspace, then the page
Wikis usually have several permission layers. The effective access is the broadest grant a person receives, not the narrowest restriction you hoped would apply. Build access with groups and roles, then add page-level restrictions for exceptional content.
Confluence permission settings
Confluence uses global, space, and content-level permissions. Its model is open by default and additive: if one group grants a person view access, another group’s lack of that grant does not cancel it. Group overlap can therefore expand access unexpectedly.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Repair Windows errors before they cause bigger problems3Scan for outdated or missing drivers - takes under a minuteConfluence baseline
- Use groups that reflect job function or project membership rather than assigning permissions individually wherever possible.
- Give a group only the global and space permissions it needs. Check inherited membership before adding a person to another group.
- Keep sensitive material in a dedicated private space when practical. Page restrictions are useful for exceptions, but a crowded space with many one-off restrictions is difficult to audit.
- Remember that content cannot be more open than its containing space or parent item. A page restriction cannot make content available to someone who cannot access the parent.
- Review anonymous access as publishing, not as a convenience feature.
Anonymous access is internet publication
At the site level, a Confluence administrator enables the possibility of anonymous access. At the space level, a space administrator grants it. Page restrictions can narrow access, but anonymous content can be found by anyone on the internet and indexed by search engines. Before enabling it, remove internal links, personal information, credentials, draft material, and references that reveal systems or customers.

Test anonymous access while signed out and in a private browser window. Search engines may retain copies after access is removed, so treat the first publication as a durable disclosure rather than a reversible experiment.
Confluence guests
Guests generally receive limited collaboration permissions and are assigned to a single space. Keep guest work in a dedicated space or explicitly restrict pages. Check whether a guest is also a member of a broader group that grants unintended access; the additive model means that an apparently narrow guest assignment can be widened by another group membership.
Step-by-step Confluence review
- At the site or global level, list who can administer users, spaces, permissions, anonymous access, and integrations.
- For each space, identify its owner, intended audience, and groups with view, add, edit, delete, export, or administrative rights.
- Compare group membership with the space audience. Remove stale project groups and check nested or overlapping groups.
- Apply page restrictions to confidential pages that must remain in a broader space. Keep the restriction list short and name an owner responsible for reviewing it.
- Review guest accounts and place external collaboration in a dedicated space whenever possible.
- If anonymous access is enabled, inventory every anonymously reachable space and page. Disable anonymous access unless the material is deliberately public.
- Test representative pages as an ordinary member, a guest, and a signed-out visitor. Record what each account can discover, view, edit, and share.
Notion permission settings
Notion distinguishes admins, members, and guests. Members can access pages shared with the team; guests can access only pages specifically shared with them. Permission groups provide recurring, granular access, while read-only public pages support deliberate publication.
Notion baseline
- Use members for people who need continuing workspace collaboration; use guests for narrowly scoped external access to named pages.
- Create permission groups for recurring teams, projects, or departments instead of maintaining a long list of individual page shares.
- Review default teamspaces carefully. Pages inside a default teamspace are accessible by everyone in the workspace, so do not store confidential material there.
- Set sensitive pages to the least permissive available level and check subpages. A broadly shared parent can expose a child unless the child is separately restricted.
- Use a read-only public page only when the page has passed a publication review and contains no internal links or private data.
Step-by-step Notion review
- List workspace admins and remove administrator status from anyone who no longer needs to manage members, settings, or integrations.
- Audit members and guests. For each guest, record the specific page, owner, purpose, and review date.
- Inspect every default teamspace and move confidential pages into a restricted teamspace or page hierarchy.
- Replace ad hoc individual shares with permission groups for stable teams. Remove obsolete groups and verify their members.
- Check the share panel on sensitive pages and their parent pages. Confirm whether people have full access, can edit, can comment, or are read-only.
- For public pages, open the published link while signed out and verify that linked subpages, databases, files, and comments do not reveal internal material.
Discord: secure the server with roles, channel overrides, and controlled invites
Discord privacy is an operational system rather than a single server switch. Create separate roles for owners, administrators, moderators, bots, members, and guests. Grant permissions at the narrowest server or channel scope, keep administrator-level permissions rare, review invite links, and remove access promptly when people leave.

Use a role hierarchy that matches responsibility
| Role | Typical responsibilities | Permissions to avoid by default |
|---|---|---|
| Owner | Accountable for the server, policy, recovery, and final administrative decisions. | Do not delegate ownership casually; ownership transfer is a high-impact event. |
| Administrator | Configuration, role management, integrations, and major incidents. | Avoid giving this role to routine moderators or bots. |
| Moderator | Manage messages, timeouts, reports, and member conduct within defined channels. | Do not grant server-wide administration, role management, or unrestricted invite creation unless required. |
| Bot or integration | Only the automated actions documented for its function. | Never grant Administrator merely to make setup easier; use specific permissions. |
| Member | Participate in ordinary public or internal channels. | Restrict mass mentions, link posting, file uploads, and other abuse-prone actions where appropriate. |
| Guest | Access to selected channels for a defined purpose. | Do not let guest roles inherit private staff or incident channels. |
Configure channels as separate trust zones
Create private channels for staff operations, moderation, incidents, finance, or partner work. Use channel-level permission overrides to grant access to the smallest role set. A private channel is still subject to Discord’s platform policies and to any logging, archival, or bot integrations installed on the server.
Keep sensitive discussions out of channels where a bot can read, export, or relay messages unless that data flow is approved. Review role inheritance after every role change, because a new role can combine with an existing channel override to widen access.
Control invitations and account security
- Limit who can create invitations and set short expiration periods or limited use counts for external events.
- Review active invite links regularly and revoke links that were posted in public locations or are no longer needed.
- Require strong, unique passwords and multi-factor authentication for owners and administrators. Store recovery codes securely.
- Remove members promptly when they leave the organization or project. Revoke their roles and any outstanding invitations.
- Review bots and integrations as privileged identities. Remove unused integrations and reduce their permissions to the documented minimum.
Moderation and platform rules
Discord’s current Community Guidelines are effective September 29, 2025, and were last updated August 29, 2025. They prohibit harassment, sharing personally identifiable information without consent, phishing, malware, spam, harmful impersonation, and other abusive or dangerous conduct. Your server rules should explain how members report violations, how moderators preserve evidence, and when content is escalated to Discord.
Privacy does not exempt a private channel from these rules. Publish a concise code of conduct, identify moderators, define response times for urgent reports, and keep an audit trail for role changes and serious moderation actions.

