When Contact Form 7 emails do not arrive, isolate the failure before changing settings. A red-border error means the form’s call to WordPress wp_mail() failed. A success message means WordPress accepted the message for processing, not that the recipient’s inbox received it. Check the Mail tab first, then inspect host and receiving-server evidence.

Start by locating the failing stage
Contact Form 7 mail can fail at three different points. Treating every missing message as a form-plugin problem leads to random changes and makes diagnosis harder.

This distinction answers two common reports—“Contact Form 7 says sent” and “WordPress contact form email is not working”—without assuming they have the same cause.
Interpret the status shown by Contact Form 7
A red-border failure
A red border means Contact Form 7 attempted to send through wp_mail() and the attempt failed. The official Contact Form 7 FAQ lists invalid mail setup, a mail server that is down or inaccessible, and other server problems as possible causes. A red border is therefore evidence of a failed handoff, not evidence that the message merely went to spam. After checking the Mail tab and validator, the next step is host support and log review.

A success message or green state
A green success message indicates that the processing path returned success. It does not prove that a mailbox accepted or displayed the message. WordPress Developer Resources states: “A true return value does not automatically mean that the user received the email successfully.” Check spam and quarantine folders and, where available, the receiving mail server’s records before changing the form.
Repair the Contact Form 7 Mail tab
Set a real recipient in To
Enter a complete mailbox in To, such as [email protected]. The value must use valid mailbox syntax and must not be left empty. If several recipients are needed, use the header format accepted by Contact Form 7 and keep each address valid; do not paste labels, comments, or a visitor’s unvalidated text into this field.
Use a same-domain From address
The From value should be a real address on the same domain as the website, for example [email protected]. This address identifies the site as the sender; it is not a decorative label and should not be replaced with the visitor’s address. The Contact Form 7 maintainer Takayuki Miyoshi wrote on January 15, 2016: “The From field is not a label or decoration; it must be a valid email address that is in the correct syntax.”
A display-name form is valid when the mailbox is valid, for example John Smith <[email protected]>. The important parts are the syntactically valid address and a domain that belongs to the site’s mail identity.

Keep additional headers valid
Each additional header must occupy its own line and contain a valid header. Typical examples are:
Reply-To: [your-email]
Cc: [email protected]
Bcc: [email protected]Only use a mail-tag in a header when the submitted value is guaranteed to be a valid, non-empty email address. A malformed Reply-To can make an otherwise correct message fail.

Contact Form 7’s Mail (2) template is sent only after the primary Mail template succeeds. Fix and test the primary message first; changing Mail (2) cannot repair a failure in the first send.
Make address mail-tags resolve to valid values
Mail-tags are replaced with submitted form values. A tag used as an address must resolve to a valid mailbox every time the relevant template runs.

Require an email field when it is an address
This form tag validates that the visitor supplies an email address:
[email* your-email]The corresponding value, [your-email], is appropriate for a Reply-To header when the visitor’s address is required and validated.

Do not use optional or generic fields as mailboxes
An optional email tag such as [email your-email] can be empty. A text field such as [text your-email] can contain words that are not an email address. An optional select field can also submit an empty or non-email value. Putting any of those values into To, From, Cc, Bcc, or Reply-To can create an invalid header.
If the address is genuinely optional, keep it out of address headers unless you add a separate branch that handles the empty case. For the usual contact form, make the email field required and use a fixed, same-domain address in To and From.

Run Contact Form 7’s Configuration Validator
Use the validator on the form’s administration screen after saving the Mail settings. It checks more than the visible recipient field. Reported checks include:
- Empty Mail-tab fields.
- Invalid mailbox syntax.
- A sender address that is not on the website’s domain.
- Invalid Cc, Bcc, Reply-To, or other headers.
- Attachment files that do not exist.
- Attachment paths outside
wp-content. - Attachment sizes that exceed the permitted limit.
- Unsafe email configuration.
Resolve every validator warning, save the form, and run the validator again. An apparently harmless warning can become a hard failure when a mail-tag is empty or an attachment path is rejected.
Attachment-specific checks
If the form uploads a file, verify that the generated attachment file exists at the time of submission, is stored in an allowed location, and remains below the configured size limit. Remove the attachment temporarily and submit a plain-text test. If the message works without the file, the attachment warning identifies the failing part rather than the recipient or sender.
Test WordPress processing separately from inbox delivery
- Choose a mailbox you can inspect and keep the test submission simple: a normal subject, short message, and no attachment.
- Submit the form once and record the exact time, the visible Contact Form 7 state, and the destination address.
- If the form shows a red border, stop checking spam. Recheck the Mail tab and validator, then give the timestamp and error state to the host.
- If the form shows success, check the destination mailbox’s spam and quarantine areas as well as the main inbox.
- If no message appears anywhere, ask the receiving mail administrator or mail-service provider whether the message was accepted, delayed, rejected, or never received.
This controlled test prevents a downstream filtering problem from being mistaken for a Contact Form 7 configuration failure. Repeat it after each material change, but avoid sending large batches while a host is investigating possible rate limits.

