OBS Studio is the best starting point for a nonprofit that needs desktop screen recording at no software cost and has someone available to configure it. Choose Camtasia when you want recording and editing in one product, or Zoom when the task is primarily capturing meetings and webinars. These tools serve different jobs; the right choice depends on your workflow, budget, and organization’s eligibility—not a single universal ranking.

What to assess before choosing
Match the tool to the recording job
- For narrated software demonstrations, prioritize reliable screen and audio capture, then decide whether you need editing in the same application.
- For live staff training or a webinar, meeting capture may matter more than standalone screencast editing.
- For volunteer instructions, consider whether another staff member can update the recording when the software interface changes.
Check the full workflow, not just the license
Account for setup time, editing, captions or transcripts, sharing, and who needs access to the files. A free recorder can still require staff time for configuration and post-production; a paid tool may make editing easier, but its plan limits must fit the organization’s actual export needs.
Set privacy and accessibility requirements first
Before recording, check whether the screen or audio could expose personal, health, donor, constituent, or confidential staff information. Follow your organization’s policy and consult the vendor’s current terms; the available product information does not establish a comparative privacy or security audit.
Plan accurate captions or transcripts and verbally describe important on-screen actions so viewers who cannot see every detail can follow the demonstration. Treat these as production requirements rather than assuming a recorder will produce accessible material automatically.

OBS Studio: a strong no-cost desktop option
OBS Project describes OBS Studio as “Free and open source software for video recording and live streaming.” It can capture and mix video and audio sources, including windows, browser windows, images, webcams, and capture cards. Its Help Portal says the GPLv2 application is free for anyone to use for any reason, without watermarks or usage limitations. That makes it a practical first choice when avoiding license fees is important and someone can configure the recording setup.
The OBS download page displayed version 32.2.2 when checked on 2026-10-03. It listed Windows 10 and 11 support, macOS 13.0 or newer, and Linux downloads. Check the current OBS download page for the release and system requirements before installing.

When OBS fits
- You need to record a desktop, application window, or webcam alongside the screen.
- You can spend time setting up and checking capture sources before recording.
- Your workflow can handle editing and sharing separately if those are needed.
Camtasia: recording with editing in one product
TechSmith describes Camtasia as “AI-powered screen recording and video editing.” The product page offers multiple plans with differing features. When checked on 2026-10-03, Starter was listed at $39 per year and Essentials at $179.88 per year, billed annually. These are displayed prices, not a guarantee of current pricing in every market. Check the Camtasia plan page for current costs, watermarks, editor capabilities, and export requirements before purchasing.
TechSmith’s education pricing is not a general nonprofit discount. Its eligibility page limits the offer to qualified education users, including students, faculty, staff, and employees of accredited nonprofit educational institutions, and restricts education licenses to teaching, learning, and administrative computing—not commercial use. Zoom: consider it for meeting and webinar capture
Zoom’s nonprofit support article says qualifying organizations with 501(c)(3) designation and public libraries with 501(c)(3) designation—or internationally recognized equivalents—may receive 50% off select products following Goodstack verification. Eligibility and product availability depend on the organization and offer terms, so confirm the exact plan with Zoom’s nonprofit subscription guidance.
Zoom is most relevant when the recording is a meeting or webinar. If the goal is a reusable, polished software tutorial, compare its recording workflow with a dedicated screen-recording and editing tool. TechSoup says its partnership with Zoom ended in May 2025; organizations now work directly with Zoom Cares and Goodstack. See TechSoup’s notice rather than relying on its former Zoom offer.

- Need a recorder with no license fee? Start with OBS Studio if a staff member or volunteer can configure the sources and the team can manage any editing separately.
- Need capture and editing together? Evaluate Camtasia’s current tiers. Check the watermark, features, export requirements, and who needs a license before budgeting.
- Recording a meeting or webinar? Assess Zoom if it fits your existing workflow, and verify eligibility for the particular nonprofit offer and product before counting on a discount.
- Before publishing any recording, review it for sensitive information and prepare accurate captions or transcripts and spoken descriptions of important visual actions.
