Use this free run-of-show template to coordinate a webinar’s timing, presenters, cues, technical actions, and backups. It is a production document for the team—not the shorter agenda attendees see. Copy the table, set the event’s actual start and hard-stop times, and customize each row for your session.

What is a webinar run of show?

A webinar run of show is the delivery team’s working schedule. It spells out what happens, when it happens, who owns it, and what cues or technical actions are needed. The attendee-facing agenda can stay brief; the run of show adds the backstage detail required to deliver that agenda.

There is no universal schedule that fits every webinar. A product demo, panel, training session, and interview may need different segments, owners, transitions, and contingency plans.

What each column is for

  • Time and duration: use the event’s time zone and the actual planned start and end for each segment. Together, segment durations should fit between the announced start and hard stop.
  • Segment: name the activity clearly enough that a substitute can follow the sequence.
  • Owner: assign one accountable lead for each segment or action. Name the backup where a missed handoff would disrupt the session.
  • Cue or action: write the trigger, transition, or instruction—such as “producer signals presenter to advance” or “moderator opens Q&A.”
  • Technical needs and fallback: list the slide deck, screen share, platform control, or other asset needed. Record a workable alternative for high-impact failures.

If the team uses a separate backstage channel, note where it is and who monitors it. Keep the production copy accessible to the people who need to act on it.

How to fill in the run of show

  1. Fix the event window. Write the date, start time, time zone, and hard stop at the top of the document. Make sure the team is working from the same time zone.
  2. Start from the attendee agenda. Add the agenda’s segments in order, then include operational blocks the audience may not see, such as opening the room or preparing a screen share.
  3. Set realistic durations. Allocate time according to the material, audience, and format. Reserve enough time for transitions and the planned ending; do not assume every event needs the same presentation or Q&A allocation.
  4. Assign owners and handoffs. Give every segment and technical action an owner. Specify who takes over if a presenter or moderator cannot continue, and how the next person knows to step in.
  5. Write cues that can be acted on. Replace vague notes such as “move on” with a clear trigger and action. Include any time warning, slide or screen-share change, or moderation instruction.
  6. Record contingencies. For a demo, decide what happens if the application, access, or screen share fails. A recording or prepared screenshots can be a fallback when suitable. Identify the person who triggers it.
  7. Review the whole sequence together. Check that the run of show agrees with the public agenda, the event time zone, the platform setup, and the hard stop. Agree in advance how the moderator will handle overruns.

This is one sample allocation, not a universal format or recommended duration. Change it to fit the content, audience, transitions, and hard stop.

The sample totals 60 minutes. Treat its segment lengths as an editable example; preserve neither a fixed Q&A block nor a demo simply because the sample includes them.

Pre-webinar checks and rehearsal

  • Confirm the date, start time, time zone, and hard stop with the team.
  • Review the sequence, segment lengths, speaker order, cues, and any planned handoffs.
  • Agree how the moderator will signal and manage an overrun, including what can be shortened without losing an essential part of the session.
  • Check platform access and the audio, video, slides, screen sharing, and other technical setup required by the actual event.
  • Rehearse transitions and the fallback for any demo or technical step that could interrupt the session.
  • Confirm who handles live delivery, platform controls, questions, and follow-up. Set a success criterion appropriate to the event rather than adding production complexity the session does not need.

A run-through is most useful when it lets the people involved verify their access, responsibilities, and handoffs—not just read the schedule silently.
