Flipping games becomes manageable when every item has one identity, one recorded cost, one known location and a listing status that matches reality. Keep acquisition cost separate from asking price, price from current comparable sales evidence, and review unsold stock on a repeatable schedule. The same system works with a spreadsheet, eBay Seller Hub or a larger inventory application; the important part is the discipline of linking each physical game to its listing and economics.
What a workable flipping system must track
A useful inventory record answers four questions immediately: What is this item? What did it cost? Where is it? and What is happening with its listing? If one answer is missing, a sale can turn into a search through boxes, a pricing guess or an accidental loss.

Give every game a unique identity
Assign a short seller SKU (stock-keeping unit) or another unique code as soon as you acquire an item. The code should identify one physical unit, not merely a product type. For example, two copies of the same cartridge can have different labels, manuals, regions or wear, so they need separate records. A simple format such as NES-A03-014 can represent platform, storage area and sequence; any consistent format is acceptable.

The practical benefit is the link: the code in your spreadsheet or inventory system must match the code in the listing and the code on the shelf.

Record the economics before you list
At minimum, create these fields for each item:
- SKU
- Game, console or accessory name, model and region where relevant
- Acquisition date and acquisition cost
- Condition and completeness, such as cartridge only, boxed, complete-in-box or console with specified cables
- Listing date and current asking price
- Listing state: unlisted, active, sold, returned or unavailable
- Physical location, such as shelf, tote or bin code
- Known packing, shipping, platform, payment or other selling costs
- Sale date, sale amount and net proceeds when sold
- Next review date
Keep acquisition cost and current asking price in different fields. A markdown should change the price field, not erase what you paid. That separation lets you see whether a lower price is a strategic clearance decision or a sale below your intended floor.
How to keep track of inventory when flipping
Use one intake routine
Process every purchase before it joins your general stock. A repeatable intake sequence prevents the “I will enter it later” pile that causes duplicate listings and missing costs.
- Inspect and identify. Confirm title, platform, region, edition, model number and included parts. For games, note whether the case, manual, inserts, original artwork, cables or controllers are present.
- Assign the SKU. Write it on the item’s storage sleeve or tag and enter it in the inventory record.
- Record the cost. Enter the amount paid for that unit, not a later estimate. If a lot was purchased, allocate the lot cost using a method you apply consistently and document.
- Grade condition. Describe observable wear, label damage, disc scratches, battery-cover corrosion, drift, missing screws or testing limitations. Use the same condition vocabulary in the listing.
- Photograph and measure when useful. Capture serial labels and defects that distinguish one copy from another. Record packed dimensions or weight if they affect shipping decisions.
- Assign a location. Move the item to its shelf, tote or bin immediately and enter that code. Do not use “somewhere in the garage” as a location.
- Choose a state. Mark it unlisted until the listing is live, then change it to active. A sale, return or removal must trigger another state change.
Make storage codes searchable
Use location codes that a second person could understand. For example, R2-B04 might mean rack 2, bin 4. Keep like items together only if that improves retrieval; separating high-value consoles from loose cartridges can reduce handling damage. If you move a tote, update every affected record at the time of the move.

When an item sells, mark it sold and remove it from available stock before listing another copy. For a return, mark it returned or inspection pending until you verify its condition; do not automatically make it available again. If an item is donated, damaged, lost or reserved for a bundle, mark it unavailable and retain the reason. eBay Seller Hub brings listings and orders together, while eBay’s inventory records include quantity and fulfillment data, but the exact features available can vary by account and context.
A simple workflow from purchase to payout
- Buy: save the receipt, lot details or seller message with the acquisition date and cost.
- Intake: inspect, assign a SKU, document condition and store the item.
- Prepare: clean only with methods appropriate to the material, test when you can, and record what was tested.
- List: use the SKU, accurate condition, complete-in-box details, photos and a location code.
- Monitor: record listing age, views or other available performance indicators and set a review date.
- Sell: confirm the sold SKU before pulling stock, then update quantity and status.
- Fulfill: check the item against the listing, pack it, record the shipment and retain tracking information where applicable.
- Close: enter the sale amount, selling costs, shipping or packing expense and net result.

How to price items for resale
Start with genuinely comparable evidence
Use current market evidence as an input, not an instruction to copy a number. Compare items that match the factors buyers actually pay for:
- Exact game, console model, revision and region
- Condition and completeness
- Authenticity and visible defects
- Included accessories, cables, manuals and original packaging
- Shipping terms and whether shipping is included in the displayed price
- Marketplace, category and timing
eBay’s Growth tab describes competitor-price comparisons and trending prices. Those features can help you see the market context, but a platform suggestion is not a guarantee that the item will sell or that the result will be profitable. A damaged box, missing power supply or untested cartridge can make an apparently similar listing a poor comparison.

