An accessible gaming event is planned as a complete attendee journey, not as a ramp added at the entrance. Verify registration, transport, every route through the venue, competition stations, communication, sensory conditions, staffing and evacuation before tickets go on sale; then collect feedback and assign fixes after the event. This checklist gives tournament and gaming-event organizers a practical sequence for doing that.
Use five tests for every event decision
Evaluate each part of the event against five questions:
As an Amazon Associate I earn from qualifying purchases.
- Physical access: Can people reach, enter and use the space, equipment and services?
- Communication access: Can attendees receive instructions, captions, interpretation and referee decisions?
- Sensory and cognitive access: Can people understand what will happen and manage sound, light, crowds and unexpected effects?
- Operational readiness: Do trained staff, transport providers and emergency teams know what to do?
- Evidence and follow-through: Have you tested the plan, documented requests and assigned owners to correct failures?
Microsoft’s PAGE (Playable Accessible Gaming Experiences) guidance is a useful planning baseline. Version 1.02 was published on October 26, 2023 and the page was last updated March 3, 2026. It does not replace local building, fire, employment or disability-access laws. As the guidance puts it, “When people with disabilities are unable to enter or navigate your venue, they are unable to experience anything else.”
1. Build accessibility into registration and pre-event information
Test the digital journey
Run the registration website, ticket form, confirmation email and attendee app with keyboard navigation, screen readers, magnification, high-contrast settings and captions where video is used. Check that labels, error messages, date pickers, payment fields and downloadable schedules are usable without a mouse. Test kiosks at the venue as well as the public website.

Ask for accommodations without demanding diagnoses
Explain which support you already provide and how to request something else. Ask only for information needed to deliver the support, not a person’s medical history or disability diagnosis. Useful fields include:
- Mobility or route requirements, including wheelchair or scooter space.
- Alternative-format materials, such as large print, tagged digital documents or easy-read instructions.
- Sign-language interpretation, live captions or other communication support.
- Service-animal information.
- Dietary requirements and allergy information.
- Sensory triggers, such as flashing lights, smoke effects, sudden loud audio or crowded queues.
- Equipment accommodations, including an alternative controller or remapped controls when competition rules permit.
Give a clear request deadline, a contact method that does not rely on a phone call, and a confirmation that the request was received. Review requests with the people responsible for registration, venue operations and competition administration; never leave them in an unattended inbox.
Publish usable information early
Send the schedule, maps, transport details, venue rules, check-in process and competition procedures in plain language. Offer easy-read or other accessible formats where needed. Describe step-free routes, accessible toilets, quiet-room locations, seating, food service and help points. State whether flash photography, bright lights, smoke, pyrotechnics or very loud audio will be used, and identify an opt-out route or lower-stimulation viewing area.

The International Paralympic Committee’s fourth-edition accessibility guide (October 2020) specifically includes mobility and alternative-format requests during registration. The Royal Institute of British Architects recommends accessible invitations, plain-English or easy-read materials, advance schedules and advance notice of flash photography.
2. Verify the venue by walking the whole attendee route
Audit, do not trust a label
Ask for a documented access audit, then conduct your own walk-through with disabled users or an access professional. A new building is not automatically accessible, and a venue’s marketing description may omit temporary barriers. Inspect the route from public transport and accessible parking or drop-off through the entrance, registration, toilets, competition floor, spectator seating, concessions, stages, media areas and every exit.

Measure routes and temporary infrastructure
Confirm that each public route is step-free or has a usable ramp or lift. Check door widths, turning space, thresholds, temporary flooring, booth platforms, cable covers and queue barriers. PAGE uses a ramp slope of no more than 8.3% and a minimum width of 48 inches as planning measurements. Apply local legal requirements when they are stricter. Test lifts before doors open and every morning; record who performed the test and what happens if a lift fails.
Keep queues wide enough for large power chairs. Remove trip hazards and hanging obstacles. Use hard flooring or low-pile carpet where possible, and secure cable ramps so they do not create a sharp edge. Attractions, demos and side activities should be reachable without steps greater than one-half inch; provide a ramp or lift where a larger level change exists.

