Nextcloud itself can cost nothing to license when you host it yourself. The real budget is the server or virtual machine, storage, backups, network access, electricity and the time required to administer it. Organizations that want vendor support and enterprise features can instead buy a Nextcloud subscription. In 2026, published enterprise pricing starts at €71.29 per user per year for Standard, €104.99 for Premium and €204.75 for Ultimate at the 100-user tier, excluding VAT.
Need a server to try this on? Antihost offers Linux VPS plans with NVMe storage, full root access and a 14-day free trial.
What you actually pay for with self-hosted Nextcloud
A self-hosted installation uses the open-source Nextcloud server software without a mandatory per-user license. You install it on a computer you own, a network-attached storage device, or a rented virtual machine. That removes a subscription line, but it does not make the service cost-free.
As an Amazon Associate I earn from qualifying purchases.
Your total cost is the sum of several different budgets:
- Compute: a physical server, mini PC, NAS, or virtual machine.
- Primary storage: disks large enough for current data, file versions, photos, database growth and future users.
- Backup storage: at least one separate target, with an off-site copy for serious data.
- Connectivity: internet service, router configuration, DNS or a domain, and encrypted remote access.
- Power and cooling: the electricity used by an always-on device.
- Administration: updates, monitoring, security work, troubleshooting and eventual hardware replacement.
For a personal account, hardware you already own can make the cash outlay very small. For a family or small team starting from scratch, storage and backup usually matter more than the application license. For a business, labor, recovery capability and support can outweigh the server purchase.

Nextcloud enterprise subscription prices in 2026
Nextcloud offers paid enterprise subscriptions for organizations that need commercial support and enterprise capabilities. These plans are not required to run a community installation. Published prices below are net of VAT and apply at the 100-user tier; enterprise subscriptions are available from 100 users and up.
| Tier | Price per user/year at 100 users | Cost for 100 users/year | What the figure means |
|---|---|---|---|
| Enterprise Standard | €71.29 | €7,129 | Published 2026 price, excluding VAT |
| Enterprise Premium | €104.99 | €10,499 | Published 2026 price, excluding VAT |
| Enterprise Ultimate | €204.75 | €20,475 | Published 2026 price, excluding VAT |
The 100-user totals are simple multiplication of the published per-user rates. Your quote can differ by user count, region, taxes, term and negotiated services, so treat these as list-price reference points rather than a universal invoice.
Hardware: from existing equipment to a dedicated mini PC
Using equipment you already own
An unused 64-bit desktop, small server or NAS can be the cheapest starting point. The purchase price is zero if the device is already available, but check its disk health, idle power draw, fan noise, network interface and ability to receive security updates. A single old disk is not a backup strategy; a failed disk can make the installation and its data unavailable at the same time.
Buying a mini PC
A compact computer is often easier to run continuously than a full desktop. As a dated 2026 market example, a TechRadar review of the Beelink ME Pro reported approximately $369 for an N95 configuration with 12GB of RAM and a 120GB SSD, and approximately $529 for an N150 configuration with 16GB of RAM and a 1TB SSD. Those are review-era street prices, not guaranteed quotes. Configuration, seller, warranty and availability can change, and the internal SSD may not provide enough capacity for a large photo or file library.
The same review notes that the system can run NAS operating systems such as TrueNAS. A mini PC can therefore be a compute host while larger, separately managed disks provide the data pool. Budget for those disks and for a backup device; the advertised computer price is not the complete Nextcloud system.

Renting a virtual machine
A virtual machine converts the server purchase into a recurring hosting bill. It can be attractive when you do not want hardware at home or need a data center connection, but you still have to size storage, arrange backups and administer the operating system unless the provider includes those tasks. Compare included disk capacity, backup retention, bandwidth limits, geographic location, support response and migration terms before choosing a plan.

Storage and backup costs
Size the primary data volume
Start with the data you have now, then add room for growth. Count documents, photos, videos, shared folders, database files and Nextcloud file versions. Versioning and deleted-file retention can consume substantially more space than the visible current files. Leave free capacity for filesystem operation and future users instead of filling a disk to its advertised limit.
External or removable storage is supported, but it is a design choice rather than a promise of redundancy. Decide whether you need one disk, mirrored disks, a separate NAS or another arrangement based on how much downtime and data loss you can accept.
Budget a separate backup target
Nextcloud’s operations guidance states: “Backup and restore concepts should be part of every good Nextcloud deployment.” A backup on the same disk, or even in the same box, will not protect you from disk failure, theft, fire, ransomware or an administrator mistake. Plan at least one separate backup target and consider keeping an additional copy off-site.
Your backup bill depends on retention, total capacity, transfer bandwidth and whether the destination is another local disk, a second location or a storage service. There is no single 2026 amount that applies to every country and architecture. Price the backup capacity separately from the primary storage, and include the cost of replacing backup disks as they age.

Electricity: calculate it from measured watts
An always-on server has a recurring energy cost. Measure its typical draw at the wall if possible; a processor’s advertised power rating is not the same as whole-system consumption. Use this formula:
annual electricity cost = average watts × 8,760 hours ÷ 1,000 × local price per kWh
For an illustration only, a device averaging 20 watts uses 175.2 kilowatt-hours per year. At a hypothetical electricity price of $0.20 per kWh, that would be $35.04 per year. Your result will change with actual draw, local tariff, seasonal cooling and whether disks spin down. A more powerful server can cost more to buy and operate, while a low-power mini PC may need additional external storage that has its own consumption.
Network, domain and secure remote access
Remote access can add both one-time and recurring costs. You may need a public-facing connection, router configuration, a domain name or dynamic-DNS service, and a TLS certificate or reverse-proxy setup. Some installations work behind an existing VPN or tunnel; others require inbound connectivity from the internet. The exact price depends on your internet provider, country and chosen architecture.