Calculate your own minimum acceptable price
After collecting comparable prices, calculate the floor that makes the transaction worthwhile for you:
minimum acceptable price = acquisition cost + selling costs + shipping and packing expense + other known costs + target return for your time and risk
The components vary by marketplace, payment method, shipping arrangement, category and transaction. The official material does not establish a universal profit formula or margin percentage, so treat this as a decision framework rather than a guaranteed calculation. If the market evidence is below your floor, choose among waiting, improving the listing, bundling, changing venue or accepting a deliberate loss to recover cash and space.

Keep price decisions reversible
Record the date, old price, new price and reason for every material change. Reasons might include stronger competition, a corrected condition description, a seasonal demand change or a clearance decision. Retaining the history prevents you from mistaking a temporary promotion for the item’s normal economics.
How to know when to lower the price
There is no universal number of days after which every item should be marked down. Instead, set a review date when you list and use a decision branch at that review:
- Views or interest, no sale: check total delivered price, shipping terms, photos, title accuracy and condition wording before cutting the price.
- Little or no interest: compare the listing again with current competition. Correct search terms, add missing photographs or improve completeness information.
- Comparable prices have fallen: recalculate your floor and decide whether to match, wait, bundle or clear.
- Demand is seasonal: keep the review date and avoid treating a quiet period as proof that the item has no market.
- Several related items are slow: consider a bundle that is honest about condition and avoids splitting low-value pieces into uneconomic shipments.
eBay’s Growth material includes listing-analysis features and restock guidance based on sales rate and remaining stock. Use those recommendations as signals, then compare them with your own sales, costs, cash needs and storage limits.
Using eBay tools without surrendering your judgment
Seller Hub for day-to-day control
eBay describes Seller Hub as a central place for listings, orders, payments, reports, business performance and research, and says it is free to use. Its Seller Center overview also covers listing creation, order management, performance metrics and invoices. Features and access can differ by account and context, so verify what appears in your own account rather than assuming every seller sees every report.
Growth tab for market signals
The Growth tab documentation describes competitor-price comparisons, trending prices, sourcing guidance with seasonal activity and price trends, and restock suggestions tied to sales rate and remaining stock. These are platform guidance features, not independently validated forecasts. Keep your own record of the comparable listings you reviewed and the decision you made.

Inventory records and bulk workflows
For a larger catalog, eBay’s developer documentation describes inventory item records containing seller SKUs, prices, available quantities, location data and fulfillment data. Its bulk-listing help describes CSV or tab-delimited inventory workflows and reports. Bulk tools can reduce repetitive entry, but they increase the cost of a wrong import: validate SKU, quantity, price and location columns on a small batch before changing a large catalog.
Choosing a workflow as volume grows
Compare a spreadsheet, native marketplace tools or a dedicated inventory system using the same questions:
- What is the total cost, including subscriptions and setup time?
- How many minutes does intake, listing and sale reconciliation take per item?
- Can purchase cost, SKU, listing and physical location stay linked?
- Can you manage more than one marketplace without creating duplicate stock?
- Can you export or back up your records?
- What pricing evidence, listing-age and sales information is available?
- Can the workflow handle your current catalog and a realistic increase in volume?
A spreadsheet is often sufficient for a small, single-market catalog if you back it up and enforce required fields. Native Seller Hub tools become more useful when listings, orders and performance reports are the daily center of your operation. A dedicated system may justify its cost when multiple marketplaces, bulk updates or large stock counts make manual reconciliation error-prone. The available evidence supports eBay’s native and CSV/report workflows but does not establish comparative performance for third-party systems.

Common failure modes and recovery steps
“I cannot find the sold item.”
Search the order by SKU, then go to the recorded location. If the location is wrong, trace the item’s last transfer and correct the record immediately. Afterward, require a location update whenever stock moves.
“I listed the same copy twice.”
Search your inventory by SKU and title before creating a listing. Mark duplicates as unavailable until you verify the physical count, then correct quantity and listing state.
“The sale price looks good, but I lost money.”
Review the original acquisition cost, all selling and payment costs, shipping, packing materials, refunds and time-consuming repairs. Separate the accounting error from the pricing decision, then adjust your floor or sourcing criteria.
“The item is getting no traction.”
Check exact comparables, condition language, photos, shipping terms and listing accuracy. Improve the listing before assuming a markdown is the only answer. If the market no longer supports your floor, choose a documented bundle, alternate venue, wait strategy or clearance sale.
“A returned item is not in its original condition.”
Keep it in a returned or inspection-pending state, document the condition with photographs, and only restore available quantity after you decide whether it can be relisted accurately.