Make seating, toilets and signage work in practice
- Provide wheelchair spaces with an unobstructed view, adjacent companion seats and a path that does not require crossing a stage or cable run.
- Place caption screens and interpreters where they can be seen from accessible seating, not behind speakers or lighting rigs.
- Provide accessible toilets with usable approaches, sinks and clear signage; keep them available rather than using them as storage.
- Use high-contrast, readable signs at decision points. Add tactile or Braille elements where appropriate to the audience and building.
- Keep water stations, merchandise counters and food queues reachable, with enough knee and turning clearance.
- Reserve a clearly marked quiet room away from loud audio and visual effects. Publish its rules, capacity and opening hours.
Plan evacuation before selling tickets
Write an evacuation plan that covers people with mobility, sensory and communication needs. Identify refuge areas where applicable, evacuation chairs or other equipment, staff assignments, accessible alarm information and a backup route if a lift is unavailable. Include first aid and mental-health support in the run sheet. Brief security, venue staff, referees and volunteers on how to give directions without separating a person from their equipment or companion.
3. Make competition formats and stations adaptable
Map the complete play path
Review more than the gaming chair. Trace the queue, check-in, equipment inspection, seating, controller or keyboard reach, screen position, audio output, spectator sightline, break process, referee communication, dispute procedure and exit. A player who can reach a station but cannot communicate a pause request or see the scoreboard still lacks equivalent access.
Offer equipment and layout options
- Use adjustable tables and seating, with clear floor space for mobility devices.
- Permit alternative controllers, switches, key remaps or other assistive equipment when the game and tournament rules allow them.
- Publish an accommodation process: what to request, the submission deadline, who reviews it, when a decision is issued and how an appeal works.
- Define an equipment-check procedure that protects competition integrity without forcing a player to surrender personal equipment unnecessarily.
- Allow scheduled breaks or modified timing where approved, and explain how equivalent access is preserved without giving an unfair competitive advantage.
- Provide a reliable way to contact referees, such as a visible help desk, text-based channel or captioned announcement, rather than relying only on shouted instructions.
Write rules that anticipate access needs
Include accessibility language in the rulebook and player briefing, not as an improvised exception on match day. State which game settings can be changed, how assistive devices are verified, what happens if venue equipment fails, and how a match is paused or replayed when an access barrier affects play. Keep a confidential accommodation record accessible only to the staff who need it.

- Wide Range of Applications: portable door threshold ramps can be used at front doors of home or garage steps and various cars to solve problems that may happen to wheelchairs, unloading trolleys, baby carriages, pet dogs, scooters and elderly people walking.
Control activations and spectator attractions
Microsoft’s attractions guidance calls for consideration of vision, hearing, speech, neurodiversity and fine-motor disabilities. Apply the same review to demo pods, photo areas, driving rigs and sponsor activations: remove narrow approaches, secure flooring, provide reachable controls, avoid excessive audio and give advance notice of sensory effects. PAGE’s structure includes game-demo and activation guidance alongside registration and venue planning.
4. Provide communication, sensory and cognitive access
Make spoken content visible
Use live captions for stage presentations, announcements and broadcasts where feasible. Check hearing-assistance systems before doors open and again after any room or radio-frequency change. Use microphones even in rooms that seem small, readable slides, high contrast and plain language. Provide key instructions in more than one format: spoken, written, displayed and, when arranged, interpreted.
Make the sensory environment predictable
Publish lighting, flash, smoke and sound warnings before the event and at the entrance to affected areas. Control glare and deep shadows, keep volume within a planned range and schedule lower-stimulation periods when practical. Mark the quiet room on maps and signs; explain that it is for decompression, not a second viewing area, and set expectations about conversation, food and device noise.
Create a visible access help point
Identify a staffed location where attendees can report a blocked route, failed captioning, equipment problem or sensory concern. Give staff a simple escalation path: fix the immediate barrier, notify the responsible lead, document what happened and tell the attendee what will happen next. Do not require a person to retell sensitive information to several different volunteers.
5. Prepare staff, transport, catering and safety operations
Train every public-facing team
Train front-of-house staff, referees, security, volunteers, broadcast crews and contractors in disability etiquette and event-specific procedures. Training should cover respectful language, offering help without assuming, giving precise directions, communicating through interpreters, handling accommodation requests, and responding when a lift, caption feed, controller or route fails. Include a short scenario exercise before doors open.

