There is no universal gaming-convention rulebook. Before buying a badge, check the specific event’s age cutoff and supervision requirement, accessibility-request deadline and services, tournament registration and fee rules, and refund deadline. Policies can differ sharply between conventions and may change with each edition.
What to verify before buying a gaming-convention badge
Convention websites often separate general admission, tournament registration, accessibility information, and refund terms across different pages. Treat each as a separate decision rather than assuming that a badge covers every activity or that one event’s policy applies to another.

- Age and supervision: Find the minimum age, whether children are free, and whether a parent, guardian, or other responsible adult must remain with a minor.
- Accessibility: Look for a contact method and a request deadline. A venue may be physically accessible while still requiring advance notice for specific services.
- Tournaments: Confirm whether a convention badge is required, whether tournament registration is separate, whether preregistration is mandatory, and whether every player pays an entry fee.
- Refunds: Record the exact cutoff, administrative fee, and any exception if the organizer cancels the event.
- Entry logistics: Check what identification, bags, food, drinks, equipment, and containers are allowed at the venue.
Save a copy or screenshot of the policy that applied when you purchased. If an event changes its terms, the confirmation email and the edition-specific policy can help clarify which deadline governs your registration.
Age rules: are gaming conventions kid-friendly?
Some conventions are designed to welcome families, while others restrict attendance by age or require an adult for every minor. “Kid-friendly” therefore describes an individual event, not the convention category as a whole.

| Convention | Published age rule | Adult requirement | Important qualification |
|---|---|---|---|
| GameACon | Children six and under attend free with a paid adult. | All minors need a responsible adult. | Players under 12 need supervision for tournaments. |
| Origins | Children 12 and under attend free. | A guardian must accompany the child. | The free-admission rule does not remove the guardian requirement. |
| LVL UP EXPO | Minors 17 and under may attend. | A parent or guardian is required for anyone 17 or under. | Check the edition’s registration instructions for how the adult is linked to the minor’s badge. |
| GDC | No one under 18 may register. | Adult supervision does not create an exception. | The stated reason is a safety concern in the registration policy. |
| BrickCon | Public attendance is open to all ages; its private convention is 14+ with a parent or guardian, and 18+ for adult fans. | Parent or guardian required for private-convention attendees aged 14–17. | Public and private portions have different rules. |
These are policy thresholds for the named conventions’ stated editions, not industry standards. A child who can enter a public show may still be excluded from a private area, an evening event, or a tournament with its own age limit. Ask the organizer about the exact program your family plans to attend.
Planning for a child’s first convention
Choose sessions and exhibit areas that match the child’s age, stamina, and tolerance for crowds. Agree on a meeting point before entering busy halls, write a guardian’s phone number where the child can access it, and establish who may authorize a schedule change. If the event uses separate wristbands or badges for minors, keep the adult and child credentials together during entry and re-entry.
Do not infer that “free admission” means “no registration.” Origins’ free admission for children 12 and under still requires a guardian, and GameACon’s free admission for children six and under is tied to a paid adult. Register every attendee in the manner the event specifies.

Accessibility and disability accommodations
Accessibility usually works best when requested before purchase. An accessible building does not automatically guarantee captioning, a wheelchair loan, seating, quiet space, or assistance at every activity. Contact the convention directly, describe the accommodation needed, and ask for confirmation of the deadline and delivery method.
Published examples
- GameACon: Attendees with special needs are asked to contact the event at least two weeks before the convention so staff can arrange the best accommodation.
- GDC 2026: Reasonable-accommodation requests were due by email by February 16, 2026. The 2026 Vault sessions include closed captioning. Because that date belongs to the 2026 edition, use the next edition’s stated deadline rather than relying on it for a future event.
- Origins: The venue information describes ADA-compliant ramps, automatic doors, elevators, parking, and restrooms. Origins also lists a limited manual-wheelchair service.
“ADA-compliant” describes the listed venue features; it does not tell you whether a particular panel room, queue, stage, or tournament table meets your needs. Ask about route access, companion seating, service-animal procedures, captioning, sign-language interpretation, sensory considerations, and how to collect any loaned equipment.
When to contact the organizer
- Read the convention’s accessibility page before paying for a badge.
- Send the request within the published lead time; GameACon’s stated lead time is two weeks, while GDC’s 2026 date was February 16.
- Describe the functional accommodation, dates, and sessions involved. Include whether a companion will attend.
- Keep the confirmation and bring it to registration, since front-line staff may need to locate the request.
- If the published deadline has passed, contact the organizer anyway. Do not assume a late request is impossible, but do not assume it can be fulfilled.
Tournaments: badge, preregistration, and fees
Tournament entry is often a second transaction rather than an automatic benefit of convention admission. Read the tournament rules separately from the badge page.