Step-by-step Discord review
- Open the server’s roles list and identify every role with Administrator, Manage Server, Manage Roles, Manage Channels, Ban Members, or Invite-related permissions.
- Remove high-impact permissions from bots and routine moderators unless a documented task requires them.
- For each private channel, inspect role overrides and verify access with a test account representing a member, guest, moderator, and administrator.
- Review invite links, expiration, use limits, and who may create them. Revoke stale links.
- Audit members and remove former staff, dormant external accounts, and duplicate identities.
- Check integrations, webhooks, logging bots, and exports. Confirm what data they can read and where it is stored.
- Publish server rules and reporting instructions, then schedule a recurring review of roles, channels, invites, and moderation logs.
How the three platforms differ
| Decision axis | Trello | Confluence and Notion | Discord |
|---|---|---|---|
| Default visibility to examine | Board visibility: private, Workspace-visible, organization-visible, or public. | Site, space or teamspace, parent page, and page sharing; default teamspaces require particular attention. | Server membership, category and channel visibility, role inheritance, and invite links. |
| Permission granularity | Board roles, member types, commenting, voting, joining, and editing controls. | Global, space, content, group, teamspace, page, and guest permissions. | Server roles plus channel overrides, moderation actions, bots, and integrations. |
| External access | Guests and public boards; public viewers may vote or comment if enabled. | Confluence guests, anonymous spaces, Notion guests, and read-only public pages. | Invite links, guest roles, and channel-specific access. |
| Administrative enforcement | Enterprise restrictions can govern visibility, domains, board creation, invitations, and attachment sources. | Global administrators, space owners, groups, page restrictions, and anonymous-access controls. | Owner and administrator roles, moderation tools, invite controls, logging, and Discord policy enforcement. |
| Main failure mode | A board is made Workspace-visible or public when only a small team should see it, or member/comment settings are overlooked. | Additive group access, broad default teamspaces, or anonymous access exposes content beyond the intended audience. | Overpowered roles, stale invites, permissive channel overrides, or bots receive more access than people realize. |
Auditing, offboarding, and incident response
Run a recurring access review
Assign an owner to each board, space, teamspace, server, and sensitive channel. At a fixed interval, export or record the member list, roles, guest accounts, public links, invitations, integrations, and last review date. Ask the owner to confirm the audience rather than merely approving that nothing changed.
Offboard in the same order every time
- Disable the person’s primary identity or remove them from the organization directory.
- Remove product membership, guest status, roles, and group assignments.
- Revoke active invitations, API tokens, webhooks, and integration credentials associated with the person.
- Transfer ownership of boards, spaces, pages, servers, and automations to a current accountable owner.
- Check shared files, exports, and links created by the person for continuing access.
- Document the date, approver, and systems checked.
When you discover accidental exposure
- Stop further disclosure: switch a Trello board to Private, disable anonymous or public wiki access, remove a Discord invite, or lock the affected channel.
- Preserve evidence such as access logs, link details, screenshots, and timestamps before deleting content.
- Remove secrets and rotate credentials that appeared in cards, pages, messages, attachments, or bot logs.
- Identify the audience that could have viewed or copied the material, including search-engine exposure for anonymous wiki content.
- Notify the responsible security, legal, privacy, or management contact according to your incident plan.
- After containment, correct group membership, role inheritance, invite policy, or publication review procedures so the same path cannot reopen.
Practical decision guide
Choose Trello Private when
The board contains confidential information or only a named project team needs access. Add guests individually when external collaboration is necessary, and use observers for read-only review where available.
Choose Trello Workspace-visible when
Every Workspace member should be able to discover and edit the board. If that is not true, keep the board private instead of relying on members to avoid joining or editing.

Content is internal to a department, project, customer, or leadership group. Keep confidential pages together where possible, then use page restrictions for limited exceptions.
Use anonymous or public wiki access only when
The content has been approved for internet publication, contains no sensitive links or data, and an owner accepts search indexing and copying as consequences.
Use a private Discord channel when
The conversation includes moderation operations, incidents, partner information, or other sensitive material. Pair the channel restriction with role review and bot-access review; a private channel is not a substitute for controlling integrations.
Quick Recap
Final implementation checklist
- Every asset has a named owner and an intended audience.
- Confidential Trello boards are private; Workspace visibility is used only for broad internal collaboration.
- Trello board administrators, guests, observers, comments, votes, invitations, and self-join behavior have been reviewed separately.
- Confluence group overlap, space permissions, page restrictions, guest assignments, and anonymous access have been tested.
- Notion default teamspaces, member and guest lists, permission groups, parent pages, and public links have been checked.
- Discord roles follow least privilege; Administrator is rare; channel overrides, invites, bots, webhooks, and moderation logs are reviewed.
- Strong authentication protects owners and administrators, and offboarding removes access promptly.
- Public, anonymous, or externally invited content has an approval record and a scheduled re-review date.