Verify transport and arrival
Check accessible transport between airports, hotels, parking areas and the venue. Confirm vehicle capacity, boarding equipment, pickup points, operating hours and a contact for delays. Ensure the accessible drop-off is not blocked by queues or merchandise trucks. Share the route and contingency plan with attendees in advance.
Keep food and services navigable
Inspect catering aisles, counters and seating for turning space. Make dietary and allergen information clear in written form, and ensure staff can explain ingredients without sending an attendee to an inaccessible queue. Keep water and rest areas on an accessible route.
Integrate access into the safety plan
List accessible evacuation, first aid, medication or rest needs, communication methods and mental-health support in the event run sheet. Assign named owners and radio or text channels. A plan that exists only in a venue binder is not operationally ready.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.6. Collect evidence and improve the next event
Use an accessible post-event survey
Send a survey that works with keyboard navigation and screen readers. Ask separately about registration, transport, venue routes, toilets and seating, competition stations, sensory conditions, captions or interpretation, and staff response. Offer an open text field and a non-digital way to respond.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsCombine planned and unsolicited feedback
Record social-media comments, direct messages, complaints, compliments and staff observations alongside survey results. Note the location, time, barrier, immediate response and whether the fix worked. Protect personal information and restrict accommodation details to the people who need them.

- ⚠NOTES :Please pay careful attention to the height and length of ramp chart and if in doubt go to the next longer ramp length (do not try to go shorter). Due to the vertical side walls at the edge of the wheelchair ladder, an inappropriate distance or tilt angle may affect the opening and closing of the door if you use it on the threshold. If using it next to a sliding door, ensure sufficient space is available next to the threshold for the ramp extension plate; otherwise, the extension plate will obstruct the sliding door track, rendering the sliding door unusable.

Turn findings into owned actions
After the event, hold a documented review. Assign each corrective action an owner and due date, distinguish venue fixes from event-process fixes, and share the learnings with the wider organization and future production teams. Keep evidence such as route photos, lift checks, caption tests, equipment approvals and training attendance so the next organizer starts with verified knowledge rather than assumptions.

Common failure modes and fixes
- “The venue is accessible” is treated as proof. Walk the route yourself, including temporary build elements, and document measurements and lift tests.
- Accommodation requests arrive too late. Publish the request channel and deadline at registration, acknowledge every request and keep a day-of escalation contact.
- An accessible seat has a poor view. Check sightlines from the actual chair or wheelchair space, including captions, interpreters and scoreboards.
- Accessible equipment is available but not competition-legal. Put approval criteria and review deadlines in the rules before sign-ups close.
- Sensory information is disclosed only after a complaint. List flash, smoke, lighting and audio effects in advance and provide an opt-out route.
- Staff improvise during an emergency. Assign roles, rehearse communication and evacuation procedures, and include failures of lifts, caption feeds and power.
- Feedback is collected but nothing changes. Record owners and due dates, then share the review with the next event team.
Following PAGE or any checklist does not guarantee compliance with accessibility laws or regulations. Use this process alongside the requirements that apply where your event is held, and involve disabled players and access professionals in decisions that affect them.
Frequently Asked Questions
How do I collect accommodation requests during tournament registration?
Add a concise, optional request section that lists available support, asks only for delivery details such as mobility, format, captioning, service-animal, dietary or sensory needs, provides a non-phone contact and deadline, and confirms that a named team has reviewed the request.
Quick wins for a faster PC:
Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →What accessibility equipment does a gaming event need?
The exact kit depends on the venue and players. Plan for adjustable tables and seating, clear floor space, ramps or lifts for level changes, caption and hearing-assistance systems, readable signage, and any approved alternative controllers or remapping tools. Verify compatibility, load ratings and tournament rules before purchasing or renting equipment.
Can disabled players compete in a tournament?
Yes, when the format provides equivalent access. Publish an accommodation process, allow permitted assistive equipment and settings, plan breaks and communication methods, and define how referees handle equipment failures, pauses and disputes without disadvantaging the player.