GameACon
GameACon restricts its Tournament and Art Area to paid ticket holders. Each player pays the tournament entry fee, regardless of age, and players under 12 must have adult supervision. A child therefore needs both the required convention admission and the tournament fee, plus the supervising adult required by the policy.
LVL UP EXPO
LVL UP EXPO states that tournament registration varies. Some tournaments require preregistration, while others may use a different process. Check the listing for the specific game, because the convention-wide statement does not establish one universal registration method, price, or capacity.
Questions to answer before entering
- Is a convention badge required for the player, the spectator, or both?
- Is the tournament fee separate from admission, and is it charged per player?
- Does registration open before the event, and can a player register on site if spaces remain?
- What happens if a bracket fills, a player misses check-in, or a minor needs a supervising adult?
- Are controllers, cards, miniatures, or other equipment supplied, or must players bring approved equipment?
Do not pay for a tournament until you know whether the fee is refundable and whether a missed check-in forfeits the place. Those terms may be on the individual event listing rather than the general FAQ.

Refunds and cancellations
Refund protection is convention-specific. Some organizers make every ticket sale final; others set a short window, deduct an administrative fee, or provide a special remedy when the organizer cancels.
| Convention | Refund or cancellation rule | Fees and exceptions |
|---|---|---|
| GameACon | All ticket sales are final; no refunds or cancellations. | No exception is stated in the cited policy. |
| LVL UP EXPO | Badge refunds are allowed up to seven days before the event. | The policy summary does not state an additional fee. |
| BrickCon | Refund requests are honored until two weeks before the first day. | The policy summary does not state an administrative fee. |
| GDC (2026 policy) | Cancellations were accepted through February 13, 2026. | A $300 cancellation fee applied. If organizers officially cancel, a full refund is available minus card fees. |
| Gen Con | Badge and event-ticket deadlines are published separately. | The stated administrative charges are 5% for event tickets and $10 for badges; exact deadline dates depend on the edition. |
Deadlines are normally measured against the event’s start date, not the date you submit a request. Check the time zone, submission method, and whether the policy covers only badges or also individual events, hotel reservations, and merchandise. A credit, transfer, or name change may be governed by a different rule from a cash refund.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minuteHow to protect a refund claim
- Write down the event’s first day and subtract the stated seven-day or two-week period.
- Submit the request through the channel named in the policy, such as a registration account or designated email.
- Save the confirmation number, timestamp, and any response.
- Check whether the organizer deducts card or administrative fees.
- If the event is canceled by the organizer, follow the separate cancellation instructions rather than the ordinary attendee deadline.
What to bring to a gaming convention
Pack for identification, long periods on your feet, changing room temperatures, and limited access to shops or food lines. Venue rules always control, so verify prohibited items before departure.

- Badge and identification: Keep the registration confirmation available on your phone and carry the identification required by the event.
- Phone and charging method: A power bank can help when schedules, maps, or tournament check-ins are digital; confirm whether the venue restricts battery packs.
- Comfort and health items: Bring prescribed medication, hearing protection, comfortable shoes, and any mobility or communication aid you use.
- Reusable water bottle: LVL UP EXPO says reusable bottles are allowed when empty before entry and provides refill stations. Empty the bottle before security screening and refill inside.
- Tournament supplies: Bring only equipment the specific tournament permits. A badge does not establish that personal controllers, decks, dice, or miniatures are allowed.
- Accessibility documentation: Keep accommodation confirmation and the organizer’s contact information accessible in case registration staff need to verify it.
For children, add a written emergency contact, a meeting-point card, and a plan for breaks. Crowded halls can make a short rest more useful than trying to follow every scheduled activity.
A practical decision checklist
Use this sequence before committing money:
- Classify the event: Is it public, private, professional-only, or split into areas with different age rules?
- Match every attendee to the age policy: Record the child’s age on the event dates, the required adult, and whether free admission still requires registration.
- Request accommodations: Contact the organizer before purchase when a lead time is published, and obtain written confirmation.
- Map tournament costs: Add badge admission, per-player entry fees, and any preregistration requirement. Confirm the minor-supervision rule.
- Calculate the refund date: Put the deadline on your calendar with the applicable administrative fee.
- Recheck close to the event: Policies, schedules, room assignments, and capacity can change by edition. Use the convention’s current official pages for the final instructions.
The safest assumption is that admission, activities, accessibility services, and refunds are governed by separate policies. Verify each one for the exact convention and edition before you buy.