Ask the host for server-side evidence
When the Mail tab passes validation but the form still shows a red-border failure, the host must inspect the mail path. Ask support to check the mail and PHP error logs for the recorded submission time and to confirm:
- Whether the host’s mail server was running and reachable.
- Whether PHP or the local mail transport rejected the
wp_mail()request. - Whether sending was rate-limited or temporarily blocked.
- Whether the host rejected the sender, recipient, header, or attachment.
- Whether another server-side error interrupted processing.
Provide the site, approximate UTC time, recipient domain, whether the form displayed a red or green state, and whether a no-attachment test behaved differently. Do not send passwords or full message contents unnecessarily. The host’s logs can reveal a failure that the browser only reports as a generic mail error.

Use host support when the configuration validator is clean and the failure is reproducible, when the host mail service may be down or inaccessible, or when the host reports limits that you cannot change in WordPress. The Contact Form 7 FAQ specifically recommends contacting the host for these server conditions.
When to use another SMTP or mail server
A different SMTP or transactional-mail server is a legitimate escalation when the host’s mail path is unreliable, inaccessible, rate-limited, or unable to provide useful delivery evidence. It changes the route from WordPress to the sending service; it does not guarantee that every recipient will place the message in the inbox.
Requirements before switching
- Keep a valid From address on the website’s domain.
- Use the credentials and connection details required by the chosen mail service.
- Confirm that the service supports the sender identity and the message volume your site needs.
- Retest both the primary Mail template and Mail (2), remembering that Mail (2) depends on primary success.
- Record the service’s delivery or rejection event so a future missing message can be traced beyond WordPress.
Trade-offs
Host-included mail usually has less setup and may be covered by the hosting arrangement, but its logs and controls vary by host. A dedicated sending service generally requires additional configuration and may charge separately; the available evidence does not establish a universal price. In return, it can provide clearer delivery events and a separate mail path. Choose based on the diagnosed failure, not on a promise of guaranteed inbox placement.

Follow this complete troubleshooting workflow
- Record the visible result. Note whether Contact Form 7 displays a red-border failure or a success state.
- Check the recipient. Confirm that To contains a real mailbox and that every address is syntactically valid.
- Check the sender. Replace an invalid or visitor-supplied From value with a valid mailbox on the site’s domain.
- Check headers. Put one valid Cc, Bcc, or Reply-To header per line and remove any header that receives an optional or non-email value.
- Check mail-tags. Make address fields required with tags such as
[email* your-email]when the submitted value is used as an address. - Run the validator. Fix empty fields, syntax errors, off-domain senders, unsafe settings, and all attachment warnings.
- Test without attachments. A plain submission separates attachment failures from mail-transport failures.
- Submit once and classify the result. Red means investigate configuration or the host handoff; green means inspect downstream delivery.
- Check spam and quarantine. Search the exact recipient and submission time, not just the inbox.
- Escalate with timestamps. Give the host or receiving administrator the test time, recipient domain, and visible result so logs can be matched.
- Change the mail path only when justified. If the host cannot deliver reliably or cannot provide evidence, evaluate a separate SMTP or transactional-mail server and retest both Mail templates.
Common mistakes that prolong the diagnosis
- Assuming a green message proves receipt. It proves processing returned success, not inbox delivery.
- Using the visitor’s address as From. The sender field must be a valid mailbox in the correct syntax and should belong to the website’s domain.
- Putting an optional field in Reply-To. An empty or malformed value can invalidate the header.
- Editing Mail (2) first. Mail (2) cannot run until the primary Mail template succeeds.
- Ignoring validator warnings. Attachment paths, size limits, empty fields, and unsafe settings can all block a send.
- Changing several layers at once. Keep one controlled test and one change at a time so the failure stage remains identifiable.
- Requesting a provider switch without logs. Host timestamps and error details show whether a new mail server is necessary or whether a simple configuration correction will solve the problem.
What a successful fix looks like
The form’s Mail tab contains a real recipient, a syntactically valid same-domain sender, and only valid additional headers. Address mail-tags cannot submit empty or non-email values. The Configuration Validator reports no relevant errors, including attachment errors. A test submission produces no red-border failure, the receiving mailbox records the message outside the spam path, and the host or sending service can explain the handoff if a later message is delayed. That evidence-based sequence is more reliable than treating the browser’s success notice as proof of delivery.