Server requirements that affect the budget
Nextcloud’s current manual emphasizes that memory needs vary greatly with the number of users, applications, files and the amount of server activity. It lists 128MB RAM minimum per process and recommends 512MB RAM per process. These are sizing guidance, not a promise that a particular number of users will perform well on a particular machine.
- Use a 64-bit operating system; the manual strongly recommends it.
- Plan a supported production database such as MariaDB/MySQL or PostgreSQL.
- Use SQLite only for testing and minimal installations, not as the default for a busy production service.
- Allow memory for the database, web server, background jobs, previews and other applications in addition to the Nextcloud worker processes.
- Keep storage on reliable media and monitor available space, disk health and database growth.
These requirements can change the hardware tier you need. A small personal instance may run comfortably on modest equipment, while photo previews, collaborative editing, many users or intensive background jobs can require more CPU, memory and faster storage.
Administration is a real cost
Free software does not eliminate operational work. Set aside time for release planning, updates, app compatibility checks, database maintenance, security hardening, monitoring and testing restores. You may also need to replace a failed disk, rebuild a server, investigate a suspicious login or recover from an accidental deletion.
To estimate labor, multiply the hours you expect to spend each month by the value of your time or by the rate you would pay an administrator. Include an occasional maintenance reserve rather than counting only routine updates. If nobody is available to perform recovery at night or on a weekend, a managed service or support contract may be cheaper than the apparent zero-license option.

| Factor | Self-hosted community installation | Managed provider | Enterprise subscription |
|---|---|---|---|
| Upfront cost | Hardware, disks and network setup; can be low if equipment exists | Usually low or none; recurring hosting fee | Usually an infrastructure cost plus subscription |
| Software license | No mandatory per-user charge | Included in the provider’s service | Paid per user; plans start at 100 users |
| Backups and recovery | Your responsibility unless separately contracted | Check retention, locations and restore terms | Confirm what support and recovery services are included |
| Administration | You patch, monitor and secure the stack | Provider handles the agreed service layer | Commercial support reduces internal escalation work |
| Scalability | You add CPU, memory, disks or another host | Often an upgrade in the provider’s system | Designed for organizational deployments; verify quote and limits |
| Privacy and data location | You choose the facility and access controls | Depends on provider region and contract | Confirm hosting, support access and contractual terms |
| Exit and migration | You control the files and database, but must perform the move | Review export assistance and data-egress terms | Review contract, support scope and migration obligations |
Nextcloud’s provider directory says private users are generally best served by its Simple Signup providers, while larger teams and organizations can use qualified partners. It also lists at least 2GB of free storage for a shared-hosting user account and says upgrade options are available. “Free” storage limits, backup scope and support levels differ, so read the provider’s current terms instead of assuming the allowance is a complete backup.

A practical budgeting method
- Define users and data. Record current file volume, photo and video growth, sharing needs, retention and expected users over the next two to three years.
- Choose the hosting model. Compare an existing computer, a new mini PC or NAS, a virtual machine and a managed provider. Include your administration time in every option.
- Price primary storage. Add capacity for versions, previews, database growth and free-space headroom.
- Price backup storage separately. Specify retention, an additional location and how often you will test a restore.
- Measure power. Use real watts and your local electricity tariff in the annual formula.
- Check connectivity. Identify domain, DNS, TLS, VPN, bandwidth and router requirements before buying hardware.
- Reserve an operations budget. Account for replacement disks, upgrades, monitoring, security work and incident recovery.
- Compare recurring totals. Put the first-year purchase beside the second- and third-year operating costs. A cheap server can become expensive if it consumes more electricity or demands many hours of maintenance.
Common budget mistakes and how to avoid them
Counting only the computer
A mini PC price omits data disks, backup media, a UPS if you need one, and the time to configure the service. List each component before comparing alternatives.
Quick wins for a faster PC:
Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →Treating redundancy as a backup
Mirrored disks can keep a service running after one disk fails, but they do not protect against deletion, corruption or theft. Keep a separate, restorable backup.
Using SQLite for a growing production service
SQLite is intended for testing and minimal instances in the current guidance. Plan MariaDB/MySQL or PostgreSQL when users, apps and activity increase.
Ignoring restore testing
A backup that has never been restored is an assumption. Periodically recover a representative folder and verify database and file consistency.
Assuming enterprise prices apply to a small household
The published enterprise rates begin at 100 users. A personal or small-family installation does not need that subscription merely to run Nextcloud; its costs are infrastructure and maintenance instead.

What a realistic 2026 answer looks like
There is no authoritative universal annual total for electricity, broadband, domain registration, backup storage and labor because those inputs vary by geography, hardware and architecture. The defensible answer is a calculation based on your own watts, capacity, tariffs and time.
If you already own suitable hardware and have spare storage, your incremental cash cost may be limited to backup media, electricity and any networking services. Starting from zero means adding a server, reliable primary disks and a separate backup target. A managed provider replaces much of that capital and operational work with a recurring fee. An organization with at least 100 users can compare those costs with the published enterprise subscription rates, remembering that the subscription does not automatically include every infrastructure or disaster-recovery expense.
Self-hosting is financially attractive when you can reuse hardware, value control over data location and are prepared to operate the service. Managed hosting is often the better value when predictable support, simpler recovery and less administration matter more than owning the server. Whichever route you choose, make backups, recovery testing and ongoing maintenance explicit lines in the budget.
